Each Google Calendar meeting on the right HubSpot contact

Google CalendarHubSpot
The short answer

To connect Google Calendar to HubSpot, install the Google Calendar app from the HubSpot Marketplace and sign in with Google. HubSpot then logs meetings with your contacts on their timeline and adds meetings you book in HubSpot to your calendar. To let people book time with you, you also connect the calendar to the meetings tool under Settings, General, Calendar. Where it stops: only your primary calendar syncs, older events never come across, meetings only log on contacts that already exist with the same email, and deleting a meeting in HubSpot leaves it on your calendar. Nobody checks what didn't log. AI agents do that work.

What it means to connect Google Calendar to HubSpot

Your sales calls live in Google Calendar. Your contacts and deals live in HubSpot. If the two don't agree, a rep walks into a call with no notes, a booked demo never shows on the deal, and the meeting count in your reports is short.

HubSpot has two separate calendar connections, and most people need both. Calendar sync puts meetings on the contact's timeline. The meetings tool connection lets prospects book time on a HubSpot link without booking over your busy events. So connected has to mean three things: the meeting shows on the right contact, bookings land on your calendar, and nobody can book a time when you are already busy.

Three ways to connect HubSpot and Google Calendar

The first two are HubSpot's own and work on all plans. Zapier is for the cases they don't cover.

HubSpot's Google Calendar sync

How it works
You install the Google Calendar app from the HubSpot Marketplace and sign in with Google. When you schedule a meeting on a contact, company, deal or ticket, HubSpot adds it to your calendar and sends the invite. When you book a meeting in Google Calendar with someone who is a contact, it shows on their timeline.
Good for
Sales and service teams who book calls from Google Calendar and want them on the contact without logging them by hand.
Where it breaks
HubSpot's guide says it syncs only your primary calendar, and events made before you connected never come across. A meeting logs only on contacts that already exist with the same email address. Private events and group email invites don't sync, and deleting a meeting in HubSpot doesn't remove it from Google Calendar.

HubSpot meetings tool calendar connection

How it works
Under Settings, General, Calendar, you connect one Google calendar to the meetings tool. Your HubSpot meeting link then shows only open times, and each booking is added to your calendar and the guest's.
Good for
Anyone who sends a booking link from HubSpot emails, sequences or the website.
Where it breaks
HubSpot's troubleshooting guide says an event set to Free can be booked over, and HubSpot does not take Google Calendar working hours into account. You can't connect it if your inbox is set up as a shared inbox in the conversations tool. Without a connected calendar, the booking page runs in offline mode and nothing is added to the calendar.

A Zapier zap

How it works
Zapier can start from a Google Calendar event, like New Event, Event Cancelled or Event Start, and act in HubSpot, like Create or Update Contact or Create Engagement.
Good for
Teams that want a meeting on a shared or second calendar logged in HubSpot, which the calendar sync won't read.
Where it breaks
It does only the steps you build. Zapier's Create or Update Contact step matches on email address, so a guest who books from a second email becomes a second contact. A reschedule or cancel is another zap to build and keep working.

Arkeo agents

How it works
Agents read each day's meetings in Google Calendar, check that each one sits on the right HubSpot contact and deal, add the missing ones, send the rep a short brief before the call, and log the next step after it.
Good for
Teams that book client calls all week, where a meeting missing from HubSpot means a deal nobody follows up on.
Where it breaks
Anything your rules keep for a person, like a new deal value or a reply to an unhappy client, goes to the owner in one message.

These follow HubSpot's own guides. Open them for the screens.

  1. 1

Check you are in the right Google account

  5. 5

    Test both directions

Schedule a meeting from a contact in HubSpot and check it lands on your calendar. Then invite a contact from Google Calendar and check it shows on their timeline. In the meetings tool, open your link in Troubleshoot to see why any time is blocked.

Where the HubSpot Google Calendar integration stops

The connection moves meetings between the two programs when everything lines up. In a real week, a lot of meetings don't line up, and HubSpot's own fine print says what drops.

Meetings with new people don't log. HubSpot's guide says a meeting from your calendar only logs on contacts that already exist, and the guest has to use the same email that is in the contact's Email property. A first call with a referral, or a client who books from a personal email, never reaches HubSpot. Someone has to make the contact and log the meeting by hand.

Only one calendar counts. The sync reads only your primary calendar. Meetings on a team calendar, or a second calendar for one client, stay out of HubSpot. Events made before you connected never come across either, so the history starts on the day you install it.

Changes go one way in places. Deleting a meeting in HubSpot doesn't remove it from Google Calendar. Adding a guest to a meeting in HubSpot doesn't add them to the calendar invite unless you also change the description and send an update. A group email on the invite doesn't sync at all.

Booking links trust your calendar. HubSpot's troubleshooting guide says an event set to Free is open for booking, and HubSpot ignores Google Calendar working hours. One event left on Free and a prospect books over it.

And nobody checks. No screen lists the meetings that didn't log, so the gaps show up later as a deal with no history or a meeting count that is short at the end of the month.

Questions

Is my customers' information safe?

Yes. Agents work in your own Google Calendar and HubSpot and see only what their job needs. Customer details never go into public AI. Agents connect to AI through business-grade connections audited under SOC 2.

How do I connect Google Calendar to HubSpot?

In HubSpot, click the Marketplace icon, open HubSpot Marketplace, search for Google Calendar and click Install. Select Google/Gmail, sign in and click Allow. To use booking links, also connect it under Settings, General, Calendar.

Why are my Google Calendar meetings not showing in HubSpot?

A meeting won't log if the guest isn't a contact yet, the guest used a different email than the one on the contact, the event is on a calendar that isn't your primary one, the event is private, or it was made before you connected. These all come from HubSpot's calendar sync guide.

Can I sync more than one Google calendar with HubSpot?

Not with calendar sync. HubSpot's guide says it only syncs your primary calendar. You also can't use the Google and Outlook calendar sync at the same time.

What does it cost?

You get the price on the call, along with the hours it saves your team.
