The Microsoft Copilot Outlook integration puts Copilot inside Outlook. With a Microsoft 365 Copilot license it can summarize a thread, draft a reply, sort your inbox by priority, set up rules and schedule a meeting. Without that license, Copilot Chat in Outlook still answers questions about your inbox and calendar. The Microsoft To Do Outlook integration turns flagged email into tasks. Where they stop: most Copilot features work only in your own mailbox, shared mailboxes get summaries and drafts but no actions, and nothing carries the email into your CRM, your books or your order system. AI agents do that part and send people only what needs them.
What the Microsoft Copilot Outlook integration does
Copilot in Outlook is Microsoft's AI built into your email and calendar. Microsoft's FAQ lists what it does: summarize a thread, draft an email from a short prompt, coach you on tone, sort your inbox by priority, pin, flag, archive or delete mail, set up rules in plain words, schedule a meeting with up to two other people, and prepare you for a meeting. Your admin decides which of these you get, through your Microsoft 365 license.
That is real help with reading and writing email. But most email is a request for work somewhere else: a quote to send, an order to enter, an invoice to chase, a client to set up. So the useful question is not only what Copilot does in Outlook, but what happens to the work once the email is read.
Three ways to get AI and tasks into Outlook
The first three come from Microsoft. Each one helps inside Outlook.
Copilot in Outlook, with a Microsoft 365 Copilot license
- How it works
- Your admin assigns the license. Copilot then shows up in Outlook for Windows, Mac, the web, iPhone and Android. You get Summarize at the top of a thread, Draft with Copilot (type / to start), coaching, priority sorting, rules, scheduling and meeting prep.
- Good for
- People who spend hours a day reading long threads and writing replies in their own inbox.
- Where it breaks
- Microsoft says most features work only in your primary mailbox, hosted on Exchange Online. It can't read S/MIME, Double Key Encryption or other protected email. Drafts and summaries still need a person to check them.
Copilot Chat in Outlook, without the add-on license
- How it works
- Sign in with a work or school account and select the Copilot button. Microsoft says you can ask about your inbox, calendar and meetings, and ask it to summarize recent emails, draft an update or set up automatic replies.
- Good for
- Teams that want to try AI in Outlook before paying for more licenses.
- Where it breaks
- Without the add-on, Microsoft says Copilot works with limited data. Chat in Outlook works only in new Outlook for Windows and Outlook on the web.
The Microsoft To Do Outlook integration
- How it works
- Turn on the Flagged email list in To Do. Each email you flag in Outlook shows up as a task named after its subject, with a link back to the email.
- Good for
- One person who uses flags as a to-do list and wants them on their phone.
- Where it breaks
- Microsoft says only flags from your primary mailbox come across, not shared mailboxes or shared folders. The list starts with the 100 most recent flags from the last 30 days. Flagged calendar events don't become tasks.
Arkeo agents
- How it works
- Agents read new mail in the inboxes you allow, shared ones too. They file it, do the job the email asks for in your other software, like setting up a client or sending a payment reminder, and flag mail no one has answered.
- Good for
- Small teams where email starts the work and someone copies it into three other programs.
- Where it breaks
- Anything your rules keep for a person, like a reply to an upset client or a large refund, goes to them in one message.
How to set up Copilot and To Do in Outlook
Microsoft's pages have the full screens. These are the parts.
- 1
Check your account and mailboxCopilot needs a work or school account with a mailbox on Exchange Online. Microsoft lists Outlook for Microsoft 365 on Windows and Mac, new Outlook for Windows, the web, and the iPhone and Android apps.
- 2
Ask your admin for the licenseFor Summarize, Draft with Copilot, coaching and priority sorting, your admin assigns a Microsoft 365 Copilot license. Without it, you still get Copilot Chat with limited data.
- 3
Try it on one long threadOpen a long thread and select Summarize at the top. Then start a reply, type / and ask for a draft. Set the tone and length, and read the draft before you send it.
- 4
Use it in a shared mailboxIf you have access to a shared or delegated mailbox, Copilot Chat can summarize and draft from it with no extra setup. It follows the permissions you already have.
- 5
Turn on flagged email in To DoSign in to To Do with the same account you use for email. Open the list menu, select Flagged email, then Create. Flag an email in Outlook and check that it shows up.
Where Copilot in Outlook stops
The shared inbox is the first gap. In many small companies the work comes into info@, orders@ or support@. Microsoft's FAQ says Copilot's features work only in your primary mailbox, not in shared, group, delegate or archive mailboxes. Microsoft now says Copilot Chat can summarize and draft in shared and delegated mailboxes, but Microsoft lists triage, sending email on your behalf and scheduling meetings there as coming soon. A Microsoft Q&A thread asking when Copilot would work in shared mailboxes was marked by more than 10 people as the same question, and drew replies from late 2024 into July 2026.
Copilot's answers are not a full search. In a Microsoft Tech Community thread from August 2026, one person found that Copilot listed 4 of the 12 emails that came in on one day, and others replied in August and September with the same problem. The advice given there was to use Outlook's own search when you need all of them.
The To Do link has its own limits. Microsoft says only flags from your primary mailbox come across, and the list starts with the last 30 days. In a September 2026 Microsoft Q&A thread, a user's flagged emails never showed up in To Do at all, and the answers listed account type, a different sign-in and admin settings as causes.
And the work the email asks for still waits. None of the features on Microsoft's FAQ enter the order, update the client in your CRM, or follow up when an invoice goes unpaid. Someone reads Copilot's summary, then copies the details into the next program by hand.
The agents that do it
Each agent does one job from start to finish, working from your Outlook mail and calendar. Your team talks to them in Slack or Teams.

Questions
Is my customers' information safe?
Yes. Agents work in your own Outlook mailboxes and software and see only what their job needs. Customer details never go into public AI. Agents connect to AI through business-grade connections audited under SOC 2.
Does Copilot work in a shared mailbox in Outlook?
Partly. Microsoft says Copilot Chat can summarize and draft in shared and delegated mailboxes you have access to. Triage, sending on someone's behalf and scheduling meetings there are listed as coming soon, and most other Copilot features work only in your primary mailbox.
How does the Microsoft To Do Outlook integration work?
Turn on the Flagged email list in To Do, signed in with the same account as your email. Each email you flag in your primary mailbox becomes a task named after its subject. Flags from shared mailboxes don't come across.
Do I need a Copilot license to use Copilot in Outlook?
For Summarize, Draft with Copilot, coaching and priority sorting, Microsoft says you need a Microsoft 365 Copilot license from your admin. Without one, Copilot Chat in Outlook still answers questions about your inbox and calendar with limited data.
What does it cost?
You get the price on the call, along with the hours it saves your team.
