Zoom automation starts with Workflows in ZoomMate, Zoom's AI assistant. A workflow starts when a meeting ends, a form is filled in, a set time comes, or a call is missed on Zoom Phone, then runs the steps you set: write the meeting summary, post it in Zoom Chat, save it to Google Drive or make a task in another app. Zapier is the other common way, with triggers like New Meeting Ended and New Cloud Recording. Where it stops: the free plan gets 10 runs a month inside Zoom apps only, an admin has to turn workflows on, and a workflow moves the summary but nobody checks it, updates the deal or chases the next step. AI agents do that part.
What to automate in Zoom
Most of the work around a Zoom call happens after it ends. Someone writes up the notes, sends them to the people who were there, adds the action items to the project tool, logs the call on the client's record and books the next meeting. When that is done by hand, it is done late, or not at all.
Those are the jobs Zoom automation is good at. After a meeting, a workflow can write the summary and send it to a Zoom Chat channel, save it to Google Drive or OneDrive as a new document, or make tasks in a tool like Jira or Asana. On a schedule, it can send your manager a summary of the week's meetings each Friday. From Zoom Phone, a missed call, a new text or a new voicemail can start a workflow, like sending you the voicemail transcript in Zoom Chat.
For calls with clients and leads, the same idea reaches your calendar and CRM: the meeting is booked with a link, and the call lands on the right contact. Zoom's own workflows and Zapier are the two main ways to set this up.
How to build a Zoom workflow
Five steps, in our words, from Zoom's own getting started guide for ZoomMate Workflows. Open it for the full screens.
- 1
Have an admin turn workflows onIn the Zoom Admin Center, go to the ZoomMate section and turn on the Workflow Automation setting. Turn on Create and Share too if people should build their own. Zoom's release notes say turning on Workflows under Zoom AI alone isn't enough.
- 2
Start from a templateOpen ZoomMate and go to Workflows. The template gallery is sorted by team, like Sales, Marketing, IT and HR. A good first one is Send meeting summary to Google Drive.
- 3
Connect the other appSign in to the other app when asked, like Google Drive, and set where things should go, like the folder for summaries. You can also describe a workflow in plain words and ZoomMate's Workflow Builder will make it, or set each step yourself in the visual builder.
- 4
Add an approval step for anything sent outside
If the workflow sends messages to customers or changes your CRM, add an approval step. The workflow stops there until you approve, change or decline what it is about to do.
- 5
Test it, then publishUse the builder's test mode first. Zoom warns that test mode takes real actions, so test on a meeting that doesn't matter. Then publish it, and check its runs after a few meetings.
Zoom automation with Zapier
Zapier is the other common way to automate Zoom. Its Zoom triggers include New Meeting Ended, New Meeting Summary, New Audio Transcript, New Cloud Recording, New Meeting Registrant and New Webinar Registrant. Its Zoom actions include Create Meeting, Update Zoom Meeting, Create Webinar Registrant and Delete Meeting Recordings.
That fits teams whose work lives in apps ZoomMate doesn't reach, or who already keep their other zaps in Zapier. For example, a zap can add each new sign-up from a web form as a webinar registrant in Zoom. Another can send each new transcript to your CRM or a shared folder. Each zap is one path you build and keep up yourself.
Where Zoom automation stops: what is still done by hand
A workflow follows the steps you gave it. It can write a summary, save it and post it. It can't tell that the summary got a price wrong, that the client asked for something nobody owns, or that the next meeting never got booked. Zoom's own pages show a few more places where people still fill the gap.
The free plan stays inside Zoom. Zoom's ZoomMate page says the Basic plan gets workflows in Zoom apps only, with 10 runs a month. Reaching Salesforce, Jira or Google Drive takes a paid ZoomMate plan, and Zoom's release notes say saving summaries to OneDrive or Google Drive needs a ZoomMate license. Zoom also says some workflow actions use AI credits, and its guide says to watch how fast they go.
Setup sits with an admin, and runs can end early. Zoom's release notes say admins have to turn on settings in two places before workflows work, and on education accounts both start off. A run that is missing what it needs now ends with a Terminated status. Someone has to open the runs to see that.
Triggers do what you said, not what you meant. Zoom's guide warns that a meeting ended trigger set for all your meetings runs after each one, internal calls too. On Zapier, the New Meeting Summary trigger only works when you are the meeting host, so a call a colleague hosted never starts the zap.
And the summary doesn't always show up. In a long Zoom Community thread, many people say no meeting summary was made after some calls, even with auto-start turned on, and others say it came hours late. A workflow that sends the summary then has nothing to send until someone notices.
So most teams end up with summaries in more places, and the same people still reading them, updating the deal, chasing the action items and booking the next call.
The agents that do whole jobs from Zoom
Each agent reads the recording and transcript after the call and does the job from start to finish. Your team checks the result in Slack or Teams.
Consultants coached after each call.
- Reads each client callafter the call
- Scores it on your firm's standardper call
- Sends a private review to the consultantwithin an hour
Meetings end with owners, not just notes.
- Reads the meeting transcriptafter the meeting
- Posts who owes what and adds the taskswithin the hour
- Checks the tasks got doneevery morning
Your CRM knows what was said on the call.
- Reads each sales or client callafter the call
- Logs a short summary on the deal or contactsame day
- Sets the next step and tells the ownerright away
What agents do after the call
Agents start where the workflow stops. After a client call, one reads the transcript, posts who owes what, adds the tasks and checks the next morning that they got done. Another writes a short summary on the deal in your CRM and sets the next step with its owner.
For firms that sell advice, an agent can score each client call on your firm's standard and send the consultant a private review within an hour. Anything your rules keep for a person, like a promise on price or an unhappy client, goes to the owner in one message.
Questions
Is my customers' information safe?
Yes. Agents work in your own Zoom account and see only what their job needs. What clients say on calls never goes into public AI. Agents connect to AI through business-grade connections audited under SOC 2.
Can I automate Zoom on the free plan?
A little. Zoom's ZoomMate page says the free Basic plan gets workflows in Zoom apps only, with 10 runs a month. Workflows that reach other apps, like Google Drive or Salesforce, need a paid ZoomMate plan.
Can Zoom send the meeting summary somewhere on its own?
Yes. A ZoomMate workflow can send the summary to a Zoom Chat channel or save it to Google Drive or OneDrive after each meeting. Saving to Google Drive or OneDrive needs a ZoomMate license.
Does Zoom work with Zapier?
Yes. Zapier has Zoom triggers like New Meeting Ended, New Cloud Recording and New Webinar Registrant, and actions like Create Meeting and Update Zoom Meeting. The New Meeting Summary trigger only works for meetings you host.
What does it cost?
You get the price on the call, along with the hours it saves your team.
