Zoom calls that move the right Pipedrive deal

PipedriveZoom
The short answer

To connect Pipedrive to Zoom, install the Zoom meetings app from the Pipedrive Marketplace. Then, on any activity, click video call and Zoom meeting, and Pipedrive makes a Zoom link, puts it in the invite and sets it as the location. For what was said on the call, Pipedrive Nova can join Zoom calls from your calendar, record them and save a summary on the deal. Zapier can also link the two. Where it stops: invites need calendar sync, Nova only suggests changes to the deal for a person to approve, guests can opt out of recording, and nobody sets the next activity unless someone does. AI agents do that part.

What a Pipedrive Zoom integration has to do

Sales calls and client meetings at consulting firms and other service businesses happen on Zoom. The deals, the people and the next steps live in Pipedrive.

When the two don't talk, someone makes the Zoom link by hand, pastes it in the invite, and after the call types the notes into Pipedrive, if they get to it at all.

So connected has to mean more than a link on the activity. The call should land on the right deal, with what was agreed. The deal should move, and the next activity should be set before the rep starts the next Zoom call.

Ways to connect Pipedrive and Zoom

The first two are in Pipedrive. Zapier fills gaps.

Pipedrive's Zoom meetings app

How it works
You install Zoom from the Pipedrive Marketplace, or from any activity by clicking video call, then Zoom meeting. Pipedrive makes a Zoom link for each meeting, adds it to the activity invite and sets it as the location. You can join from the deal or person with Join Zoom meeting.
Good for
Reps who book calls from Pipedrive and want the Zoom link made and sent for them.
Where it breaks
Pipedrive's guide says calendar sync is needed to send invites. The app adds the link. Pipedrive's guide doesn't say it brings back the recording, the transcript or who attended.

Pipedrive Nova

How it works
Pipedrive's meeting notes feature. It can join Zoom calls from your calendar as a visible bot, record them, and save the transcript and a summary with next steps as notes on the linked deal, person or organization. It also suggests field updates.
Good for
Teams that want what was said on each call saved on the deal without anyone typing it.
Where it breaks
Pipedrive says Nova doesn't change the CRM without a person's review, so someone still approves each update. Hosts can remove the bot, guests can opt out of recording, and Pipedrive says consent rules are yours to follow.

A Zapier zap

How it works
Zapier's Zoom triggers include New Meeting Ended, New Meeting Summary and New Cloud Recording. They can find the Pipedrive person or deal, then add a note, update the deal or create the next activity.
Good for
Acting the moment a call ends, like setting a follow up activity for the deal owner.
Where it breaks
Finding the right deal for each call is a step you build. Zapier notes that New Meeting Summary only fires if you hosted the meeting, and a zap that fails doesn't tell the rep.

Arkeo agents

How it works
Agents read each sales or client call after it ends, write the summary and next steps on the Pipedrive deal, set the next activity for the owner and score the call against your sales steps. If a guest doesn't match a person in Pipedrive, they find the right one or ask.
Good for
Teams that run sales calls all day and lose the notes and follow ups between Zoom and Pipedrive.
Where it breaks
Anything your rules keep for a person, like moving a large deal to won, goes to the owner in one message.

How to set up the Pipedrive Zoom integration

These follow Pipedrive's own guides. Open them for the screens.

  1. 1

    Turn on calendar sync

Connect your Google, Exchange, Outlook or Office calendar in Pipedrive. Pipedrive's Zoom guide says calendar sync is needed to send activity invites.

  2. 2

    Install the Zoom meetings app

Open a new or existing activity, click video call, then Zoom meeting. On the Marketplace page, click Install now and allow the app. You land back in your activities.

  3. 3

    Add Zoom to your calls

On each call activity, add the Zoom meeting and link it to the deal and person. Turn on passwords in Zoom if you use them; Pipedrive puts the password in the activity note.

  4. 4

    Let clients book with Scheduler

Send a Scheduler link so clients book a time and Pipedrive makes the activity. Pipedrive lists Scheduler on Growth and higher plans.

  5. 5

Decide who reviews the call notes

If you use Nova, decide who approves its suggested deal updates, and tell guests the call is recorded.

Where the Pipedrive Zoom integration stops

The app makes the link and Nova can write the notes. Turning the call into the next step on the deal is still a person's job.

The link depends on the calendar. Pipedrive's guide says invites need calendar sync. Pipedrive's calendar guide says only activities you own sync, only future events come in from your calendar, and recurring events synced from your calendar can't be edited in Pipedrive. A call booked outside those rules doesn't get its link the way the rep expects.

The Zoom app itself is about the link. Pipedrive's guide covers making, sending and joining the meeting. It doesn't say anything comes back after the call, so without Nova or a zap, the notes are still typed by hand, just as they are when teams connect Zoom to Salesforce with links alone.

Nova still needs a person. Pipedrive says Nova doesn't update the CRM without your review and approval, so each suggested change waits for a rep to approve it. The meeting host can remove the bot, guests can opt out of being recorded, and those calls come back with nothing on the deal.

Zoom Phone calls are left out. The app is for Zoom meetings. In a Zoom Developer Forum thread, people from several companies ask for a way to call and text from Pipedrive through Zoom Phone, with each call logged on the contact or deal. Over ten months of replies, nobody posts a way to do it.

And nobody sets the next step. A summary on the deal isn't a follow up activity, a stage change or the email the client was promised. Teams that connect Zoom to HubSpot run into the same gap.

The agents that do it

Each agent does one job from start to finish, in your own Pipedrive and Zoom. Your team talks to them in Slack or Teams.

Questions

Is my customers' information safe?

Yes. Agents work in your own Pipedrive and Zoom and see only what their job needs. Customer details never go into public AI. Agents connect to AI through business-grade connections audited under SOC 2.

Does Pipedrive integrate with Zoom?

Yes. The Zoom meetings app in the Pipedrive Marketplace adds a Zoom link to Pipedrive activities and invites. Pipedrive Nova can also join Zoom calls from your calendar, record them and save summaries on the deal. Pipedrive says Nova is included in all plans.

Why isn't the Zoom invite going out from Pipedrive?

Pipedrive's Zoom guide says calendar sync has to be on to send activity invites. Check that your calendar is connected and that the activity is yours, since only activities you own sync.

Can Pipedrive record my Zoom calls?

With Nova, yes. It joins as a visible bot from your calendar and saves the recording, transcript and summary on the linked deal. The host can remove it and guests can opt out. Coaching reps from those calls is a job agents do after each call.

What does it cost?

You get the price on the call, along with the hours it saves your team.
