The Outlook HubSpot integration has three parts. You connect your Outlook inbox to HubSpot and use the HubSpot Sales Office 365 add-in to log and track email, on all HubSpot plans, free ones too. A BCC address logs email from anywhere. And you connect your Outlook calendar for meetings. Where it stops: the add-in applies your logging choices only while its pane is open, shared mailboxes can't be connected as your own, and nothing reads the email and moves the deal. AI agents log it, update the deal and chase the reply.
What the Outlook HubSpot integration has to do
Most of what happens with a buyer happens in Outlook: the questions, the quote, the meeting. If it never reaches HubSpot, the deal looks quiet, a teammate emails the same buyer twice, and the manager's pipeline report is a guess.
A good Outlook and HubSpot integration puts each email and meeting on the right contact and deal without a rep thinking about it. Then the deal itself has to change: the stage, the next step, and the task for whoever owes the next reply.
Three ways to connect Outlook and HubSpot
All three come from HubSpot. Its knowledge base covers each one.
Connected inbox and the HubSpot Sales add-in
- How it works
- You connect your Microsoft 365 inbox in HubSpot's settings, then use the HubSpot Sales Office 365 add-in in Outlook for Windows, Mac or the web. It logs and tracks your email, shows the contact's HubSpot details, and gives you templates, sequences and meeting links in Outlook.
- Good for
- Reps who work in Outlook and want email on the HubSpot record as they send it.
- Where it breaks
- HubSpot's guide says your log and track choices apply only when the HubSpot Sales pane is open while you write each email, so it tells you to pin it. On the Marketplace the Outlook app averages 3.0 stars from about 3,150 ratings, and reviewers say they have to log in again and again and the pane slows down writing.
The BCC or forwarding address
- How it works
- HubSpot gives your account one BCC address and one forwarding address. Add the BCC address to an email you send, or forward a reply you got, and HubSpot logs it on the contact, their main company and their five most recent open deals.
- Good for
- People who don't have the add-in, or send from a phone or another email program.
- Where it breaks
- It is all by hand, and an email someone forgets to BCC never gets there. HubSpot's guide says people you CC become new contacts, BCC alone doesn't track opens or clicks, and you should forward one reply, not the whole chain.
Your Outlook calendar
- How it works
- In Settings, under General and then Calendar, you connect your Office 365 calendar to HubSpot's meetings tool. Meetings booked from your HubSpot meeting link land on your Outlook calendar.
- Good for
- Reps who let buyers book time from a link and want those meetings in Outlook.
- Where it breaks
- HubSpot's guide says you can connect one calendar, a calendar can't be connected if your inbox is connected as a shared inbox, and for repeating meetings it syncs only the next five.
Arkeo agents
- How it works
- Agents read each email and meeting in the Outlook inboxes you allow, shared ones too, log it on the right contact and deal in HubSpot, write the next step and a task, and move the deal stage when your rules say so.
- Good for
- Teams where HubSpot has to be right, and reps would rather sell than log.
- Where it breaks
- Anything your rules keep for a person, like closing a deal or a reply only the owner should send, goes to them in one message.
How to connect HubSpot to Outlook: five steps
HubSpot's own guides have the full screens. These are the parts, in order.
- 1
Connect your Outlook inboxIn HubSpot, go to Settings, then General, then Email. Click Connect email account, enter your address, click Connect to Microsoft Outlook, and sign in with your Microsoft 365 account. You need Personal email access, and a shared mailbox can't be connected as your own.
- 2
Open the HubSpot Sales add-in in OutlookIn classic Outlook, click Sales Tools in the ribbon. In Outlook on the web, click Apps, then HubSpot Sales. If you don't use a Microsoft 365 email account, HubSpot's older desktop add-in is in maintenance mode.
- 3
Pin the pane openYour log and track choices apply only when the HubSpot Sales pane is open while you write. Pin it so each email you send is logged the way you set it.
- 4
Share the BCC address with the rest of the teamGo to Settings, then Data Management, then Objects, then Activities, and open the Email Log & Track tab. Copy the BCC address for anyone who sends from a phone or without the add-in.
- 5
Connect your Outlook calendarGo to Settings, then General, then the Calendar tab. Connect your calendar, click Office 365, and approve access on the Microsoft page.
Where the HubSpot Outlook integration stops
Each of these gets email or meetings into HubSpot. The work left is the email that doesn't get logged, the email that lands in the wrong place, and the deal nobody updates.
Logging depends on a pane. HubSpot's own guide says your log and track choices apply only while the HubSpot Sales pane is open as you write. Reviewers on the Marketplace, where the Outlook app averages 3.0 stars from about 3,150 ratings, say they have to log in again often, the pane slows down writing, and it has to be opened again and again. Each time it's closed, an email may go out unlogged.
Shared inboxes sit outside. HubSpot's inbox guide says Microsoft 365 shared mailboxes can't be connected as a person's own email, and its calendar guide says a calendar can't be connected if the inbox is connected as a shared inbox. Client mail to a shared address needs its own setup, or someone copies it over.
The BCC address guesses. HubSpot's guide says a BCC'd email goes on the contact, their main company and their five most recent open deals, and people you CC become new contacts. A rep who works three deals with one buyer gets the email on all of them, and the CRM fills with contacts nobody meant to add.
And nobody moves the deal. All of these stop once the email is on the record. Someone still reads it, changes the stage, writes the next step, and chases the reply that didn't come.
The agents that do it
Each agent does one job from start to finish in your own HubSpot, working from your Outlook email and meetings. Your team talks to them in Slack or Teams.

Questions
Is my customers' information safe?
Yes. Agents work in your own Outlook and HubSpot and see only what their job needs. Customer details never go into public AI. Agents connect to AI through business-grade connections audited under SOC 2.
Is the HubSpot and Outlook integration free?
HubSpot's guide says the HubSpot Sales Office 365 add-in is on all HubSpot products and plans, free ones too. Some sales tools in it need a paid HubSpot plan.
Why are my Outlook emails not logging in HubSpot?
HubSpot says your log and track choices apply only when the HubSpot Sales pane is open while you write the email, so pin it open. Also check that your inbox is still connected under Settings, General, Email.
Can I connect a shared Outlook mailbox to HubSpot?
Not as your own email. HubSpot's guide says Microsoft 365 shared mailboxes aren't supported for a person's work email connection, and a calendar can't be connected when the inbox is connected as a shared inbox.
What does it cost?
You get the price on the call, along with the hours it saves your team.
