Calendly meetings in Salesforce, and followed up

CalendlySalesforce
The short answer

For the Calendly integration with Salesforce, most teams install Calendly's own Salesforce package. It logs each booked meeting as an event on the matching lead or contact, makes a new lead when there is no match, and marks canceled meetings. It needs a Calendly Teams, Teams Plus or Enterprise plan and Salesforce Enterprise edition or higher. You can also use Zapier, or export meetings and import them. Where they stop: canceled meetings stay in Salesforce with "Canceled" in the title, meetings missed during a disconnect have to be imported by hand, and nothing follows up the no-shows or moves the deal forward. AI agents do that part.

What a Calendly integration with Salesforce has to do

A prospect books a call on your Calendly page. Your rep takes the call. But unless the meeting lands on the right lead or contact in Salesforce, your pipeline report misses it, the account owner never sees it, and nobody follows up the people who booked and didn't show.

So a working Calendly integration with Salesforce does three things. Each booking lands on the right record, under the right owner. Changes, like a cancel or a reschedule, show up the same day. And each meeting leads to a next step, whether that is a follow-up email, a new call, or a change to the deal.

Three ways to connect Calendly and Salesforce

The first one is Calendly's own. The others fill gaps or cover teams without it.

Calendly's Salesforce package

How it works
Calendly's own integration installs a package in your Salesforce org. By default it works with leads and events: it looks up the invitee by email, adds an event to the matching lead or contact, or makes a new lead if there is none. It can also send routing form answers to Salesforce, and an admin can change its flows, like the one that handles cancels.
Good for
Sales teams on Salesforce Enterprise or higher that want every booking on the right record without typing.
Where it breaks
It needs a Calendly Owner or Admin and a Salesforce Admin to set up, plus a Calendly Teams, Teams Plus or Enterprise plan. Calendly says installs can fail on Group or Professional editions. If a rep's Calendly email doesn't match their Salesforce email, their leads go to the System Administrator.

A Zapier zap

How it works
Zapier's Calendly triggers include Invitee Created or Rescheduled, Invitee Canceled and Invitee No Show Created. Salesforce actions include Create Lead, Update Record, and Find or Create Record.
Good for
Teams that need one extra step the package doesn't do, like updating a lead's status when someone is marked a no-show, or adding the booking to Google Calendar too.
Where it breaks
Each zap is a trigger and an action you build and maintain. Zapier marks some Calendly triggers as needing a paid Calendly plan. Matching to the right record is up to you, so a loose match makes duplicate leads.

A meetings export and import

How it works
You export a meetings report from Calendly's Meetings page, tidy the columns, and load it into Salesforce with the Data Import Wizard. Calendly's own help uses this to fill in meetings that didn't sync.
Good for
Catching up after the connection was down, or a team that only reports on meetings once a month.
Where it breaks
Calendly lists strict rules: four date and time columns in one format, whole-number durations, and a unique Request Id on each row so you don't load duplicates. Shared event types don't show in the All Users and Teams view.

Arkeo agents

How it works
Agents read each Calendly booking, cancel and no-show, check that it landed on the right lead or contact in Salesforce under the right owner, and fix or flag the ones that didn't. They send the follow-up after each meeting, chase the no-shows, and update the lead or deal so your pipeline report is true on Monday.
Good for
Sales teams where meetings drive the pipeline and nobody has the hours to check each one.
Where it breaks
Anything your rules keep for a person, like a meeting with a large account or a lead that belongs to two reps, goes to your team in one message.

How to set up the Calendly Salesforce integration

Five steps, in our words, from Calendly's own guide. You need to be a Calendly Owner or Admin and a Salesforce Admin.

  1. 1

    Check plans and emails first

Confirm you are on Calendly Teams or higher and Salesforce Enterprise or higher. Make sure each rep uses the same email in both, so their meetings land under them.

  2. 2

    Connect Salesforce in Calendly

In Calendly, go to Automations, then Integrations and apps. Under Sales and CRM, select Salesforce, then Connect Salesforce, and log in.

  3. 3

    Install the Calendly package

Click Install the Calendly package, select Install for All Users, grant access, and click Done. Back in Calendly, click Refresh. You can try it on a Salesforce sandbox first.

  4. 4

Learn what it does by default

Read how the package matches invitees, assigns owners and handles cancels, then decide what your admin should change, like how canceled meetings show up.

  5. 5

    Book a test meeting

Book, reschedule and cancel a test meeting with a new email and with a known contact. Check each one in Salesforce, and look for leads marked CalendlyCreated.

Where the Calendly Salesforce integration stops

Cancels and reschedules leave a mess by default. Calendly's help says a canceled meeting is not deleted: its title and description get "Canceled" added. A rescheduled meeting updates the canceled record, and its title still says canceled unless an admin changes the flow. Older v1 packages don't pass rescheduled details at all. Your reps' activity lists fill with meetings that never happened.

Owners can be wrong. New leads go to the Calendly user who took the booking, but Calendly says that if their Calendly and Salesforce emails don't match, the System Administrator owns the lead. Its troubleshooting page adds that duplicate users with the same email send meetings to the wrong person, and that running Calendly's original flows next to your own custom ones isn't recommended. In the comments on a public Salesforce Ben guide, a reader asks why there seem to be no lead routing options when the person who booked is already a lead in Salesforce.

Gaps don't fill themselves. When the connection is down, Calendly says some meetings may not sync, and the fix is an export, a cleaned spreadsheet with exact column rules, and the Salesforce Data Import Wizard. That Salesforce Ben guide notes that a Salesforce sandbox and your live org can't be connected at the same time, so whatever you set up in testing has to be rebuilt in the live org. Getting it right also takes someone who knows Salesforce flows, and the same gap shows up when you connect Gmail to Salesforce.

And the package logs; it doesn't act. A no-show, a meeting with no next step, a lead that should now be a deal: all of that is still a rep's job, the same gap that shows up when you log Zoom calls in Salesforce.

The agents that do it

Each agent does one job from start to finish, in your own Calendly and Salesforce. Your team talks to them in Slack or Teams.

Questions

Is my customers' information safe?

Yes. Agents work in your own Calendly and Salesforce and see only what their job needs. Customer details never go into public AI. Agents connect to AI through business-grade connections audited under SOC 2.

Which Calendly plan has the Salesforce integration?

Calendly's help lists Teams, Teams Plus and Enterprise. Routing with a Salesforce lookup is on Enterprise only. On the Salesforce side, Calendly says you need Enterprise edition or higher.

Does Calendly create leads or contacts in Salesforce?

By default it adds the meeting to an existing lead or contact with the invitee's email, and makes a new lead if there is none. Leads it makes are marked CalendlyCreated, so you can report on them.

What happens in Salesforce when a Calendly meeting is canceled?

The event stays. Calendly's help says its title and description get "Canceled" added, and the event isn't deleted unless an admin changes the cancel flow.

What does it cost?

You get the price on the call, along with the hours it saves your team.
