To connect Zoom to Outlook, most people add the Zoom for Outlook add-in. It puts an Add a Zoom Meeting button on each new event in Outlook on the web, Windows, Mac and the Outlook mobile app. You can also connect your Outlook calendar to Zoom from your Zoom profile, so your meetings show in the Zoom app and changes sync both ways. Where it stops: after a time change someone has to click Update, a move or cancel in Outlook doesn't always reach Zoom, Outlook can add a Teams link too, and nobody follows up after the call. AI agents check the meetings and do that follow-up.
What it takes to connect Zoom to Outlook
Most small teams book meetings in Outlook and hold them in Zoom. When the two don't agree, people join the wrong link, a meeting shows at the old time in one place, or a client gets two invites for the same call.
So connected has to mean two things. Each Outlook event carries one right Zoom link, and a change in one place shows up in the other. Zoom's add-in does the first part well. Zoom's calendar connection does some of the second part, with gaps you should know about.
Three ways to connect Zoom with Outlook
Most people start with the add-in, and many teams use the first two together.
The Zoom for Outlook add-in
- How it works
- Zoom's own add-in for Outlook. You add it from the Microsoft store, or your Microsoft 365 admin adds it for everyone. It puts a Zoom button on new events in Outlook on the web, Windows, Mac and the Outlook mobile app, and writes the link and call details into the invite.
- Good for
- Anyone who books meetings in Outlook and wants the Zoom link in each invite with one click.
- Where it breaks
- Zoom says to set the date and time before you add the meeting, and to click Update in the Zoom panel after any change. Outlook adds Teams by default, so an event can carry both links. In a Zoom Community thread open since 2022, people keep reporting that a time change or cancel in Outlook doesn't reach their Zoom schedule.
Zoom's calendar connection
- How it works
- In the Zoom web portal, under Profile, you connect Office 365 in the Calendar and Contact Integration section. Your Outlook meetings then show in the Zoom app, and sync runs both ways by default.
- Good for
- People who start their meetings from the Zoom app and want their Outlook calendar there.
- Where it breaks
- Your admin has to turn it on, and each person can connect only one calendar service. Zoom says changing a meeting's time in the Zoom app makes a new Outlook event instead of moving the old one. If the sign-in expires, events stop syncing until someone signs in again.
A Zapier zap
- How it works
- Zapier has Zoom and Microsoft Outlook steps, like New Calendar Event and Updated Calendar Event in Outlook, and Create Meeting and Update Zoom Meeting in Zoom. You build the zap yourself.
- Good for
- Teams with one fixed routine, like a Zoom meeting for each new event on one calendar.
- Where it breaks
- Each case is a step you build and keep up: new events, time changes and cancels. When a step fails, someone has to notice it in Zapier and fix the meeting by hand.
Arkeo agents
- How it works
- Agents read your Outlook calendar and your Zoom meetings, check that each meeting has one right link and time, and after each call post who owes what, add the tasks and send the next steps.
- Good for
- Teams that spend the week on client calls, where a missed follow-up costs a client.
- Where it breaks
- Anything your rules keep for a person, like a reply to an upset client, goes to the owner in one message.
How to connect Zoom to your Outlook calendar
These follow Zoom's own guides. Open them for the screens.
- 1
Install the Zoom for Outlook add-inIn Outlook on the web, get it from the Microsoft store with Get It Now. In Outlook for Windows, go to File, Info, Manage Add-ins and add Zoom for Outlook. On a Mac, use Get Add-ins. Your admin can add it for everyone from Settings, Integrated apps in the Microsoft 365 admin center.
- 2
Set the time first, then add ZoomMake a New Event and enter the date, time and guests. Then select Zoom and Add a Zoom Meeting. If you change the time later, open the Zoom panel and click Update.
- 3
Make Zoom the default instead of TeamsIn Outlook on the web, open Settings, go to Events and invitations, turn on Add online meeting to all meetings and set it to Zoom. This keeps a Teams link out of your Zoom invites.
- 4
Connect your Outlook calendar to ZoomIn the Zoom web portal, open Profile, find Calendar and Contact Integration and click Configure Calendar and Contacts Service. Select Office 365, keep Authorize with OAuth 2.0 checked, and allow access. Then sign out of the Zoom app and back in.
- 5
Test one change
Move one test meeting in Outlook, then check the Zoom app and the link in the invite. Do it again after any Outlook or Zoom update.
Where the Zoom Outlook integration stops
The add-in puts a Zoom link in the invite. Keeping that link, the time and the guests right is still a person's job. Zoom's own guide says to set the date and time before you add the meeting, or it may be booked for a default time and expire before the real start. After any change, you click Update in the Zoom panel. Skip that, and the invite and the Zoom meeting can say different things.
Changes don't always cross over. In a Zoom Community thread first posted in 2022, people kept writing through 2024 that moving or cancelling an event in Outlook did not update their Zoom schedule. Zoom's calendar guide has a gap the other way: change the time in the Zoom app and you get a new Outlook event, not a moved one. And if the sign-in expires, events stop syncing until someone signs in again.
Repeat meetings are harder. Microsoft lists a known issue: when the Zoom link changes on one meeting in a series, the Join button in Outlook keeps opening the old link. Microsoft's advice is to tell people to use the link in the invite instead, or to make a separate meeting.
Two links can land in one invite. Outlook adds Teams by default, and Zoom says that if that setting is on and you also add Zoom by hand, the event gets both. Guests then join whichever link they see first.
And none of it does the work after the call. Who joined, who missed it, what was agreed and who sends the notes all stay with whoever ran the meeting.
The agents that do it

Questions
Is my customers' information safe?
Yes. Agents work in your own Zoom and Outlook and see only what their job needs. Customer details never go into public AI. Agents connect to AI through business-grade connections audited under SOC 2.
How do I connect Zoom to my Outlook calendar?
There are two ways, and you can use both. Add the Zoom for Outlook add-in to put a Zoom link on each Outlook event. Then connect Office 365 in your Zoom profile, under Calendar and Contact Integration, so your Outlook meetings show in the Zoom app.
Why does my Outlook invite have a Teams link and a Zoom link?
Outlook adds Teams to meetings by default. Zoom says that if Add online meeting to all meetings is on and you also add Zoom by hand, the event gets both. Set Zoom as the provider in that setting instead.
Does the Zoom add-in work in the Outlook mobile app?
Yes. Zoom lists the Outlook app for Android and iOS. Tap your profile icon, then the settings icon, then Add-ins, and add Zoom.
What does it cost?
You get the price on the call, along with the hours it saves your team.
