Your reps' Gmail logged in Salesforce, on the right deal

GmailSalesforce
The short answer

To connect Gmail to Salesforce, you have four options. The main Gmail integration with Salesforce is Salesforce's own Chrome extension, turned on by an admin in Setup. Einstein Activity Capture logs email and meetings for you. Email to Salesforce files any email you BCC to a special address. Zapier handles single jobs. Where it stops: the extension logs one email at a time and often asks reps to sign in again, and none of them moves the deal or closes the task when the client writes back. AI agents do that part.

What a Gmail integration with Salesforce has to do

Your reps talk to clients in Gmail. Your pipeline lives in Salesforce. When the two don't talk, reps copy emails into Salesforce at the end of the day, or don't, and a manager can't tell if anyone wrote to the client this month.

So "connected" has to mean more than email showing up. Each email lands on the right lead, contact and deal, the task closes when the client replies, and the deal moves to the stage it is really at.

Four ways to connect Gmail and Salesforce

Three come with Salesforce, and one uses Zapier.

Salesforce's Gmail integration (the Salesforce Chrome extension)

How it works
An admin turns it on in Salesforce Setup. Each rep adds the Salesforce extension from the Chrome Web Store and signs in from the new pane in Gmail. Reps see the Salesforce records for the people they email, and log an email with Log Email, or as they send it with Log on Send.
Good for
Teams who want reps to see and update Salesforce while they write.
Where it breaks
Logging is up to each rep, one email at a time, and the pane lists up to 15 contacts or leads. In the extension's Chrome Web Store reviews, several recent reviewers say they have to sign in again often or refresh it to make it work.

Einstein Activity Capture

How it works
An admin connects Salesforce to your Google account and sets what to capture, and each rep connects their own account. Sent and received emails show on the timeline of the matching account, contact, lead and deal.
Good for
Teams that want email logged without anyone clicking, and use Lightning Experience.
Where it breaks
With only the standard version, Salesforce deletes captured activity after 6 months. If it was set up before Summer '25, or Sync Email as Salesforce Activity is off, the emails aren't in reports. Once it captures email for you, reps can't log email by hand from the Gmail pane.

Email to Salesforce

How it works
Each rep gets a Salesforce email address and adds it in BCC when they write, reply or forward. Salesforce files the email on the lead or contact whose address matches, or on open deals where that contact has a role.
Good for
Any Salesforce edition, and reps who only need a few emails on record. It works from any email program.
Where it breaks
Reps have to remember the BCC. If Salesforce can't match anyone, the email waits on the My Unresolved Items page for someone to file it.

A Zapier zap

How it works
Zapier has templates like Create Salesforce leads from new Gmail emails, and Send Gmail email alerts for new Salesforce leads.
Good for
One simple job, like turning email sent to a sales inbox into new leads.
Where it breaks
Zapier marks Salesforce as a Premium app. Each zap is one trigger and one action, so logging each rep's email on the right deal is many zaps to build and watch.

Arkeo agents

How it works
Agents read the email in your reps' Gmail, log it on the right lead, contact and deal in Salesforce, close the task when the reply lands, and move the deal stage by your rules.
Good for
Sales teams whose Salesforce is only as good as what reps remember to log.
Where it breaks
Anything your rules keep for a person, like a deal marked lost or an email from a client who is upset, goes to the rep who owns it, in one message.

How to set up the Gmail integration with Salesforce: four steps

Salesforce's help has the full screens. These are the parts, in order.

  1. 1

    Turn on the Gmail integration

In Salesforce Setup, type Gmail in the Quick Find box and open Gmail Integration and Sync. Turn on Let users access Salesforce records from Gmail, and turn on Enhanced Email with Gmail so reps can relate emails to records.

  2. 2

Add the Salesforce extension to Chrome

Each rep finds the Salesforce extension in the Chrome Web Store and clicks Add to Chrome.

  3. 3

    Sign in from Gmail

Open Gmail and enter your Salesforce login in the new pane.

  4. 4

    Log a test email

Open an email from a client and click Log Email. Check the people and deal Salesforce suggests, change them if they are wrong, and click Log Now. Then open the record in Salesforce and make sure the email is there.

Where the Salesforce Gmail integration stops

Each option gets some email into Salesforce. The work left is the email that never gets logged, and what it means for the deal.

The extension asks reps to sign in again. It has about 400,000 users and a 4.2 rating, and the same complaint keeps coming up in its recent reviews: reps have to sign in again or refresh it before it works. In a Salesforce community thread from late 2025, several admins describe a logging error they fix by removing the extension and connecting it again; for some reps it comes back almost daily.

Logging is one email at a time. Salesforce's own page says the pane shows up to 15 contacts or leads, and an email goes on its people plus one other record, like one deal. Reviewers and admins ask for a way to log a whole thread at once.

Activity Capture has limits of its own. Salesforce's page says the standard version deletes captured activity after 6 months. And once it captures a rep's email, the Gmail pane shows Share instead of Log Email, so that rep can't log email by hand.

None of them updates the deal. The task stays open after the client replies, and the stage stays where it was until someone moves it.

The agents that do it

Each agent does one job from start to finish in your own Salesforce, working from your Gmail. Your team talks to them in Slack or Teams.

Questions

Is my customers' information safe?

Yes. Agents work in your own Gmail and Salesforce and see only what their job needs. Customer details never go into public AI. Agents connect to AI through business-grade connections audited under SOC 2.

Is there a Salesforce Gmail integration Chrome extension?

Yes. It is called Salesforce, made by Salesforce, in the Chrome Web Store. Your admin turns on the Gmail integration in Setup first, then each rep signs in from the new pane in Gmail.

Can Salesforce log Gmail emails for me?

Yes, with Einstein Activity Capture. Once your admin connects your Google account, sent and received emails are saved to the matching records in Salesforce. Ask your admin how long your license keeps them; the standard version keeps 6 months.

What does it cost?

You get the price on the call, along with the hours it saves your team.
