The main Gmail Pipedrive integration is Pipedrive's email sync. In Pipedrive, go to Personal preferences, then Email sync, enter your Gmail address, click Get started and sign in with Google. Your mail then shows in Pipedrive's Sales Inbox and links to deals by email address. Where it stops: email sync needs the Growth plan or higher, only the folders and labels you set come across, a thread from an address Pipedrive doesn't know goes on no deal until someone links it, and the sync can stop when your Google sign-in changes. Nobody checks that each deal got its reply. AI agents do that work.
What a Gmail Pipedrive integration has to do
Your sales talks happen in Gmail. Your deals live in Pipedrive. If the two are apart, the deal page shows no emails, a teammate can't see what was promised, and a follow-up waits because nobody knew the client wrote back.
So connected has to mean two things. Each email with a client lands on the right deal or person in Pipedrive, and your team can reply from either place without losing the thread. Pipedrive's email sync does most of this. The other ways do less, and the limits below are the ones a sales team finds first.
Four ways to connect Gmail with Pipedrive
Most teams need the first one. The others help on smaller plans or for one job.
Pipedrive email sync
- How it works
- Pipedrive connects to your Gmail account and brings your mail into its Sales Inbox. You can read, send and reply from Pipedrive, track opens and link clicks, and Pipedrive links each thread to a deal, lead or project by the email address. You can sync up to 2 years of past mail.
- Good for
- Sales teams who want each client email on the deal, with the team able to see it.
- Where it breaks
- Pipedrive says email sync is on Growth and higher plans, and a shared team inbox is on Premium and higher. Only the labels you set sync. Pipedrive's troubleshooting guide says the sign-in fails if your password or server settings change, and the fix is to reconnect by hand.
The Pipedrive Gmail add-on
- How it works
- You install Pipedrive CRM from the Google Workspace Marketplace. A side panel in Gmail shows the sender's person, deals, activities and notes, and lets you add a new person, a deal, an activity or a note without leaving Gmail.
- Good for
- People who live in Gmail and want to add a contact or a deal while they read.
- Where it breaks
- Pipedrive's guide describes adding people, deals, activities and notes. It does not describe saving the email itself to the deal. Install can fail with a "Sorry, unable to open the file" error when more than one Google account is signed in. On Pipedrive's Marketplace the add-on has a 3.5 rating, and 23% of reviews give it one star.
Smart Bcc
- How it works
- Pipedrive gives you an address to add as Bcc. When you Bcc it on an email, a copy lands in Pipedrive.
- Good for
- A quick way to save a few key emails when you don't use email sync.
- Where it breaks
- Pipedrive says the email must come from your Pipedrive login address or an alternative address you have confirmed. Mail from any other address doesn't arrive. And it only saves what someone remembers to Bcc.
A Zapier zap
- How it works
- Zapier can start from a new email, a labeled email or an email that matches a search in Gmail, and create a deal, person, lead, activity or note in Pipedrive.
- Good for
- A team that wants one rule, like a new deal for each email to a sales address.
- Where it breaks
- It does only the steps you build. A reply in the same thread, a second contact or a duplicate person is another step, and a step that fails leaves Pipedrive wrong with no one told.
Arkeo agents
- How it works
- Agents read the deal emails in Gmail, log each one on the right deal in Pipedrive, mark the activity done when the reply lands, move the deal to the right stage, and send the first reply to a new lead the same day.
- Good for
- Sales teams where deals sit with no next step because nobody saw the client's reply.
- Where it breaks
- Anything your rules keep for a person, like a price change or a reply to an upset client, goes to the deal owner in one message.
How to set up Pipedrive email sync with Gmail
These follow Pipedrive's own guide. Open it for the screens.
- 1
Check your planEmail sync is on Pipedrive's Growth plan and higher. A shared team account, like sales@yourcompany.com, needs Premium or higher.
- 2
Start the email syncOpen the account menu in the top right of Pipedrive and go to Personal preferences, then Email sync. Enter your Gmail address, click Get started and select your email provider.
- 3
Sign in with Google and give accessLog in to your Gmail account and give Pipedrive access to your inbox. Then set it as a personal account or a team account.
- 4
Set what syncs, then startSet your emails to Private or Shared, how far back to sync, and which folders come across. Click Start sync. You can change the start date later under Sync past emails, up to 2 years back.
- 5
Add the Gmail add-on, if you want Pipedrive in GmailIn Gmail, open Get Add-ons or the Google Workspace Marketplace, search for Pipedrive CRM and click Install. Sign in with only your work Google account to avoid an install error.
- 6
Send a test email
Email a test contact who is on a deal, then open that deal in Pipedrive and check the thread is there. If not, look at the top right of the thread in the Sales Inbox to see what it is linked to.
Where the Gmail Pipedrive sync stops
The sync brings your mail into Pipedrive. Making sure each email is on the right deal, and that someone answers it, is still a person's job.
A thread links by email address. Pipedrive's guide says it links conversations to a deal, lead or project based on the address, and you link it by hand if it belongs somewhere else. A client who writes from an address Pipedrive doesn't know goes on no deal until someone notices.
Only the labels you set come across. Pipedrive's troubleshooting guide says only email under the labels you select will sync. A deal email that Gmail filed under another label never reaches the deal.
The sync can stop. If your Google password or settings change, the sign-in fails, and the fix is to click Re-authenticate or remove the account and add it again. Until someone does, new mail stays in Gmail.
Sending has a limit. Pipedrive allows up to 40 email actions a minute for the whole company account, and more may fail to send. Gmail has its own daily caps on top.
On smaller plans it is all by hand. Smart Bcc only saves the emails someone remembers to Bcc, and only from a confirmed address. The Gmail add-on adds people and deals, but its guide doesn't say it saves the email to the deal.
And none of it does the follow-up: seeing that the client replied, marking the activity done, moving the deal along and writing back the same day.
The agents that do it
Each agent does one job from start to finish, in your own Gmail and Pipedrive. Your team talks to them in Slack or Teams.

Yes. Agents work in your own Gmail and Pipedrive and see only what their job needs. Customer details never go into public AI. Agents connect to AI through business-grade connections audited under SOC 2.
Does Pipedrive integrate with Gmail?
Yes. Pipedrive's email sync connects your Gmail account on the Growth plan and higher. There is also a Pipedrive add-on for Gmail, Smart Bcc, and Zapier zaps between the two.
How do I sync Gmail with Pipedrive?
In Pipedrive, open the account menu and go to Personal preferences, then Email sync. Enter your Gmail address, click Get started, sign in with Google and give access, then set what syncs and click Start sync.
