Most teams set up a Calendly Asana integration with a Zapier zap that makes an Asana task when someone books, which needs a Calendly Standard plan or higher. You can also have Calendly email a reminder to an Asana project's email address. Where they stop: a reschedule cancels the first booking and makes a new one, so you get two tasks unless you build for it. A cancel doesn't close the task, and the task knows only what the booking form asked. AI agents read each booking, keep one task per meeting, and follow up on the calls that didn't happen.
What a Calendly Asana integration has to do
Calendly books the call. Asana holds the work that comes before and after it: the prep, the proposal, the onboarding steps once a client says yes. With no link, someone opens each booking, makes a task by hand, and hopes they remember to move it when the client changes the time.
So connected has to mean more than a new task. Each meeting should have one task, on the right date, with the right owner. When the client moves the call, the task moves with it. When they cancel or don't show up, someone knows and does something about it.
Ways to connect Calendly and Asana
Calendly's help sends people to Zapier when an app has no direct connection with Calendly.
A Zapier zap
- How it works
- Zapier connects Calendly and Asana. Calendly triggers include Invitee Created or Rescheduled, Invitee Canceled and Invitee No Show Created. Asana actions include Create Task, Create Task From Template and Find or Create Task. The zap can put the booking's form answers in the task description.
- Good for
- Consultants and service teams who want a prep task or a project for each booked call. In Asana's forum, a consulting firm describes this exact setup for its clients.
- Where it breaks
- Calendly says you need its Standard plan or higher, and filters and paths need a paid Zapier plan. Zapier says a reschedule cancels the first booking and makes a new one, so the new booking makes a second task and any cancel zap runs too. Calendly says the zap is built and supported by Zapier, not Calendly.
Calendly emails sent to an Asana project
- How it works
- Calendly Automations can email someone else a reminder before a meeting, a follow-up after it, or a cancellation notice. Each Asana project has its own email address, and an email sent to it becomes a task.
- Good for
- Teams on Calendly Standard or higher who want a prep task a day before each call and no Zapier account.
- Where it breaks
- Calendly's templates for someone else are a reminder, a follow-up and a cancellation notice, not a message at the moment of booking. A cancel makes a new task instead of closing the old one. Asana only takes tasks from project members, so the emails may need to go through a forwarder mailbox.
Arkeo agents
- How it works
- Agents read each booking and its form answers in Calendly, make or move the one Asana task for that meeting, and send whoever takes the call a short brief. They mark no-shows in Calendly and send a new booking link the same day.
- Good for
- Teams that book client calls all week and plan the work around them in Asana.
- Where it breaks
- Anything your rules keep for a person, like a reply to an upset client, goes to the owner in one message.
How to connect Calendly to Asana
These steps use Zapier, the route both vendors' forums point to. The guides have the screens.
- 1
Check your Calendly planZapier works with Calendly's Standard plan or higher. You also need a Zapier account, free or paid. To use your whole team's bookings, you need to be a Calendly admin or owner.
- 2
Book a test meetingBook a meeting on your own Calendly page and fill in the form. Zapier uses your latest booking to test the zap, so this gives it real answers to work with.
- 3
Make a task for each new bookingIn Zapier, use Calendly's Invitee Created or Rescheduled trigger. In the Invitee type field, set it to new invitees only. Then add Asana's Create Task step, with the meeting time as the due date and the form answers in the description.
- 4
Handle reschedules and cancelsBuild a second zap for rescheduled invitees and a third for Invitee Canceled. Each one has to find the first task, and Zapier's Asana find step needs the task's ID. So keep a list of bookings and their task IDs, like a sheet, that the zaps can look up.
- 5
Reschedule your test meeting
Move the test meeting to a new time, then cancel it. Check that Asana still has one task, with the new date, and that it closes when you cancel.
Where the Calendly Asana integration stops
A zap can turn a booking into a task. Keeping one correct task for each meeting, as clients book, move and cancel, is the work that's left.
A reschedule is two events. Zapier's help says that when an invitee reschedules, Calendly cancels the first booking and creates a new one, so the Invitee Canceled trigger also runs for the first booking. A zap that makes a task on each booking makes a second task. A zap that closes tasks on cancels can close the one you still need.
The reschedule flag can be wrong. Zapier's trigger has an Invitee type field to split new bookings from reschedules. In a 2024 Zapier Community thread, a person's zaps all ran on a reschedule, and the data showed the meeting as not rescheduled, possibly because they had moved it themselves.
Calendly doesn't fix the zap. Calendly's guide says the Zapier connection is built and supported by Zapier, and points people to Zap History and Zapier support when it stops working. Filters and paths, the steps that sort one meeting type from another, need a paid Zapier plan.
The email route only goes one way. Calendly's emails to someone else are reminders, follow-ups and cancellation notices. Each one makes a new task in Asana. None of them changes or closes the task that's already there.
And none of it knows what the meeting was for. A task named after a booking doesn't say whether the client is new, what they bought last time, or whether the call happened at all.
The agents that do it
Each agent does one job from start to finish, in your own Calendly and Asana. Your team talks to them in Slack or Teams.
Walk into each call knowing who you're talking to.
- Reads the booking and the form answerswhen someone books
- Pulls their history from your CRMper booking
- Sends the brief to whoever takes the callbefore the call
A missed call gets rebooked, not forgotten.
- Spots who didn't showafter each call
- Marks the no-show in Calendlyright away
- Sends a new booking linksame day
Late work gets caught before the client notices.
- Finds tasks past their due dateevery day
- Asks the owner for an update in the tasksame day

Questions
Is my customers' information safe?
Yes. Agents work in your own Calendly and Asana and see only what their job needs. Customer details never go into public AI. Agents connect to AI through business-grade connections audited under SOC 2.
Does Calendly integrate with Asana?
Yes, through Zapier. Most teams use a zap, which needs a Calendly Standard plan or higher.
Can a Calendly booking create an Asana task?
Yes, with a zap. Use Calendly's Invitee Created or Rescheduled trigger and Asana's Create Task action. Set the Invitee type field to new invitees so a reschedule doesn't make a second task.
What happens to the Asana task when a client reschedules in Calendly?
Nothing, unless you build for it. Calendly cancels the first booking and makes a new one. You need a zap that finds the first task and changes its date.
What does it cost?
You get the price on the call, along with the hours it saves your team.
