The short answer

Most businesses need three Zoom integrations: one with the calendar, so each invite has a Zoom link; one with the CRM, so each call lands on the contact; and one with team chat, so people can start a call from where they talk. Zoom and the makers of those programs each give you a way to set these up. Where they stop: a moved Outlook meeting doesn't move the Zoom meeting on its own, calls on a Personal Meeting ID don't reach HubSpot, and none of them read the call or update the deal. Someone still types the notes and books the next step. AI agents read the call, update the CRM, book the next meeting and post the recap.

What a good Zoom integration has to do

A Zoom call is where sales talks price, the client says what they want, or the team agrees on a plan. A Zoom integration should make sure none of that is lost after you hang up.

So "connected" means three things. The meeting is booked with a Zoom link on the calendar. What was said ends up on the right contact in your CRM. And the next step, the follow-up email or the next meeting, actually happens.

Three Zoom integrations most teams set up

One for the calendar, one for the CRM, one for team chat. Each comes from Zoom or the other program's maker.

Zoom in your calendar

How it works
Zoom for Google Workspace adds Zoom meeting details to a Google Calendar invite in one click. For Outlook, the Zoom for Outlook add-in adds a Zoom meeting to a calendar event. An admin can add either one for the whole team.
Good for
Anyone who books meetings and pastes links by hand.
Where it breaks
It adds the link and that's all. Zoom's own guide says that if you move or delete an Outlook event, the Zoom meeting doesn't change until someone clicks Update or Remove in the add-in. On Google Calendar, reviewers who book for a boss say the host defaults to the wrong person.

Zoom in your CRM

How it works
You install the Zoom app from the HubSpot Marketplace. Meetings log as activities on the contact records of the people who joined. It can also sync cloud recordings and transcripts, and webinar sign-ups and who came.
Good for
Teams who sell or serve clients on Zoom and want each call on the contact.
Where it breaks
Each person has to connect their own Zoom user, and only one Zoom account can connect to one HubSpot account. Meetings on a Personal Meeting ID don't sync. Past meetings are synced one at a time. It logs the call. It doesn't read it or update the deal.

Zoom in your team chat

How it works
You add the Slack app from the Zoom App Marketplace. Type /zoom to start a meeting in any channel or direct message, and get a notice when a meeting starts or its recording is ready.
Good for
Teams who talk in Slack all day and want to start a call fast.
Where it breaks
Free Basic Zoom users get some parts but not meeting summaries or cloud recordings. Your IT admin may need to approve the app.

Arkeo agents

How it works
Agents read each recorded call and its transcript in Zoom, write the notes and next step on the contact and deal in your CRM, book the follow-up on the calendar, and post a short recap in Slack or Teams.
Good for
Teams where calls are the work, and follow-up gets missed in a busy week.
Where it breaks
Anything your rules keep for a person, like a promise on price or a client who is unhappy, goes to the owner in one message.

Set up the three Zoom integrations: five steps

Zoom's and HubSpot's own pages have the full screens, linked under each step.

  1. 1

Turn on recording and transcripts in Zoom

HubSpot can only sync recordings and transcripts if cloud recording and audio transcripts are both on in your Zoom account.

  2. 2

    Add Zoom to your calendar

For Google Calendar, install Zoom for Google Workspace from the Google Workspace Marketplace. For Outlook, an admin can add the Zoom for Outlook add-in for all users.

  3. 3

    Connect Zoom to HubSpot

In the HubSpot Marketplace, find the Zoom app and click Install, then sign in to Zoom and click Allow. You need admin rights in both.

  4. 4

Have each person link their Zoom user

In HubSpot, under Connected Apps, then Zoom, each person links their own Zoom user and turns on syncing of recordings. Book calls as scheduled meetings, not on your Personal Meeting ID.

  5. 5

    Add Zoom to Slack

Add the Slack app from the Zoom App Marketplace, and ask IT if it needs approval. Then type /zoom in a channel to test it.

Where each Zoom integration stops

The calendar and Zoom can stop matching. Zoom's guide for the Outlook add-in says that if you change the date or time of an event, the Zoom meeting is not updated until someone clicks Update in the add-in. If you delete the event, the Zoom meeting stays until someone clicks Remove. On the Google Workspace Marketplace, the Zoom app rates 4.4 from more than 8,000 reviews, and several recent ones are from assistants who book for a boss and must fix the host by hand.

Not every call reaches the CRM. HubSpot's guide says the Zoom integration doesn't support Personal Meeting IDs, past meetings must be synced one at a time, and only one Zoom account can connect to one HubSpot account. Each person links their own Zoom user. On the HubSpot Marketplace, the Zoom app rates 3.4 out of 5 from 549 ratings, about a third of them one or two stars, and the review summary names trouble connecting each team member's account.

Chat gets the alert, not the outcome. Zoom says meeting summaries and cloud recording notices in Slack need a paid Zoom plan. Even with them, nobody's job is to read the call, update the deal and book the next meeting. That is still done by hand, after each call.

The agents that do it

Each agent does one job from start to finish, in your own Zoom, calendar and CRM. Your team talks to them in Slack or Teams.

Questions

Is my customers' information safe?

Yes. Agents work in your own Zoom, calendar and CRM and see only what their job needs. Customer details never go into public AI. Agents connect to AI through business-grade connections audited under SOC 2.

Does Zoom work with Outlook and Google Calendar?

Yes. Zoom for Outlook adds a Zoom meeting to an Outlook calendar event, on the web, desktop and phone apps. Zoom for Google Workspace adds Zoom details to a Google Calendar invite in one click.

Why don't my Zoom recordings show up in HubSpot?

Check four things. Cloud recording and audio transcripts must be on in Zoom. Your own Zoom user must be linked in HubSpot. The meeting can't be on your Personal Meeting ID. And older meetings have to be synced one at a time.

Do I need a paid Zoom plan for these integrations?

Not for all of it. Free Basic users can use some of the Slack app, like starting meetings with /zoom. Meeting summaries and cloud recordings need a paid plan, and HubSpot needs cloud recording to sync your recordings.

What does it cost?

You get the price on the call, along with the hours it saves your team.
