To connect Calendly to Outlook, you connect your Outlook calendar in Calendly's calendar settings and sign in with your Microsoft account. Calendly then checks your Outlook calendar for busy times and adds each booking to it. The Calendly for Outlook add-in is a second, separate piece: it lets you send your booking links from an email. Where it stops: Calendly checks only up to 4 Outlook calendars, it ignores your Outlook working hours, some companies need an admin to approve it first, and a sync can stop without telling anyone. Nobody preps the call or follows up after it. AI agents do that work.
What it takes to connect Calendly to Outlook
Most small teams send a Calendly link to book a call and live in Outlook the rest of the day. When the two don't agree, a client books a time you are already in a meeting, a booking never shows on your calendar, or a canceled call still sits there.
So connected has to mean two things. Calendly has to see each busy time on the Outlook calendars that matter, and each booking has to land on the right Outlook calendar. Calendly's calendar connection does both, inside limits you should know before a client runs into them.
Three ways to connect Calendly with Outlook
Calendly makes all three. Most people need only the first one, and the add-in sits on top of it.
The Outlook calendar connection
- How it works
- In Calendly, you connect Outlook Calendar under Settings, Scheduling, Calendars and sign in with your Microsoft 365 or Outlook.com account. You set which Outlook calendars Calendly checks for busy times, and one calendar where it adds new bookings.
- Good for
- Anyone who uses Outlook in Microsoft 365 or Outlook.com. This is the main connection.
- Where it breaks
- Calendly checks up to 4 Outlook calendars for conflicts and shows only the first 10 that Microsoft shares. It adds bookings to one calendar only, and only one you can edit. Some companies have Microsoft set so an admin has to approve Calendly before anyone can connect.
The Calendly for Outlook add-in
- How it works
- You add Calendly for Outlook from Microsoft AppSource, or in Outlook for Windows under More Apps, then Add apps. In a new email or reply, you click the Calendly icon to put a booking link, a meeting poll or a one-off meeting time into the message.
- Good for
- People who send booking links by email all day and don't want to copy them from another tab.
- Where it breaks
- It shares links. It does not connect your calendar, so it does nothing about double bookings. Calendly says the add-in and the plug-in are different things, and people mix them up.
The desktop plug-in for Windows
- How it works
- If you can't use the Microsoft 365 connection, Calendly has a plug-in for desktop Outlook on Windows. You download it, paste in a key from Calendly, and set which calendars it checks and where it adds meetings.
- Good for
- Offices that run desktop Outlook on Windows and can't connect Microsoft 365 to Calendly.
- Where it breaks
- Calendly says it syncs only while it is running in the background and the computer is online. It is Windows only, not for the Microsoft Store version of Outlook, and one plug-in per user. When that computer is off, Calendly can't see new busy times.
Arkeo agents
- How it works
- Agents read each new booking and the form answers in Calendly, check it against the Outlook calendar, send whoever takes the call a short brief, mark no-shows and send a new booking link, and send the next steps after the call.
- Good for
- Teams that book client calls all week, where a missed or double-booked call costs a client.
- Where it breaks
- Anything your rules keep for a person, like a reply to an upset client, goes to the owner in one message.
How to connect your Outlook calendar to Calendly
These follow Calendly's own guides. Open them for the screens.
- 1
Connect Outlook Calendar in CalendlyGo to Settings, then Scheduling, then Calendars. Click Connect next to Outlook Calendar and sign in with your Microsoft account. If you signed up with a Microsoft 365 or Outlook.com address, check the list first. It may already be connected.
- 2
If you see Approval required, ask your Microsoft adminSome companies set Microsoft so an admin has to approve outside apps. Calendly can't get around it. Ask your admin, or click Request approval if the message shows it. Your admin approves Calendly in Microsoft Entra.
- 3
Set which calendars count as busyTurn on up to 4 Outlook calendars for Calendly to check. Under What's considered unavailable, keep Busy, Tentative, Away or Out of Office and Working Elsewhere unless you have a reason to drop one.
- 4
Set where bookings goUnder Calendar to add events to, set the one Outlook calendar for new bookings. It has to be a calendar you can edit. Calendly won't add events anywhere else.
- 5
Add the Calendly for Outlook add-inGet Calendly for Outlook from Microsoft AppSource with Get it now. In Outlook for Windows, go to More Apps, then Add apps, and search for Calendly for Outlook. Then open a new email and click the Calendly icon.
- 6
Book a test call
Put a busy block on your Outlook calendar, then open your booking page and check that the time is gone. Book a test call and check it lands on the right Outlook calendar.
Where the Calendly Outlook integration stops
The connection keeps Calendly from booking over a busy event. Knowing which events count, and noticing when the sync stops, is still a person's job.
Only some calendars are checked. Calendly's guide says you can turn on up to 4 Outlook calendars for conflicts, and it shows only the first 10 that Microsoft shares. In a Calendly Community thread, staff add that shared calendars need edit access and that subscribed calendars, like a holiday calendar, generally can't be checked. Their advice is to copy those events onto your own calendar as Busy, by hand.
Working hours don't come across. In a 2026 Community thread, a user's booking page showed each day open while Outlook was full. Calendly's team explained that it does not pull Outlook working hours, so you set your hours again inside Calendly.
A sync can stop without a warning. In another thread, bookings kept sending emails but stopped showing on the person's Outlook calendar, and a moved meeting led to a double booking. Reconnecting the calendar and reinstalling did not help, and the thread ends with a referral to Support. The desktop plug-in has its own gap: Calendly says it syncs only while it runs and the computer is online.
Only your own changes count. Calendly's guide says that if you decline or delete a booking in Outlook, it is canceled in Calendly. If the client moves or deletes the event in their own calendar, nothing changes.
And none of it does the work around the call. Who booked, what they wrote on the form, whether they showed up, and who sends the next steps all stay with whoever took the call.

Questions
Is my customers' information safe?
Yes. Agents work in your own Calendly and Outlook and see only what their job needs. Customer details never go into public AI. Agents connect to AI through business-grade connections audited under SOC 2.
How do I connect Calendly to my Outlook calendar?
In Calendly, go to Settings, then Scheduling, then Calendars, and click Connect next to Outlook Calendar. Sign in with your Microsoft account, then set which calendars Calendly checks and where it adds bookings.
Why is Calendly double booking me with Outlook?
Check that the busy event is on one of the up to 4 calendars Calendly checks, and that it is marked Busy. Calendly's team says subscribed calendars generally can't be checked and Outlook working hours don't come across. If it still happens, disconnect and reconnect the calendar, then contact Calendly Support.
What is the difference between the Calendly add-in and the plug-in?
The add-in puts your Calendly links into an Outlook email. The plug-in connects desktop Outlook on Windows to Calendly, so it can check for conflicts and add meetings. Calendly says to use the plug-in only if you can't use the Microsoft 365 or Outlook.com connection.
What does it cost?
You get the price on the call, along with the hours it saves your team.
