To connect Zoom to Google Calendar, most people install the Zoom for Google Workspace add-on. It puts Zoom Meeting in the Add video conferencing menu of each new event, so the link and call details go into the invite. You can also connect your Google Calendar to Zoom from your Zoom profile, so your meetings show in the Zoom app and changes sync both ways. Where it stops: only the topic, date, time and time zone carry over to Zoom, Google Meet stays the default unless an admin changes it, and a time change made in the Zoom app makes a new event. Nobody follows up after the call. AI agents check the meetings and do that follow-up.
What it takes to connect Zoom to Google Calendar
Many small teams book in Google Calendar and meet in Zoom. When the two don't agree, a client opens a Google Meet link when the team is waiting in Zoom, a moved meeting still shows at the old time in the Zoom app, or a reminder goes out for a call that was cancelled.
So connected has to mean two things. Each Google Calendar event carries one right Zoom link, and a change in one place shows up in the other. Zoom's add-in for Google does the first part well. Zoom's calendar connection does some of the second part, with gaps you should know about.
Four ways to set up the Zoom integration with Google Calendar
Most people start with the add-on, and many teams use the first two together.
The Zoom for Google Workspace add-on
- How it works
- Zoom's own add-on, from the Google Workspace Marketplace. You install it for yourself, or your Google Workspace admin installs it for the whole company. In a new event you open More options and select Zoom Meeting in the Add video conferencing menu. It also works in the Google Calendar app on Android and iPhone.
- Good for
- Anyone who books meetings in Google Calendar and wants a Zoom link in each invite.
- Where it breaks
- Zoom says only the topic, date, time and time zone sync to Zoom. Google Meet is the default when more than one meeting service is turned on, and only an admin can make Zoom the default. Zoom warns against being signed in to more than one Google account at once, which causes scheduling problems.
Zoom's calendar connection
- How it works
- In the Zoom web portal, under Profile, you open Calendar and Contact Integration and connect Google. Your Google Calendar meetings then show in the Zoom app, and sync runs both ways by default.
- Good for
- People who start their meetings from the Zoom app and want their Google Calendar there.
- Where it breaks
- Your admin has to turn it on, and each person can connect only one calendar service. Zoom says changing a meeting's time in the Zoom app makes a new event in Google Calendar instead of moving the old one. If the sign-in expires, events stop syncing until someone signs in again.
Zoom Rooms with Google Calendar
- How it works
- For meeting rooms. A Google admin makes a calendar for each room and shares it with one user. A Zoom admin then adds Google Calendar under Rooms, then Calendar Integration. The room's screen shows the meetings booked for it.
- Good for
- Offices with Zoom Rooms where people book the room from Google Calendar.
- Where it breaks
- It needs a Zoom admin and a Google Super Admin. Zoom says that after you make a room calendar in Google, it can take up to 72 hours before you can share it.
A Zapier zap
- How it works
- Zapier has Google Calendar steps, like New Event, New or Updated Event and Event Cancelled, and Zoom steps, like Create Meeting and Update Zoom Meeting. You build the zap yourself.
- Good for
- Teams with one fixed routine, like a Zoom meeting for each new event on one shared calendar.
- Where it breaks
- Each case is a step you build and keep up: new events, time changes and cancels. When a step fails, someone has to notice it in Zapier and fix the meeting by hand.
Arkeo agents
- How it works
- Agents read your Google Calendar and your Zoom meetings, check that each meeting has one right link and time, and after each call post who owes what, add the tasks and send the next steps.
- Good for
- Teams that spend the week on client calls, where a missed follow-up costs a client.
- Where it breaks
- Anything your rules keep for a person, like a reply to an upset client, goes to the owner in one message.
How do I connect Zoom to my Google Calendar?
These follow Zoom's own guides. Open them for the screens.
- 1
Install the Zoom for Google Workspace add-onOpen the Google Workspace Marketplace, search for Zoom, open the add-on and click Install, then Continue and Accept. An admin can install it for the whole company or one team in the same place.
- 2

- 3
Make Zoom the default instead of Google MeetThis one is for your Google admin. In the Google Admin console, turn Google Meet off, install Zoom for all users, then go to Apps, Google Workspace, Calendar, Sharing settings, Video conferencing and check Automatically add video calls to events users create.
- 4
Connect your Google Calendar to ZoomIn the Zoom web portal, open Profile, find Calendar and Contact Integration and click Configure Calendar and Contacts Service. Select Google, sign in and allow access.
- 5
Add your meeting rooms, if you have Zoom RoomsA Zoom admin opens Admin Center, Product configuration, Rooms, Calendar Integration, clicks Add a Calendar Service and selects Google Calendar, using the one Google user the room calendars are shared with.
- 6
Test one change
Move one test meeting in Google Calendar, then check the Zoom app and the link in the invite. Do it again after any Zoom or Google update.
Where the Zoom Google Calendar integration stops
The add-on puts a Zoom link in the invite. Keeping the rest right is still a person's job. Zoom's own guide says only changes to the topic, date, time and time zone sync to Zoom. Everything else you change stays on the Google Calendar event. Zoom also says not to copy the meeting details into a new event when you move a meeting.
Changes made on the Zoom side don't move the event. Zoom's calendar guide says that changing a meeting's time in the Zoom app makes a separate event in Google Calendar with the new time. Guests can end up with two events for one call. And if the sign-in expires, events stop syncing until someone signs in again.
Small things break it. Zoom's own list of known problems says the wrong host and failed invites come from being signed in to more than one Google account at once. Zoom's add-on guide adds that you can see placeholder meetings dated 1979 or 1980 while it syncs, and that a Failed to create conference error can come from a limit on how often Zoom can call Google. Reviews of the add-on on the Google Workspace Marketplace point the same way: assistants say Zoom now makes them the host when they book for their boss, and others say an update took today's meetings out of the side panel.
Repeat meetings are the hardest part. In Zoom's developer forum, a thread from late 2022 into 2023 reported that the calendar sync was changing repeat meetings so they could no longer be joined. Zoom staff said they could reproduce it.
And none of it does the work after the call. Who joined, who missed it, what was agreed and who sends the notes all stay with whoever ran the meeting.
The agents that do it

Questions
Is my customers' information safe?
Yes. Agents work in your own Zoom and Google Calendar and see only what their job needs. Customer details never go into public AI. Agents connect to AI through business-grade connections audited under SOC 2.
Why does Google Calendar add a Google Meet link instead of Zoom?
Zoom says Google Meet is the default when more than one meeting service is turned on. Only a Google admin can make Zoom the default, from the Google Admin console under Calendar, Sharing settings, Video conferencing. Without that, select Zoom Meeting in the Add video conferencing menu on each event.
Does the Zoom add-on work in the Google Calendar app on my phone?
Yes. Zoom says it works in the Google Calendar and Gmail apps on Android and iPhone. You can schedule, view and join meetings there, and change the topic, date, time and time zone. To change meeting settings, use Google Calendar on a computer or the Zoom web portal.
How does Zoom Room Google Calendar integration work?
A Google admin makes a calendar for each room and shares it with one user. A Zoom admin then adds Google Calendar in the Zoom web portal under Rooms, Calendar Integration. People book the room by adding it as a guest on a Zoom meeting in Google Calendar.
What does it cost?
You get the price on the call, along with the hours it saves your team.
