To connect Gmail in Outlook, add your Gmail account in Outlook and sign in with Google. You can also forward Gmail to an Outlook address, add an Outlook account to the Gmail app on your phone, or show your Google calendar in Outlook. Where it stops: the account can stop syncing without asking you to sign in again, and none of these answer the mail. Someone still reads both inboxes and replies. That is the work AI agents do.
Why people connect Gmail with Outlook
Lots of owners end up with two inboxes. The business runs on Microsoft 365, but the old Gmail address is still on the website, the invoices and the supplier list. Or the team uses Gmail and one big client only books meetings in Outlook. Checking two places means mail gets missed, and so do meetings.
So decide what you need. Adding the account puts both inboxes on one screen. Lining up calendars, or making sure nothing sits unanswered, takes more.
Four ways to connect Gmail and Outlook
Three are built into Gmail and Outlook. One is for calendars.
Add Gmail to Outlook
- How it works
- In new Outlook or classic Outlook, you add your Gmail address as an account and sign in with Google. Outlook shows your Gmail mail and labels next to your other accounts, and you send from either one.
- Good for
- Anyone who wants to read and send Gmail from Outlook, on Windows or Mac.
- Where it breaks
- It can stop syncing without asking you to sign in again. Older versions like Outlook 2016 may not take the Google sign in.
Add Outlook to the Gmail app
- How it works
- Google's help says you can't add an Outlook account to Gmail on your computer, because Microsoft now requires modern sign in. You add it in the Gmail app on your phone instead.
- Good for
- People who mostly read mail on their phone and want both accounts in one app.
- Where it breaks
- It only works in the phone app.
Forward Gmail to Outlook
- How it works
- In Gmail settings, on the Forwarding and POP/IMAP tab, you add your Outlook address, verify it, and forward a copy of new mail.
- Good for
- Moving to Outlook for good while the old Gmail address still gets mail.
- Where it breaks
- It goes one way: replies come from your Outlook address, and Google doesn't forward spam.
Add your Google calendar to Outlook
- How it works
- In Google Calendar settings, under Integrate calendar, you copy the Secret address in iCal format and paste it into Outlook.
- Good for
- Seeing your Google meetings next to your Outlook ones, so you don't book over them.
- Where it breaks
- Google calls it a view-only link, so you can't edit Google events from Outlook. A work admin may have turned it off.
Arkeo agents
- How it works
- Agents read new mail in your Gmail and Outlook inboxes as it lands, label or file it, and send it to the right person. They draft or send replies from the right address, flag mail no one has answered, and keep meetings booked on your calendar.
- Good for
- Owners and teams who get real work in both inboxes and can't keep up with either.
- Where it breaks
- Anything your rules keep for a person, like a new client, a complaint or a price question, goes to you in one message with a draft ready.
How to connect Gmail in Outlook: the steps
Microsoft's and Google's help pages show the screens. These are the parts, in order.
- 1
Add your Gmail account in OutlookIn new Outlook, go to View settings, then Accounts > Your accounts, and select Add account. In classic Outlook, select File > Add Account.
- 2
Sign in with Google and allow accessFollow the Google prompts and select Allow. If Outlook keeps asking for a password, update Outlook and add the account again.
- 3
Limit big folders if Outlook is slow
If Outlook crashes or mail takes too long to arrive, open Gmail settings, go to Forwarding and POP/IMAP, and limit IMAP folders to 10,000 messages or fewer.
- 4
Add your Google calendarIn Google Calendar settings, open your calendar, click Integrate calendar, copy the Secret address in iCal format and add it in Outlook.
Where Gmail in Outlook stops
Once Gmail shows up in Outlook, you can see everything. You still read it all, decide who answers and write each reply.
It can stop without telling you. Microsoft's known issues page says some Gmail accounts in classic Outlook stopped syncing on February 26, 2026, and Outlook didn't ask users to sign in again. Microsoft fixed it on March 20. It says a password change can cause the same thing.
New Outlook has its own gaps. On Microsoft's Q&A forum in 2026, separate threads describe Gmail mail showing up hours late or not at all, an account that stopped syncing both ways, and one Gmail account out of several that won't sync. The answers there mostly suggest refreshing the Google sign in or adding the account again.
Older Outlook may not sign in. Google says older versions such as Outlook 2016 may not support its sign in, and app passwords, the old workaround, aren't recommended.
Google is ending a feature. Gmail's Check mail from other accounts ends for existing users in January 2027, so anyone who pulls Outlook mail into Gmail on a computer has to switch to forwarding or the phone app.
So most weeks, someone checks that both inboxes are still syncing, reads everything twice and answers what nobody else will.

Questions
Is my customers' information safe?
Yes. Agents work in your own Gmail and Outlook and see only what their job needs. Customer details never go into public AI. Agents connect to AI through business-grade connections audited under SOC 2.
Can I connect Outlook to Gmail?
On your phone, yes: add your Outlook account in the Gmail app. On a computer, Google's help says you can't add an Outlook account to Gmail, because Microsoft now requires modern sign in.
Can I connect my Gmail calendar to Outlook?
Yes. Copy the Secret address in iCal format from Google Calendar's settings and add it in Outlook. You can see your events there but not edit them.
Why won't Outlook accept my Gmail password?
Gmail no longer lets apps sign in with just your Google username and password. Look for the Sign in with Google option. If your version of Outlook doesn't have it, update Outlook. Google says an app password with 2-Step Verification can work, but doesn't recommend it.
What does it cost?
You get the price on the call, along with the hours it saves your team.
