The Zoom integration with Salesforce is Zoom's own app, Zoom for Salesforce Lightning. Your Zoom admin adds it from the Zoom App Marketplace and your Salesforce admin sets it up. Then each Zoom meeting you schedule shows up in Salesforce as an Event on the matching contact or lead, and after the call it adds who joined, how long it ran and the Zoom AI summary. Zapier is a second way. Where it stops: it needs Salesforce Enterprise or Unlimited, it matches guests by email only, meetings with no match wait on a page for someone to file them, and nobody sets the next step on the deal. AI agents do that part.
What a Zoom integration with Salesforce has to do
Sales and client teams hold their calls in Zoom and keep their deals in Salesforce. When the two don't talk, reps type call notes into Salesforce after each meeting, or skip it. A manager looking at the deal can't tell if the call happened, who joined, or what comes next.
So connected has to mean more than a link. Each call has to land on the right contact or lead, with who joined and what was said, and the deal has to show the next step. Zoom's app does the first part. The rest is still a person's job.
Two ways to connect Zoom and Salesforce, plus agents
Most teams with Salesforce Enterprise or Unlimited start with Zoom's app.
Zoom for Salesforce Lightning
- How it works
- Zoom's own app. A Zoom admin adds it from the Zoom App Marketplace, which installs the package in Salesforce. The Salesforce admin gives people the Zoom Admin or Zoom Meeting User permission set and adds Zoom meeting details to the Event page. Each person then signs in to Zoom from Zoom User Config.
- Good for
- Teams on Salesforce Enterprise or Unlimited who want each Zoom call on the contact or lead, with the AI summary.
- Where it breaks
- Zoom lists Zoom Pro, Business or Enterprise and Salesforce Enterprise or Unlimited. Salesforce matches guests by email, and meetings with no match go to the External Zoom Meetings page until someone files them. Who joined and how long it ran only come across after the call ends.
A Zapier zap
- How it works
- Zapier has Zoom triggers like New Meeting Ended, New Meeting Summary and New Audio Transcript, and Salesforce actions like Find Record, Create Record, Create Note and Update Record. You build the zap yourself.
- Good for
- Teams on other Salesforce editions, or with one fixed routine, like a note on the contact after each call.
- Where it breaks
- Each case is a step you build and keep up: finding the contact, making one when there's no match, and what to do with calls that have several guests. When a step fails, someone has to notice it in Zapier and log the call by hand.
Arkeo agents
- How it works
- Agents read each Zoom call, log a short summary on the right contact or deal in Salesforce, set the next step, and tell the owner. They also check who joined each booked meeting and follow up with anyone who missed it.
- Good for
- Sales and client teams where call notes and next steps in Salesforce depend on reps typing them in.
- Where it breaks
- Anything your rules keep for a person, like a reply to a client who is upset, goes to the deal owner in one message.
How to set up the Zoom integration with Salesforce
These follow Zoom's own guides. Open them for the screens.
- 1
Check your plans and admin emailYou need a Zoom Pro, Business or Enterprise account and Salesforce Enterprise or Unlimited, with an admin on each. Zoom says the admin's email should match in Zoom and Salesforce.
- 2
Add Zoom for Salesforce LightningSign in to the Zoom App Marketplace as an admin, search for Zoom for Salesforce Lightning and click Add. Click Get It Now, sign in to Salesforce, select Install for Admins Only and click Install.
- 3
Give people access and turn on Zoom MeetingsIn Salesforce Setup, assign the Zoom Admin and Zoom Meeting User permission sets. In Zoom Admin for Lightning, activate Zoom Meetings, turn on matching for meetings made outside Salesforce, and save.
- 4
Add Zoom details to the Event pageIn Object Manager, open Event, assign the Zoom - Event Layout page layout, and add the Zoom meeting details to the Event record page. Then activate the page.
- 5
Have each person sign in, then test one callEach person opens Zoom User Config in Salesforce and signs in to Zoom. Schedule a test meeting with a contact's email, hold it, and check the Event after it ends. Look on the External Zoom Meetings page for any call that didn't match.
Where the Zoom Salesforce integration stops
The app only works on some plans. Zoom's guides list Salesforce Enterprise or Unlimited and Zoom Pro, Business or Enterprise. Zoom also says that if your Salesforce uses Shield Platform Encryption on contact and lead fields with the probabilistic kind, the install is blocked. On Zoom's developer forum, a Zoom team member said the app didn't support Shield at the time.
Calls land only where the email matches. Zoom says Salesforce matches each guest's email to a contact or lead. When there's no match, like a new prospect or a client who joined from a personal email, the call goes to the External Zoom Meetings page, and someone has to file it by hand. One Zoom account can connect to one Salesforce account at a time.
Much of it arrives late. Zoom says the real start and end time, who joined and how long it ran only come across after the meeting ends. Zoom also says custom permission sets are outside its support, so if your admin built their own, Zoom asks you to switch to the default sets before it will help.
And none of it moves the deal. The summary lands on the Event, but setting the next step, updating the stage and following up with people who missed the call is still the rep's job.
The agents that do it
Each agent does one job from start to finish, in your own Zoom and Salesforce. Your team talks to them in Slack or Teams.
Your CRM knows what was said on the call.
- Reads each sales or client callafter the call
- Logs a short summary on the deal or contactsame day
- Sets the next step and tells the ownerright away
A missed meeting turns into a new booking.
- Checks who joined each booked meetingafter the meeting
- Sends a link to book againsame day
- Tells the owner who missed more than onceevery week
Salesforce stays right without anyone typing.
- Logs emails and callsas they happen
- Closes the task when the reply landsright away
- Moves the deal to the right stageper deal
Questions
Is my customers' information safe?
Yes. Agents work in your own Zoom and Salesforce and see only the calls and records their job needs. Customer details never go into public AI. Agents connect to AI through business-grade connections audited under SOC 2.
Does Zoom integrate with Salesforce?
Yes. Zoom for Salesforce Lightning is Zoom's own app. It puts each scheduled Zoom meeting in Salesforce as an Event on the matching contact or lead, and adds who joined and the AI summary after the call.
Which Salesforce editions work with the Zoom app?
Zoom's guides list Salesforce Enterprise or Unlimited, with a Zoom Pro, Business or Enterprise account. On other editions, teams use a tool like Zapier to log calls instead.
Why didn't my Zoom meeting show up on the contact?
Salesforce matches each guest's email to a contact or lead. If no email matches, Zoom puts the meeting on the External Zoom Meetings page. Open it, add a Subject and the contact, and click Create Events.
What does it cost?
You get the price on the call, along with the hours it saves your team.
