The HubSpot integration with Gmail has two parts, and most teams use both. You connect your Gmail inbox in HubSpot's settings, so you can send and log email from HubSpot. Then you add the HubSpot Sales Chrome extension, which puts Log and Track boxes on each email you write in Gmail. A BCC address and Zapier cover the gaps. Where it stops: an email is logged only when someone ticks Log or copies the BCC address, past email doesn't come in on its own, replies from a phone need forwarding one at a time, and nobody moves the deal or sets the next task. AI agents do that part.
What the HubSpot Gmail integration has to do
Most small sales teams live in Gmail and keep their deals in HubSpot. When the two don't match, a deal looks quiet in HubSpot while the client wrote back yesterday, or two people email the same lead because neither saw the other's note.
So connected has to mean more than a sidebar. Each email with a client lands on the right contact and the right deal, and what the email says gets acted on: the deal stage, the next task, the follow-up. HubSpot's tools do the first part when people use them. The second part is still a person's job.
Four ways to connect HubSpot with Gmail
The first two work together, and most teams start there.
Connect your Gmail inbox in HubSpot
- How it works
- In HubSpot, you connect your Gmail account under Settings, General, Email. HubSpot can then send email from your address, store replies, and turn on inbox automation.
- Good for
- Anyone who wants to send and log email from inside HubSpot, and use HubSpot's sales tools with their own address.
- Where it breaks
- HubSpot says View-Only seats can't connect an inbox, Gmail accounts on Google's Advanced Protection Program aren't supported, and one address can't be both your own inbox and a team inbox. An alias has to be set up in Gmail before you connect, or it won't show in HubSpot.
The HubSpot Sales Chrome extension
- How it works
- HubSpot's own extension for Gmail in Chrome. It adds Log and Track boxes to each email you write, a HubSpot sidebar, templates and meeting links.
- Good for
- People who write most client email in Gmail and want it on the contact's timeline.
- Where it breaks
- It works in Chrome only, and HubSpot says Google's Rapid Release track isn't compatible. It is rated 3.4 out of 5 from 8.2K ratings in the Chrome Web Store, and recent reviews say the sidebar keeps disappearing or stops working until it is reinstalled.
The BCC or forwarding address
- How it works
- HubSpot gives your account a BCC address for email you send and a forwarding address for replies you get. You copy them under Settings, Data Management, Objects, Activities.
- Good for
- Email sent from the Gmail app on a phone, or from a computer without the extension.
- Where it breaks
- Each reply has to be forwarded on its own, and HubSpot says a forward it can't read won't log. People you BCC don't become contacts. The email lands on the contact's five most recent open deals, which may not be the one it is about.
A Zapier zap
- How it works
- Zapier has Gmail steps like New Email Matching Search and New Labeled Email, and HubSpot steps like Create or Update Contact, Create Engagement and Update Deal. You build the zap yourself.
- Good for
- Teams with one fixed routine, like adding a contact for each email with a certain label.
- Where it breaks
- Each case is a step you build and keep up. When a step fails, someone has to notice it in Zapier and fix the record by hand.
Arkeo agents
- How it works
- Agents read client email in Gmail, log each one to the right contact and deal in HubSpot, check off the task when the reply lands, and move the deal to the stage the email shows.
- Good for
- Sales teams where deals move by email, and nobody has time to update HubSpot after each one.
- Where it breaks
- Anything your rules keep for a person, like a reply to an unhappy client, goes to the deal owner in one message.
How to set up the HubSpot CRM Gmail integration
These follow HubSpot's own guides. Open them for the screens.
- 1
Connect your Gmail inboxIn HubSpot, click the settings icon, go to General, then the Email tab, and click Connect email account. Click Connect your inbox, enter your address, click Connect to Google, sign in and click Allow.
- 2
Add the HubSpot Sales extensionOpen HubSpot Sales in the Chrome Web Store, check you are signed in to the right Gmail account, click Add to Chrome, then Add extension, and log in to HubSpot.
- 3
Set Log and Track to on by defaultIn Gmail, click the sprocket icon and open Log and track settings. A super admin can set the defaults for everyone under Settings, Data Management, Objects, Activities, on the Email Log and Track tab. Add colleagues and vendors to the never log list.
- 4
Save the BCC address for your phoneOn the same Email Log and Track tab, under Manual Logging, copy the BCC address. Add it to your phone's contacts so it is easy to put on email you send from the Gmail app.
- 5
Test one email
Send one email to a real contact with Log ticked, and one from your phone with the BCC address. Check that both show on the contact and on the right deal.
Where the HubSpot Gmail integration stops
Logging depends on people. HubSpot's guide says an email is logged when the Log box is ticked, and turning logging on doesn't bring in past email. Someone who forgets the box, or writes from a laptop without the extension, leaves a gap on the timeline. New people only become contacts if the Create as new contacts box stays ticked.
Phones and replies take extra steps. The extension works in Gmail in Chrome, so email from the Gmail app needs the BCC address. Replies you get have to be forwarded to HubSpot one at a time, and HubSpot says that if it can't read the forward, the email won't log.
The right deal is a guess. HubSpot's BCC guide says a logged email goes on the contact's company and its five most recent open deals. If a client has two deals open, the email can land on both, or on the wrong one.
The extension itself is a weak spot. It has 1,000,000 users and a 3.4 out of 5 rating from 8.2K ratings in the Chrome Web Store. Recent reviews say the sidebar keeps disappearing, works only half of the time, or stopped until it was removed and added again.
And logging is where it ends. When a client writes yes, someone still moves the deal, closes the task and sets the next step. That is the work in the middle.

Questions
Is my customers' information safe?
Yes. Agents work in your own HubSpot and Gmail and see only what their job needs. Customer details never go into public AI. Agents connect to AI through business-grade connections audited under SOC 2.
What does the HubSpot CRM Gmail integration do?
It lets you send email from HubSpot with your Gmail address, and log and track email you write in Gmail onto the contact's timeline in HubSpot. It doesn't move deals or set tasks from what the email says.
Is the HubSpot Sales extension free?
HubSpot's Chrome Web Store listing says a free HubSpot account is needed, and that email tracking, templates and the CRM sidebar are free. Some tools, like automated outreach, need a paid plan.
Why isn't my Gmail email logging to HubSpot?
Check that the Log box was ticked, that the address isn't on your never log list, and that you sent from your connected address or an alias. For email from your phone, add the BCC address. HubSpot's track and log guide lists the rest.
What does it cost?
You get the price on the call, along with the hours it saves your team.
