The Attio Gmail integration is built into Attio on all plans. Each person connects their own Gmail, and Attio brings in past and new emails and calendar events, then adds people and companies from them. Attio's Chrome extension also shows the matching records right inside Gmail. Where it stops: by default, people who email you but never get a reply aren't added, email text stays private to the sender unless they share it, a shared inbox can be connected by only one person, and nothing replies, sets the next task or moves the deal. Someone still does that by hand. AI agents do that work.
What the Attio Gmail integration has to do
Attio is the CRM. Gmail is where the deal actually moves: the first question, the proposal, the yes. When the two don't talk, someone copies each new contact into Attio, pastes notes from the thread, and tries to remember who is waiting on a reply.
So connected has to mean more than emails showing up on a record. Each real lead should land in Attio, even the ones who wrote first. The team should see enough of each thread to act on it. And when an email says yes, or goes quiet, the deal and the next task should change with it.
Ways to connect Attio and Gmail
Attio's own help center describes the first two. Zapier is the third.
Attio's email and calendar sync
- How it works
- Each team member connects their own Gmail under Account settings. Attio's help says it brings in all Gmail emails that haven't been deleted, keeps syncing new ones, and shows each email on the related person and company records. It can create people and companies for you from who you email.
- Good for
- Any team on Attio that sells or serves clients by email. It is on all plans.
- Where it breaks
- Attio's help says the default only creates people your team has emailed or met, so senders you never answered are skipped. Free and Plus allow one mailbox per person, Pro two. Emails deleted in Gmail stay in Attio until the mailbox is removed.
Attio's Chrome extension in Gmail
- How it works
- Open the extension on an email and it shows the Attio records that match the people on the thread. If there are none, it suggests new ones: click Add to Attio, fill in details, or add the record to a list.
- Good for
- Adding a lead or checking a deal without leaving the inbox.
- Where it breaks
- Each record is added one at a time, by hand. Attio's help says it doesn't work in incognito. Its Chrome Web Store listing shows 3.0 out of 5 from 39 ratings.
A Zapier zap
- How it works
- Zapier lists Gmail triggers like New Email Matching Search and New Labeled Email, and Attio actions like Create or Update Record, Create Note and Create Task.
- Good for
- One narrow job, like turning each email with a Lead label into an Attio record and a task.
- Where it breaks
- Zapier's page says New Labeled Conversation only fires the first time a label is added, and New Starred Email only if you star it within two days. Each case is a zap you build and watch.
Arkeo agents
- How it works
- Agents read new mail in your inbox, add the lead to Attio if it isn't there, send the first reply and a booking link, write the note, set the next task and move the deal. Threads that go quiet get a follow-up.
- Good for
- Small sales and success teams, like those at software companies, where leads come in by email and replies slip.
- Where it breaks
- Anything your rules keep for a person, like a pricing question or an upset client, goes to the owner in one message.
How to connect Attio to Gmail: the five steps
These follow Attio's own help center. Open it for the screens.
- 1
Connect your GmailIn Attio, click your workspace name, then Account settings, then Email and calendar accounts. Click Connect Account for Gmail and check all the permission boxes Google shows. The page says In sync when it's done.
- 2
Set what your team can seeBy default, the team sees who emailed whom, when, and the subject line. Email text stays private unless you share it, and internal emails are hidden. Change it if your team works shared deals.
- 3
Decide which contacts get created
An admin sets this under Workspace settings, then Email and calendar, then Record creation. All contacts adds everyone who emails you. The change isn't retroactive: reconnect mailboxes for it to apply to old mail.
- 4
Block the noiseAdd newsletter senders and domains to the blocklist so their mail stays out of Attio.
- 5
Add the Chrome extensionAdd Attio's extension from the Chrome Web Store, pin it, and log in. Then open it on any email to see or add the record.
Where the Attio Gmail integration stops
The sync files your email on the right record. It doesn't act on it.
Leads who write first can be missed. Attio's help says the default setting creates people only for contacts your team has emailed or had a meeting with, and skips senders who only wrote in. A new lead whose first email nobody answered isn't in Attio. Switching to All contacts fixes that, but it isn't retroactive; each mailbox has to be reconnected.
The team sees the subject, not the email. Attio keeps email text private by default. A teammate covering a deal can see that a client wrote, but not what they asked, until the owner shares it.
Shared inboxes don't fit well. Attio's help says a shared Gmail mailbox with its own login can be connected by one user, and only that user can send from it. On Free and Plus, each person gets one mailbox. Mail deleted in Gmail stays in Attio until the whole mailbox is removed.
And nobody replies. The email lands on the record, but the first answer, the booking link, the next task and the deal stage are all still done by hand. The extension helps one record at a time, and its Chrome Web Store rating sits at 3.0 out of 5.
When Attio's sync is enough
If your team is small, everyone works their own deals, and each lead gets a reply the same day, the built-in sync does what you need. Turn on All contacts, block the newsletters, and you're set.
If you are still deciding between CRMs, our Attio vs HubSpot article covers how each one handles email.
If you run HubSpot instead, the HubSpot and Gmail guide shows the same work from that side.

Questions
Is my customers' information safe?
Yes. Agents work in your own Attio and Gmail and see only what their job needs. Customer details never go into public AI. Agents connect to AI through business-grade connections audited under SOC 2.
Does Attio sync with Gmail on the free plan?
Yes. Attio's help says email and calendar sync is on all plans. Free and Plus allow one connected mailbox per person, Pro allows two.
Why aren't new leads showing up in Attio?
With the default setting, Attio only creates people your team has emailed or met. An admin can switch Record creation to All contacts, then reconnect the mailboxes so older mail is included.
Can my team read my emails in Attio?
Not by default. Attio shares who, when and the subject line with the team. Email text stays private unless you share it.
What does it cost?
You get the price on the call, along with the hours it saves your team.
