Jotform entries that become Zoom meetings and sign-ups

JotformZoom
The short answer

The Jotform Zoom integration is built into Jotform. In the Form Builder, you open Settings, then Integrations, select Zoom and sign in. Then each form entry can create a new Zoom meeting, register the person for a meeting you already set up, or register them for a Zoom webinar. Zapier is the other common way. Where it stops: registering people needs a paid Zoom account, webinars need Zoom's Webinar add-on, one form only fills one meeting or webinar per action, and nothing checks who showed up or follows up after. AI agents do that part.

What a Jotform Zoom integration has to do

Plenty of businesses start a video call with a form. A consult request, a class sign-up, an intake form before a video visit at clinics and practices.

The answers land in Jotform.

The meeting happens on Zoom. In between, someone reads each entry, makes the meeting or adds the person to the webinar, and sends the link.

So connected has to mean each entry turns into the right meeting or sign-up without anyone copying it, the person gets the link, and the answers they gave are there when the call starts. After the call, someone should know who came, who didn't, and what happens next.

Ways to connect Jotform and Zoom

Jotform builds the first one. It has three actions.

Jotform's Zoom integration

How it works
In the Form Builder, under Settings and Integrations, you add Zoom and sign in. Create Meeting schedules a new meeting for each entry, using form fields for the title, start time and length. Add Registrant to Meeting and Add Registrant to Webinar sign people up for one you already made. You match first name, last name and email to the form.
Good for
Consult requests, classes and webinar sign-ups that start with a form.
Where it breaks
Jotform's guide says registering people for a meeting needs a paid Zoom account with registration turned on, and webinars need an active Zoom Webinar add-on. Each registrant action points at one meeting or webinar, so a new session means changing the action.

A Zapier zap

How it works
Zapier's Jotform trigger New Submission can run Zoom's Create Meeting, Create Meeting Registrant or Create Webinar Registrant. Zoom triggers like New Meeting Ended can start steps after the call.
Good for
Sending a form's answers to a meeting and to another program, like a CRM or a sheet, in one run.
Where it breaks
Each step is one you build and keep. Zapier says options you leave out fall back to your Zoom settings, and a zap that fails doesn't tell the person waiting for a link.

Arkeo agents

How it works
Agents read each new form entry, check it's complete and ask for anything missing, make or fill the right Zoom meeting, and send the person a brief and a reminder. After the call, they see who came, follow up with no-shows and log what happens next.
Good for
Teams that book calls, classes or video visits from forms and chase people around them by hand.
Where it breaks
Anything your rules keep for a person, like an entry that needs a judgment call, goes to your team in one message.

How to set up the Jotform Zoom integration

These follow Jotform's own guide. Open it for the screens.

  1. 1

    Check your Zoom account

To register people for a meeting, you need a paid Zoom account and registration turned on for that meeting. For webinars, you need an active Zoom Webinar add-on. Create Meeting doesn't need either.

  2. 2

    Add Zoom to your form

In the Form Builder, open Settings, then Integrations. Search for Zoom, click it, set the action you want and click Next. Click Authenticate and sign in to Zoom.

  3. 3

    Match the form fields

Match Attendee First Name, Last Name and Email to your form. For Create Meeting, also set the title, start time, length and timezone, and add form answers to the meeting description if you want them there.

  4. 4

Test it and check the action logs

Send a test entry, then open the action's three-dot menu and view the action logs. They show runs that worked and runs that failed. Check them again after you change the form.

Where the Jotform Zoom integration stops

The integration turns an entry into a meeting or a sign-up. Everything around the meeting is still someone's job.

It points at one session. Add Registrant to Meeting and Add Registrant to Webinar each register people for one meeting or webinar you set. When next month's session starts, someone changes the action or makes a new one, and entries in between go to the old session.

It needs the right Zoom plan. Jotform's guide says registering people needs a paid Zoom account with registration on, setting approval rules needs a paid account too, and webinars need the Webinar add-on. On a free Zoom account, only Create Meeting works.

It can stop without telling the person waiting. In February 2025, Jotform's developer reported on Zoom's developer forum that all users trying to sign in to the Jotform Zoom app got an error, until Zoom approved a fix days later. Failed runs only show in the action logs, which someone has to open. The same is true when teams connect Zoom to Calendly.

And it ends at the sign-up. Jotform's plans also cap entries each month, from 100 on the free plan up. Nothing in the integration checks the form is complete before the meeting is made, reminds people the day before, sees who didn't come, or follows up after. Booking, reminding and rebooking people is a job agents do at the front desk.

The agents that do it

Each agent does one job from start to finish, in your own Jotform and Zoom. Your team talks to them in Slack or Teams.

Questions

Is my customers' information safe?

Yes. Agents work in your own Jotform and Zoom and see only what their job needs. Customer details never go into public AI. Agents connect to AI through business-grade connections audited under SOC 2.

Does Jotform integrate with Zoom?

Yes. Jotform builds a Zoom integration you add from Settings, then Integrations, in the Form Builder. It can create a meeting for each entry, or register each person for a meeting or webinar you already made.

Why can't I register people for my Zoom meeting from Jotform?

Jotform's guide says Add Registrant to Meeting needs a paid Zoom account and registration turned on for that meeting in Zoom. For webinars, you need an active Zoom Webinar add-on. Check the action logs for failed runs.

Can the meeting go on my calendar too?

Zoom adds the meeting to your Zoom account. To have it land on your calendar with the person's answers, teams add a step or connect Zoom to Google Calendar.

What does it cost?

You get the price on the call, along with the hours it saves your team.
