To connect Zoom to HubSpot, install the Zoom app from the HubSpot Marketplace, sign in to Zoom and click Allow. Then each person links their own Zoom user and turns on the sync for meeting recordings and transcripts. HubSpot builds this app. It logs Zoom meetings on contact records, syncs webinar sign-ups and attendance, and adds Zoom links to HubSpot meetings. Where it stops: guests are matched by email, so people without one don't sync, meetings on a Personal Meeting ID won't send recordings, past meetings need a manual sync, and nothing writes the call notes or updates the deal. AI agents do that work.
How to connect Zoom to HubSpot, and what connected means
Your sales and client calls happen on Zoom. Your deals, contacts and follow ups live in HubSpot. When the two don't talk, someone types the call notes into HubSpot after each meeting, or they never get typed at all, and the next person on the deal starts cold.
So connected has to mean more than a Zoom link on the invite. The call should land on the right contact and deal, with the recording and what was agreed. And whatever comes next, the task, the stage change, the follow up email, should happen without someone having to remember it.
Ways to connect Zoom and HubSpot
The first is built by HubSpot and has the most installs on the HubSpot Marketplace. The second is built by Zoom, for phone calls.
HubSpot's Zoom app
- How it works
- You install Zoom from the HubSpot Marketplace. It logs Zoom meetings as activities on contact records, can sync recordings and transcripts, syncs Zoom webinar sign-ups and attendance to marketing events, and adds Zoom links to HubSpot meetings.
- Good for
- Teams that run sales or client calls and webinars on Zoom and want them on the contact timeline.
- Where it breaks
- HubSpot's guide says guests are matched by email, and new contacts are made for anyone not in HubSpot. Meetings on a Personal Meeting ID won't sync recordings, past meetings must be synced one at a time, and you can connect only one Zoom account. The listing has a 3.4 rating from 551 reviews, and its review summary notes trouble connecting each team member's Zoom account and webinar sign-ups that pass only basic contact fields.
Zoom Phone for HubSpot
- How it works
- Zoom builds this app for Zoom Phone. It puts a phone widget in HubSpot's top bar, so you can call or text from a contact or company record. Calls and texts are logged as activities in HubSpot.
- Good for
- Teams that make their sales or service calls on Zoom Phone, not Zoom Meetings.
- Where it breaks
- It needs a Zoom Phone for HubSpot subscription. On the HubSpot Marketplace it has a 2.1 rating from 86 reviews, and the newest review we read says it sometimes doesn't log calls or texts and is hard to troubleshoot.
A Zapier zap
- How it works
- Zapier's Zoom triggers include Meeting Ended, New Audio Transcript, New Webinar Registrant and New Participant Joined Webinar or Meeting. You can send each one to HubSpot to make or update a contact, or add a note.
- Good for
- Acting the moment a meeting ends, since Zapier lists Meeting Ended as an instant trigger.
- Where it breaks
- It does what you set up and nothing more. Finding the right contact, deal and owner for each call is a step you build and keep working.
Arkeo agents
- How it works
- Agents read each sales or client call after it ends, write the summary and next steps on the HubSpot contact and deal, set the task for the owner, and score the call against your sales steps. If a guest's email doesn't match a contact, they find the right one or ask.
- Good for
- Teams that hold client calls all day and lose the notes and follow ups between Zoom and HubSpot.
- Where it breaks
- Anything your rules keep for a person, like a deal stage change on a large account, goes to the owner in one message.
How to set up the Zoom HubSpot integration
These follow HubSpot's own guide. Open it for the screens.
- 1
Check your access firstYou need App Marketplace permissions or Super Admin in HubSpot, and admin rights in Zoom. For webinars, your Zoom account needs the webinar add-on. For recordings, turn on cloud recording and audio transcripts in Zoom.
- 2
Install the Zoom appIn HubSpot, click the Marketplace icon, select HubSpot Marketplace and search for Zoom. Click Install, sign in to Zoom and click Allow. Zoom then shows under Connected Apps.
- 3
Link each person's Zoom userEach person goes to Settings, Integrations, Connected Apps, Zoom, then the User management tab, and checks which Zoom user is linked to them. If theirs isn't in the list, add them as a user on the connected Zoom account.
- 4
Turn on recordings and transcriptsOn the Meetings tab, select Sync meeting recordings and transcripts. An admin can turn on Sync meeting data under Global settings for the whole team, and add your own email domain to Exclusions so internal calls stay out.
- 5
Use scheduled meetings, not your personal IDBook client calls as scheduled meetings with their own meeting ID. HubSpot says recordings from a Personal Meeting ID won't sync. To bring in an older call, search its Meeting ID and click Sync now.
Where the Zoom HubSpot integration stops
The app puts the meeting on the timeline. Deciding what it means for the deal, and doing something about it, is still a person's job.
Matching runs on email. HubSpot's guide says the app matches guests to contacts by email and makes a new contact for anyone it doesn't know. A guest with no email in Zoom doesn't sync, and a guest who joins with a different email than the one in HubSpot comes in as a new contact.
Some calls never arrive. Recordings from a Personal Meeting ID don't sync, past meetings have to be synced one by one, and a recording has to stay in Zoom to sync. HubSpot's own listing says the sync now runs within hours, so the notes may not be there when you want to follow up right after the call.
Each person has to be linked. HubSpot's guide says each user connects their own Zoom user, and the listing's review summary says some reviewers had trouble connecting each team member's Zoom account. One unlinked rep means their calls are missing.
And nothing does the follow up. A recording on the timeline isn't a note on the deal. Someone still listens back, writes what was agreed, moves the deal and sets the next task.

Questions
Is my customers' information safe?
Yes. Agents work in your own Zoom and HubSpot and see only what their job needs. Customer details never go into public AI. Agents connect to AI through business-grade connections audited under SOC 2.
Does HubSpot integrate with Zoom?
Yes. HubSpot builds a Zoom app in the HubSpot Marketplace. It logs Zoom meetings on contact records, can sync recordings and transcripts, syncs webinar sign-ups and attendance, and adds Zoom links to HubSpot meetings. Zoom also builds Zoom Phone for HubSpot for phone calls.
Why aren't my Zoom recordings showing in HubSpot?
Check that your Zoom user is linked under the User management tab, that recording sync is on, and that cloud recording and transcripts are on in Zoom. HubSpot's guide also says Personal Meeting ID recordings don't sync, and the recording has to stay in Zoom.
Can I connect more than one Zoom account to HubSpot?
Usually not. HubSpot's guide says you can connect one Zoom account to a HubSpot account, with an exception for some accounts that used Business Units before. Each person then links their own Zoom user inside that account.
What does it cost?
You get the price on the call, along with the hours it saves your team.
