The Zoho CRM integration with Outlook comes in three parts, all from Zoho. The free Zoho CRM for email add-in shows the CRM record next to each email and lets you add leads, tasks and deals. The Microsoft 365 sync keeps your meetings and contacts matched. The mailbox connection shows your Outlook email on each lead and contact. Where it stops: the add-in links an email only when you click, leads don't sync to Outlook contacts, imported contacts and meetings are skipped, and none of them moves the deal or writes the next step. AI agents read the email and update the deal.
What a Zoho CRM integration with Outlook has to do
Your team sells over email in Outlook. Zoho CRM is where the deals live. When the two don't talk, the CRM shows a quiet deal that is really moving, a manager can't see what a rep promised, and contacts get typed in twice.
So a good connection does more than put the email on the contact. It keeps each deal right: the stage, the next step, and who owes the next reply.
Three ways to connect Zoho CRM and Outlook
All three come from Zoho. Many teams use more than one.
The Zoho CRM for email add-in
- How it works
- A free add-in from Microsoft's marketplace. When you open an email, a side panel shows the sender's lead or contact. From there you can add a lead or contact, add notes, tasks, meetings and calls, make a deal, and link the email to one or more records.
- Good for
- Reps who want to see the CRM while they read email, and log what matters by hand. It has 4.3 stars from about 3,000 ratings on Microsoft's marketplace.
- Where it breaks
- Zoho's guide only describes linking an email with a click on Associate Email, one email at a time. It needs Office 2019 or later on Windows, Office 2016 or later on Mac, and an Office 365 subscription.
Zoho CRM's Microsoft 365 sync
- How it works
- A Microsoft 365 admin turns on the integration. Then each person can turn on event and contact sync under Marketplace, then Microsoft, in Zoho CRM. Synced contacts land in a Zoho CRM Contacts folder in Outlook.
- Good for
- Teams who want their CRM meetings in their Outlook calendar, and their CRM contacts on their phone.
- Where it breaks
- Zoho's guide says only events and contacts you own sync, and ones that came in by import or migration don't. The first sync covers up to 5,000 events and 10,000 contacts. Zoho's staff say leads don't sync, only contacts.
The mailbox connection
- How it works
- Under Setup, then Channels, then Email, then Email Configuration, you connect your Office 365 or Outlook mailbox. Emails to and from your leads and contacts then show in each record's Emails list.
- Good for
- Teams who want each lead's and contact's emails on the record with no clicks.
- Where it breaks
- The email shows on the record, but the deal stage, the next step and the follow-up task stay as they were. Zoho's guide says that if a user leaves, their emails must be backed up within six months or they no longer show.
Arkeo agents
- How it works
- Agents read each email and meeting in Outlook, log it on the right lead, contact and deal in Zoho CRM, close the task when the reply lands, write the next step, and move the deal stage when your rules say so.
- Good for
- Teams where the CRM has to be right, and reps would rather sell than type.
- Where it breaks
- Anything your rules keep for a person, like closing a deal or a reply that needs the owner, goes to them in one message.
How to set up Zoho CRM with Outlook
These follow Zoho's own guides. Open them for the screens.
- 1
Check your OutlookThe add-in needs Office 2019 or later on Windows, or Office 2016 or later on Mac, and an Office 365 subscription. Exchange accounts need Exchange 2016 or 2019.
- 2
Add the add-in and pin itIn Outlook, select an email, then Apps, then Get add-ins. Search for Zoho CRM for email, select Add, then Continue. Pin it, then sign in with your Zoho account.
- 3
Connect your mailboxIn Zoho CRM, go to Setup, then Channels, then Email, then Email Configuration. Select Office 365 or Outlook, then IMAP or POP, then Configure, and sign in. Set how far back to bring in email.
- 4
Turn on meeting and contact syncA Microsoft 365 admin turns on the Zoho CRM integration first. Then go to Marketplace, then Microsoft, open the Office 365 tab, and select Enable under Events and under Contacts. Check the field mapping for contacts.
- 5
Test with one lead and one contact
Send an email to a test lead and check that it shows in the lead's Emails list. Make a test contact and check that it shows in the Zoho CRM Contacts folder in Outlook.
What still has to be done by hand
Each part does one job well. The work between them still falls to the rep.
The add-in waits for a click. Zoho's guide describes linking an email to a record with Associate Email, by hand. In a Zoho community thread from about 2021, a user said the add-in only showed records that already matched the sender's email, with no way to search for another record, and Zoho's staff said search was not yet supported then.
Leads stay out of Outlook. In a 2024 thread in Zoho's community, a user found that new leads never reached Microsoft 365. Zoho's staff answered that you can only sync contacts, not leads, and pointed to adding them by hand with the add-in. A year later, another user said contact sync still failed for a client while meetings and tasks came through.
Not everything syncs. Zoho's guide says only the events and contacts you own sync. Contacts and events that came in by import or migration don't, and the first sync stops at 5,000 events and 10,000 contacts. So contacts a team brought into Zoho CRM by import never reach Outlook on their own.
And nothing updates the deal. The mailbox connection puts the email on the lead or contact. The deal stage, the next step and the follow-up task stay where they were until someone reads the email and acts.
The agents that do it
Each agent does one job from start to finish in your own Zoho CRM and Outlook. Your team talks to them in Slack or Teams.

Questions
Is my customers' information safe?
Yes. Agents work in your own Outlook and Zoho CRM and see only what their job needs. Customer details never go into public AI. Agents connect to AI through business-grade connections audited under SOC 2.
Does Zoho CRM work with Outlook?
Yes. Zoho has a free Zoho CRM for email add-in for Outlook, a Microsoft 365 sync for meetings and contacts, and a mailbox connection that shows your email on each lead and contact.
Does Zoho CRM sync leads to Outlook?
No. Zoho's staff say the Microsoft 365 sync covers contacts, not leads. A lead shows up in Outlook after it is converted to a contact, or you add it by hand with the add-in.
Does the Zoho CRM add-in work in Outlook on Mac?
Yes. Zoho's guide lists Office 2016 or later on Mac and Office 2019 or later on Windows, with an Office 365 subscription.
What does it cost?
You get the price on the call, along with the hours it saves your team.
