Acuity Scheduling and HubSpot don't connect on their own. For an Acuity Scheduling HubSpot integration, you can add the Acuity Scheduling for HubSpot app, made by Ulgebra, from the HubSpot Marketplace, or build zaps in Zapier. Where they stop: the app's reviews say it does little beyond adding contacts, Zapier needs a separate zap for bookings, reschedules and cancels, and Acuity allows 25 zaps per account. Intake answers, no-shows and rebooking still get typed in or chased by hand. AI agents put each booking on the right contact and follow up on the ones that fell through.
What an Acuity Scheduling HubSpot integration has to do
Clients book in Acuity. Your marketing, follow-ups and sales pipeline live in HubSpot. With no link, HubSpot doesn't know who booked, who canceled, or who hasn't been back in three months, so the emails you send can't use any of it. Someone exports a client list from Acuity and imports it into HubSpot now and then.
So a good connection does more than add a contact. It puts each booking on that person's record: the type of appointment, the date, and the answers from the intake form. It updates the record when they reschedule or cancel. And it gives HubSpot what it needs to follow up, like a client who canceled and never rebooked.
Three ways to connect Acuity Scheduling and HubSpot
One is an app in the HubSpot Marketplace. One is Zapier. One is HubSpot's own booking tool in place of Acuity.
Acuity Scheduling for HubSpot, by Ulgebra
- How it works
- An app in the HubSpot Marketplace. It lets your team book, move and cancel Acuity appointments from a HubSpot contact, adds booked events to HubSpot's Meetings, and syncs Acuity clients to HubSpot contacts. It has its own paid plans.
- Good for
- Teams who book clients from inside HubSpot and want appointments on the contact.
- Where it breaks
- It had a 1.9 rating from 7 reviews when we read it. Reviewers said that beyond making contacts it doesn't do much, and that appointment details they wanted for marketing weren't there, so the work stayed manual.
A Zapier zap
- How it works
- Zapier's Acuity triggers are New Appointment, Appointment Rescheduled, Appointment Canceled, Appointment Start and New Product Order. Its HubSpot actions include Create or Update Contact, Create Engagement, Create Deal and Add Contact to Workflow.
- Good for
- Getting each booking onto a contact, with fields you map, like appointment type and intake answers.
- Where it breaks
- Each trigger is its own zap, so bookings, reschedules and cancels are three to build and keep up. Zapier's help says Acuity allows 25 active zaps per account, recurring bookings fire once for each visit, and Appointment Start fires only once per appointment.
HubSpot's Meetings Scheduler
- How it works
- HubSpot's own scheduling pages. A booking makes a HubSpot contact, syncs with a Gmail or Office 365 calendar, and can take payment with HubSpot payments or Stripe. Group and round robin pages need a Sales Hub or Service Hub Starter plan or higher.
- Good for
- Teams who mostly book sales calls or simple meetings and want it all in HubSpot.
- Where it breaks
- It's a switch away from Acuity, not a link to it. Free users get one page with HubSpot branding. Your Acuity history stays in Acuity.
Arkeo agents
- How it works
- Agents read each booking, reschedule, cancel and intake form in Acuity, update the right HubSpot contact, send clients who canceled a link to rebook, and tell your front desk who still hasn't booked.
- Good for
- Businesses that book in Acuity and want HubSpot to know who came, who canceled and who to follow up with.
- Where it breaks
- Anything your rules keep for a person, like a question about a client's care or a refund, goes to your staff in one message.
How to connect Acuity Scheduling to HubSpot with Zapier
These follow Zapier's own help for Acuity. Open the guides for the screens.
- 1
Check your Acuity accessThe person who connects Acuity to Zapier needs view and edit, or administrator, access to the Acuity account.
- 2
Connect Acuity and HubSpot in ZapierOn Zapier's Apps page, add a connection, select Acuity Scheduling and log in to Acuity. Do the same for HubSpot.
- 3
Send new bookings to HubSpotStart with Acuity's New Appointment trigger, then HubSpot's Create or Update Contact, so a client who books again doesn't become a second contact. Map the appointment type, date and intake answers to HubSpot properties.
- 4
Add zaps for reschedules and cancelsBuild one zap for Appointment Rescheduled and one for Appointment Canceled, each updating the same contact. Count your zaps: Acuity allows 25 active ones per account.
- 5
Or try the HubSpot Marketplace appIf your team books from inside HubSpot, install Acuity Scheduling for HubSpot and read its reviews first.
Where the Acuity Scheduling HubSpot integration stops
Both ways can get a client from Acuity into HubSpot as a contact. What the booking means for that client is still worked out by hand.
The marketplace app is thin. On its HubSpot Marketplace listing, most of its 7 reviews are 1 star. Reviewers said the integration is super limited, that beyond making contacts it doesn't really do anything, and that appointment details and service types they wanted for HubSpot emails weren't there, so the work was still manual.
Zapier sees each change as its own job. Zapier's help says Acuity allows 25 active zaps per account, so a few zaps for each type of booking uses them up fast. Recurring bookings fire the New Appointment trigger once for each visit, and Appointment Start fires only once, so a rescheduled visit is missed.
And when it breaks, data can be lost. In a March 2025 thread on Zapier's forum, Zapier staff said a bug left Acuity's triggers missing data for about 12 hours, and that runs from that window couldn't be recovered. Someone had to go back through the bookings by hand.
No connector does the follow-up: the client who canceled and never rebooked, the no-show, the intake form left blank.
The agents that do it
Each agent does one job from start to finish in your own Acuity and HubSpot. Your staff get what needs a person.

Questions
Is my customers' information safe?
Yes. Agents work in your own Acuity and HubSpot and see only what their job needs. Customer details never go into public AI. Agents connect to AI through business-grade connections audited under SOC 2.
Does Acuity Scheduling integrate with HubSpot?
Not on its own. You connect them with the Acuity Scheduling for HubSpot app, made by Ulgebra, from the HubSpot Marketplace, or with Zapier.
Can Acuity intake form answers go into HubSpot?
Yes, with Zapier. Map the intake answers from the New Appointment trigger to HubSpot contact properties in the Create or Update Contact step. Make the properties in HubSpot first.
Why did my Acuity zap stop with a 25 zaps error?
Zapier's help says Acuity allows at most 25 active zaps per account. You can add more users to the Acuity account, or ask Zapier support about the limit.
What does it cost?
You get the price on the call, along with the hours it saves your team.
