Five CRMs that work with Outlook, side by side

OutlookHubSpotSalesforcePipedrive
The short answer

There is no single best CRM with Outlook integration. HubSpot and Zoho CRM put a side panel in Outlook, and HubSpot's works on all its plans, free ones too. Salesforce adds a panel plus Einstein Activity Capture, which logs email with no clicks. Pipedrive and Attio sync your Microsoft 365 email into the CRM instead. Where all five stop: they get the email onto the contact, but none reads it and moves the deal, writes the next step or follows up. AI agents do that part, in whichever CRM you run.

What to look for in a CRM with Outlook integration

Most sales talk at a small company happens in Outlook. If it never reaches the CRM, deals look quiet when they are not, and nobody else can see what a rep promised. So the first question is simple: how does each email get from Outlook into the CRM?

There are two ways. Some CRMs put a side panel in Outlook, and you log email from there. Others sync your mailbox into the CRM and match email to people by address. Panels keep reps in Outlook. Syncs log more email without a click. Check which email your company runs too: four of these five need email hosted by Microsoft 365, or an Exchange server.

The five, one by one

1

HubSpot

Best for
Small teams that want a free CRM with an Outlook side panel.
Good to know
The HubSpot Sales Office 365 add-in works on all HubSpot plans. It tracks and logs email and shows the contact's record in Outlook, but only when its pane is open while you write. It needs email hosted by Microsoft 365.
How agents connect
In HubSpot, under Development, then Legacy apps. You create a private app, set what it can see and change, and copy its key.

2

Salesforce

Best for
Teams that want email logged with no clicks and have someone to set it up.
Good to know
Salesforce's Outlook integration shows Salesforce records next to each email, and reps log email and meetings to them. Einstein Activity Capture logs email and syncs contacts and events on its own. Setup needs a Salesforce admin and whoever runs your Exchange server.
How agents connect
In Salesforce Setup, under External Client Apps. You create an app for your company, set what it can see and change, and give the user the agents sign in as API access.

3

Pipedrive

Best for
Small sales teams that want email in the CRM, linked to deals on its own.
Good to know
Pipedrive's email sync works with Office 365 and Outlook, on the Growth plan and higher. It links each email to a deal, lead or project by the email address. The Outlook add-ins in its Marketplace, like Pipedrive for Outlook, are made by other companies.
How agents connect
In Pipedrive, under Settings, then Personal preferences, then API. The user the agents work as copies their API token.

4

Zoho CRM

Best for
Teams that want to add leads, deals and tasks from inside Outlook.
Good to know
The Microsoft Outlook add-in for Zoho CRM shows a sender's details, adds leads and contacts, links an email to more than one record and makes tasks, calls and deals. It needs an Office 365 subscription and Exchange 2016 or 2019.
How agents connect
In the Zoho API console. You make a self client, set what it can see and change, then make a code for your CRM organization.

5

Attio

Best for
Teams that want email and meetings to fill the CRM without anyone logging them.
Good to know
Attio syncs email and calendar from Outlook accounts hosted by Microsoft 365. It brings in only the Inbox and Sent folders, and it can't sync Microsoft 365 shared inboxes.
How agents connect
In Attio, open Workspace settings, then the Developers tab. You make a new access token, set what it can see and change, and copy it.

What each one leaves to your team

All five get email from Outlook onto a contact. The work in the middle is the email that slips past, and what each email means for the deal.

Panels depend on the rep. HubSpot's own help says its logging settings only apply when the HubSpot Sales pane is open while you write, and that email sent as plain text can't be tracked. Its Outlook app on the HubSpot Marketplace is rated 3.0 out of 5 from about 3,150 ratings, with 44 percent at one or two stars. The review topics HubSpot lists most are signing in again, email logging and add-in bugs. Salesforce's panel has reps log email by hand unless you add Einstein Activity Capture, and each rep needs the add-in. Pushing it to everyone through Microsoft's Centralized Deployment can take 24 to 72 hours, Microsoft says.

Syncs miss shared inboxes. Attio says Microsoft 365 shared inboxes can't be synced and only Inbox and Sent come across, so mail filed in other folders stays out. Pipedrive syncs email only on its Growth plan and up, and the add-ins that put Pipedrive inside Outlook are made by other companies. Pipedrive for Outlook, one of them, needs a paid plan after a 7 day trial.

Zoho's add-in marks a new lead's required fields in red, so someone types those in by hand.

And none of them updates the deal. The email lands on the contact, but the stage, the next step and the follow-up stay where they were until someone reads it and acts. Teams that want that part done hand it to an agent.
