The main HubSpot Jotform integration is built by Jotform. You add it to a form from Settings, then Integrations, and each new submission can create a HubSpot contact, deal, ticket, company or custom record. Zapier is the other common way. Where it stops: a new deal or ticket is made for each submission, even from someone you already have, a failed send only shows up in a log someone has to open, and nothing follows up on what the form asked for. AI agents do that part.
What a HubSpot Jotform integration has to do
Your forms live in Jotform. A quote request, a new client intake, a support ask.
Your customers and deals live in HubSpot. With no link between them, someone opens each new submission and types it into HubSpot by hand.
So connected has to mean more than a new contact with a name and an email. The answers should land in the right fields, the same person should not show up twice, and the next step should start: a call booked, a document asked for, a deal moved. It's the same gap teams run into when they send form entries into chat and hope someone acts on them.
Ways to connect HubSpot and Jotform
Jotform builds the main one. The others fill in what it doesn't do.
Jotform's HubSpot integration
- How it works
- Jotform's own app, listed in the HubSpot Marketplace as a HubSpot Certified App. You add it to a form, sign in to HubSpot, and set what each submission does: Create Contact, Create Deal, Create Ticket, Create Company or Create Custom Record. You match each form question to a HubSpot field. It can also add the answers as a note and attach a PDF of the submission and any uploaded files.
- Good for
- Teams that want each form to make a contact, deal or ticket in HubSpot without typing.
- Where it breaks
- Each question has to be matched to a field by hand, and a new question isn't sent until someone adds it. The Update Existing Record setting looks for a match first, but Jotform's guide doesn't say how it finds one. On the HubSpot Marketplace the app is rated 3.7 out of 5 from 91 ratings, and 27 percent of them are one or two stars.
A Zapier zap
- How it works
- Zapier's Jotform triggers are New Submission and New Signed Document. On the HubSpot side you can create a contact, deal or ticket, use Create or Update Contact to create or update a contact by email, or use Find or Create steps.
- Good for
- Forms that need a step Jotform's app doesn't have, like checking for an existing deal before making a new one.
- Where it breaks
- Each case is a step you build and test. On Zapier's Free plan, it checks for new data every 15 minutes. A zap that fails doesn't tell the person who owns the lead.
HubSpot's non-HubSpot forms tool
- How it works
- HubSpot can collect submissions from forms on your own website that weren't made in HubSpot, and create or update a contact by email. HubSpot lists it on all plans.
- Good for
- Simple forms on your own site where you only need the contact.
- Where it breaks
- HubSpot says it won't collect a form inside an iframe, a form with hidden fields, or one with code that runs when it's sent. HubSpot's guide only describes it making contacts, not deals or tickets, so check how your Jotform sits on the page before you count on it.
Arkeo agents
- How it works
- Agents read each new Jotform submission, find the person and the deal in HubSpot before making anything new, fill in the right fields, and start the next step: send the intake form, set the client up and build their task list. They chase what's missing and tell the owner.
- Good for
- Teams where a form is the start of real work, and someone loses hours each week copying and checking.
- Where it breaks
- Anything your rules keep for a person, like a large deal or an answer that doesn't make sense, goes to your team in one message.
How to set up the Jotform HubSpot integration
These follow Jotform's own guide. Open it for the screens.
- 1
Open the form's integrationsIn the Form Builder, click Settings in the orange bar at the top. Click Integrations in the left menu, then search for HubSpot and click it.
- 2
Select an action and sign inIn the action list on the right, select what each submission should do, like Create Contact or Create Deal, and click Next. Click Authenticate and sign in to HubSpot.
- 3
Match your questions to HubSpot fieldsMap each form question to a HubSpot field, and use + Add Fields for more. For a deal or a ticket, also set the pipeline and the stage or status it starts in.
- 4
Set the extras, then saveTurn on Update Existing Record if you want a match updated, not a new one made. Add the answers as a note or send attachments if you need them. Then click Save at the bottom.
- 5
Test it and check the logSend a test submission and find it in HubSpot. Then hover over the action, click the three dots and open See Action Logs to see what went through and what failed.
Where the HubSpot Jotform integration stops
The integration sends the answers. Making sure they land once, in the right place, and turn into work is still someone's job.
Repeat forms make repeat deals. HubSpot matches contacts by email and companies by domain on its own, but its guide says deals and tickets are not matched that way. So when a client fills in your form twice, the contact is fine, and there are now two deals or two tickets. Jotform's Update Existing Record setting is meant to help, but its guide doesn't say how it decides what counts as a match. Someone still opens HubSpot and merges.
Failures are quiet. Jotform keeps a log of the sends that worked and the ones that failed, but nobody gets told. On the HubSpot Community, one owner wrote in January 2024 that the integration showed as connected, yet no contact or deal was made, and taking it off and adding it back didn't help. The thread ends with no fix.
The answers don't all come across. Only the questions you match go into fields. The rest sit in a note or a PDF, where reports and lists can't use them. When you add a question to the form, it isn't sent until someone maps it.
And the form ends where the work starts. On Jotform's free Starter plan, a form takes 100 submissions a month. Past that, the bigger job is the same on each plan: someone reads each submission, asks for the missing document, and moves the deal. It's the same work teams do after booking a call in Acuity Scheduling.
The agents that do it
Each agent does one job from start to finish, in your own HubSpot and Jotform. Your team talks to them in Slack or Teams.
New clients start without anyone setting them up.
- Sends the intake formwhen they sign
- Sets up the client in your CRM and project toolsame day
- Builds the folder and task listsame day
Your CRM stays right without anyone typing.
- Logs emails and callsas they happen
- Checks off the task when the reply landsright away
- Moves the deal to the right stageper deal
Questions
Is my customers' information safe?
Yes. Agents work in your own HubSpot and Jotform and see only what their job needs. Customer details never go into public AI. Agents connect to AI through business-grade connections audited under SOC 2.
Does Jotform integrate with HubSpot?
Yes. Jotform builds a HubSpot integration, listed as a HubSpot Certified App. Each submission can create a contact, deal, ticket, company or custom record in HubSpot. The HubSpot Marketplace lists it as working with Jotform's free Starter plan.
Why isn't my Jotform data showing up in HubSpot?
Start with the action's log. In the form's HubSpot settings, hover over the action, click the three dots and open See Action Logs to see which sends failed. Then check that each question is mapped to a field and that you clicked Save.
Can Jotform update an existing HubSpot contact?
Yes. Turn on Update Existing Record. The integration looks for a matching record in HubSpot and updates it, or makes a new one if there's no match. HubSpot also matches contacts by email on its own.
What does it cost?
You get the price on the call, along with the hours it saves your team.
