Appointments booked straight onto your Outlook calendar

OutlookCalendly
The short answer

A scheduling software Outlook integration reads your Outlook calendar for busy times, so clients only see the times you are free, and puts each booking on your calendar. Microsoft Bookings does it inside Microsoft 365 and comes with Business Basic, Standard and Premium. Calendly connects to Outlook from its calendar settings. Where they stop: Bookings has two versions with different settings and can still double book one person across services, Calendly checks only 4 Outlook calendars and writes to one, and some companies need an admin to approve it first. Neither preps the call or follows up after it. AI agents do that work.

What a scheduling software Outlook integration has to do

Clients want to book a time without a string of emails. Your team lives in Outlook. Appointment scheduling software sits between the two: it shows the client a page of open times and puts what they book on the right person's calendar.

So the Outlook part has to do two things well. It has to see each busy time on the calendars that matter, so nobody gets booked over a meeting. And it has to write the booking to the right calendar, with the client's details, so the person who takes it is ready.

Two kinds of scheduling software with Outlook integration

One is Microsoft's own. One is a separate booking app that connects to Outlook.

Microsoft Bookings

How it works
Bookings is part of Microsoft 365. It gives you a web booking page tied to your Outlook calendars, with email and text reminders. Personal Bookings is for one person's time. Shared Bookings is for a team page with services, staff and business hours. You can add it to the left side of Outlook or Teams.
Good for
Offices already on Microsoft 365 Business Basic, Standard or Premium who want a booking page with no second app.
Where it breaks
Microsoft has two Bookings versions, and on Microsoft Q&A people say the staff settings in Microsoft's steps weren't on their screen. A moderator there said Bookings doesn't fully stop one person being double booked across different services. Staff from outside your company can't share their free and busy times with it.

Calendly with Outlook

How it works
In Calendly, you connect Outlook Calendar under Settings, Scheduling, Calendars and sign in with your Microsoft 365 or Outlook.com account. Calendly checks the Outlook calendars you turn on for busy times and adds each booking to one calendar.
Good for
Teams who send clients a booking link in their emails, and book from more than one calendar app.
Where it breaks
Calendly's guide says it checks up to 4 Outlook calendars for conflicts, shows only the first 10 that Microsoft shares, and adds bookings to one calendar you can edit. Calendly also says Microsoft may block it until a Microsoft admin approves the app.

Arkeo agents

How it works
Agents read each new appointment and its form answers, check it against the Outlook calendar, send whoever takes it a short brief, follow up on a no-show with a new link, and send the next steps after the call.
Good for
Offices that book client appointments all week, where a missed or double-booked one costs a client.
Where it breaks
Anything your rules keep for a person, like a reply to an upset client, goes to the owner in one message.

How to set up appointment scheduling software with Outlook

Each vendor's guide has the full screens. These are the parts.

  1. 1

Bookings: check it is turned on

Bookings comes with Microsoft 365 Business Basic, Standard and Premium, among others. If you can't find it, a global admin turns it on in the Microsoft 365 admin center under Settings, then Org settings, then Shared Bookings, with Allow your organization to use Bookings.

  2. 2

    Bookings: add it to Outlook

In Outlook, select the Apps icon on the left, search for Microsoft Bookings, select Add and pin it. You can also open it on the web at book.ms.

  3. 3

Bookings: add staff and keep their calendars counted

In a shared booking page, go to Staff, then Add new staff. Leave Events on Microsoft 365 calendar affect availability turned on, so each person's Outlook meetings block time. A page can have up to 100 staff.

  4. 4

    Calendly: connect Outlook Calendar

In Calendly, go to Settings, then Scheduling, then Calendars, and click Connect next to Outlook Calendar. Turn on up to 4 calendars to check for conflicts and set the one calendar to add events to.

  5. 5

    Book a test appointment

Put a busy meeting on your Outlook calendar and check the time is gone from your booking page. Then book a test appointment and check it lands on the right calendar, with the client's details.

What still has to be done by hand

Both apps keep a client from booking over a meeting they can see. Making sure they see the right meetings, and doing the work around each appointment, is still on your team.

The settings aren't always where Microsoft says. In a 2026 Microsoft Q&A thread, a Bookings page showed only a few open times while Outlook was mostly free. The fix offered was a set of staff and service settings, but the person couldn't find them. A moderator explained there are two versions of Bookings, and later replies said an admin had to change a setting. The thread has no accepted answer.

One person can still be booked twice. In another 2026 thread, the same time could be booked twice for one staff member. The moderator's answer was a list of workarounds, said Bookings doesn't fully prevent it across different services, and noted that the most attendees per event can't be changed once a service is published.

Calendly sees only part of the calendar. Its guide says it checks up to 4 Outlook calendars and writes to one, and only one you can edit. A team calendar it doesn't check can still be booked over.

An admin may have to say yes first. Calendly says Microsoft may block it until a Microsoft admin approves the app, and only a global admin can turn Bookings on for the company.

And no booking app does the rest: reading what the client wrote, sending a brief to the person who takes it, chasing a no-show, and sending the next steps.

See agents prep and follow up on each appointment in OutlookBring your booking page and a week of your Outlook calendar. In 15 minutes you'll know which of this work agents would do, and the hours it would save.

The agents that do it

Each agent does one job from start to finish, in your own Outlook and booking app. Your team talks to them in Slack or Teams.

Does Microsoft have its own appointment scheduling software for Outlook?

Yes. Microsoft Bookings comes with Microsoft 365 Business Basic, Standard and Premium, and with several Office 365 and Microsoft 365 business and school plans. It gives you a booking page tied to your Outlook calendar, and you can add it to Outlook or Teams.

How many Outlook calendars can Calendly check?

Calendly's guide says up to 4 sub-calendars for conflicts. It shows only the first 10 that Microsoft shares, and it adds bookings to one calendar you can edit.
