To connect Zoom to Calendly, open Integrations & apps in Calendly, select Zoom, sign in and click Authorize. Then set Zoom as the location on your event types, and Calendly makes a new Zoom link for each booking and puts it in the invite and the confirmation email. On a team, an admin can connect Zoom for everyone. Where it stops: if Calendly can't make the link, the booking still goes through and shows Action Needed, meetings booked before you connect need to be moved to get a link, each round robin host needs their own Zoom, and nobody follows up after the call. AI agents check each booking has a link and do that follow-up.
What it takes to connect Zoom to Calendly
Calendly books the meeting and Zoom holds it. When the two don't agree, a client books a call and gets an invite with no link, or the link opens the wrong person's Zoom room. Someone on your team then finds out from an email that says "I'm here, where are you?"
So connected has to mean more than a button. Each booking needs its own Zoom link, in the calendar invite and the confirmation email, from the right host's account. And when a call is moved or a person leaves the team, the links still have to work. Calendly's Zoom connection does most of this. The rest is where your team still spends time.
Three ways to connect Calendly with Zoom
Most people use the first one. Teams add the second.
Calendly's Zoom connection
- How it works
- Built into Calendly on all plans. You connect your own Zoom account from Integrations & apps, and Zoom shows up as a location you can set on each event type. When someone books, Calendly adds the Zoom details to the calendar invite and confirmation email, and the meeting shows in your Zoom Upcoming Meetings.
- Good for
- One person, or a small team where each person has their own Zoom account.
- Where it breaks
- Each Calendly account links to one personal Zoom account. If Zoom can't make the link, Calendly shows Action Needed on the booking. Meetings already booked don't get a link until you reschedule them. Calendly's help says that if bookings are high, you can hit Zoom's limit of 100 meetings per day per user across all Zoom apps.
Admin-managed Zoom for a team
- How it works
- On Calendly's Teams, Teams Plus and Enterprise plans, an owner or admin connects one Zoom account for the whole organization. A Zoom admin has to approve it, and Zoom admins must also pre-approve Calendly in the Zoom Marketplace.
- Good for
- Companies that want new hires booking Zoom calls on day one, without each person setting it up.
- Where it breaks
- Calendly says the Zoom account must stay in an admin role. If that admin leaves or their role changes, someone has to connect again with a different Zoom admin. Deleting that Zoom account disconnects it for all users and can change the location on event types.
A Zapier zap
- How it works
- Zapier has Calendly triggers like Invitee Created or Rescheduled, Invitee Canceled and Invitee No Show Created, and Zoom actions like Create Meeting and Update Zoom Meeting. You build the steps yourself.
- Good for
- Teams that need something the built-in connection doesn't do, like adding a booked guest as a registrant on a Zoom webinar.
- Where it breaks
- Calendly already makes the link, so a zap is mostly for extra steps. Each case is a zap you build and watch: new bookings, moves, cancels. When a step fails, someone has to see it in Zapier.
Arkeo agents
- How it works
- Agents read your Calendly bookings and your Zoom meetings. They check that each booked call has one working link from the right host, flag bookings with Action Needed before the guest shows up, and after the call they follow up with people who didn't join and post who owes what.
- Good for
- Teams that run sales or client calls all week, where a missed call or a missing link costs a deal.
- Where it breaks
- Anything your rules keep for a person, like a reply to an upset client, goes to the owner in one message.
How to connect Calendly to Zoom
These follow Calendly's own guides. Open them for the screens.
- 1
Have your Zoom admin approve CalendlyIf your company has a Zoom account with an admin, the admin must pre-approve Calendly in the Zoom Marketplace first. If you see a message about pre-approval when you connect, send it to them.
- 2
Connect your Zoom accountIn Calendly, go to Integrations & apps and select Zoom. Click Connect Zoom for myself, sign in to Zoom and click Authorize.
- 3
Or connect Zoom for the whole teamAn owner or admin goes to Automations, then Integrations & apps, selects Zoom and clicks Connect Zoom for my organization. If you aren't the Zoom admin, copy the link and send it to them to finish.
- 4
Set Zoom as the location on each event typeOpen each event type and set Zoom as the location. For Collective event types, set one team member as the organizer who hosts the Zoom meeting before anyone books. For round robin, each host connects their own Zoom.
- 5
Put the link in the invite and emailsOpen the event type, go to Notifications and automations, and edit the Calendar invitation and Email confirmations. Use + Variables to add Location. Do the same in any workflow emails.
- 6
Test a booking and a move
Book a test call, then reschedule it. Check that the invite has a working Zoom link both times, and that the meeting shows in Zoom.
Where the Calendly Zoom integration stops
A missing link doesn't stop the booking. Calendly's own troubleshooting guide says that when you see Action Needed on the Calendar page, Calendly couldn't add a Zoom link. The guest still gets a confirmed time. Someone has to notice the warning, fix the connection, and then reschedule the meeting for the same date and time so it gets a link. Calendly says the same about meetings booked before Zoom was connected.
People report it keeps happening. In Calendly's community forum, posts from December 2024, July 2025 and February 2026 describe bookings that came through with no Zoom link, even after reconnecting, and teams that now send the links by hand. Two of them said it throws off their own tracking and the client's experience.
Team setups add more to watch. For round robin events, each host has to connect their own Zoom, so one new hire who skipped that step means some bookings have no link. With admin-managed Zoom, Calendly says the connected Zoom account must stay an admin; if that person leaves, the connection has to be done again. Calendly's help also says connecting the wrong Zoom account gives meetings the wrong links.
The link can be made and still not reach the guest. If the Location variable isn't in the calendar invite, the confirmation email or a workflow email, the guest never sees it.
And none of it handles what comes after. Who didn't join, who needs a new time and what was promised on the call all stay with whoever took the meeting.
The agents that do it
Each agent does one job from start to finish, in your own Calendly and Zoom. Your team talks to them in Slack or Teams.

Questions
Is my customers' information safe?
Yes. Agents work in your own Calendly and Zoom accounts and see only what their job needs. Customer details never go into public AI. Agents connect to AI through business-grade connections audited under SOC 2.
How do I add a Zoom link to my Calendly invites?
Connect Zoom from Integrations & apps in Calendly, then set Zoom as the location on the event type. Calendly makes a new link for each booking. If the link doesn't show in the invite or email, add the Location variable under Notifications and automations.
Why didn't my Calendly booking get a Zoom link?
Calendly lists two common causes: Zoom isn't connected to your account, or you hit Zoom's limit of 100 meetings per day per user. Disconnect and connect Zoom again in a private window, then reschedule the meeting for the same time so it gets a link.
Can my whole team use one Zoom account with Calendly?
An admin can connect one organization Zoom account on Calendly's Teams, Teams Plus and Enterprise plans. Calendly also says that for round robin events each host must connect their own Zoom, and only the organizer does for Collective events.
What does it cost?
You get the price on the call, along with the hours it saves your team.
