To connect Square and Xero, you have two options. The main Square Xero integration is Square's own app on the Xero App Store, set up with Amaka. Each day it brings in the day before's Square sales as one summary invoice, with tips, gift cards, tax and fees in their own accounts. You can also build Zapier zaps for single jobs. Where it stops: it doesn't match stock, and several reviews say sales can come in twice, tax can land wrong, or the daily feed can stop. AI agents check each payout against Xero each week and send your bookkeeper what doesn't match.
Why a Square and Xero integration matters
You sell through Square. Your books live in Xero. With no link between them, someone types each day's sales into Xero, and the totals rarely match the bank. A Square payout is not the same as your sales: fees come off, refunds come back, and tips, gift cards and tax are mixed in.
So a good connection does two things. It records sales, tips, gift cards, tax and fees in the right Xero accounts. And it checks each payout against the deposit in your bank feed, so your bookkeeper only looks at what's off.
Two ways to connect Square to Xero
One is Square's own app. One is a zap you build yourself.
Square's app for Xero
- How it works
- Square's own app, listed on the Xero App Store and run by Amaka. Each day it brings in the day before's Square sales as one summary invoice, or one invoice per order if you want. It captures gift cards, tips, surcharges and tax, and Square fees go to their own account. Customers can also pay Xero invoices through Square.
- Good for
- Square sellers in Australia, Canada, Ireland, the United Kingdom or the United States who want daily sales in Xero without typing.
- Where it breaks
- It moves sales, not stock. Reviews on the Xero App Store say sales can come in twice, tax doesn't always land right, and the feed can stop. In October 2026, two reviewers couldn't find the Square option in Amaka's setup screens. Checking each payout against the bank is still a job for a person.
A Zapier zap
- How it works
- Xero is a Premium app on Zapier. Its ready-made zaps make and email a Xero invoice when a Square order or appointment comes in, make Xero bills for new Square payments, and add Square payers as Xero contacts.
- Good for
- Service businesses that bill from Square appointments and want each one as a Xero invoice.
- Where it breaks
- Each zap is one trigger and one action. Refunds, fees and tips are each more steps you build, and a zap doesn't match a payout to your bank. Running a zap next to Square's app can put the same sale in Xero twice.
Arkeo agents
- How it works
- Agents read each week's Square sales, refunds and payouts, check them against what's in Xero, and send your bookkeeper a short list of what doesn't match, with the sale or payout it came from.
- Good for
- Shops, cafes and service businesses where the books have to match the bank, and nobody has the hours to check.
- Where it breaks
- Anything your rules keep for a person, like a large refund or a payout it can't match, goes to your bookkeeper in one message.
How to set up the Square Xero integration
Amaka's setup guide has the full screens. These are the parts, in order.
- 1
Open the setup pageOn the Square listing in the Xero App Store, follow the link to the setup page. If the Square and Xero pair is hard to find, scroll the list slowly or ask Amaka's support.
- 2
Sign in to bothSign in to Square and click Allow. Then click Connect new account, select your Xero organisation and click Allow access.
- 3
Set the setup method and start dateExpress makes the Xero accounts for you. Advanced lets your bookkeeper map each account. If you start today, sales show in Xero tomorrow. If you used the old version, the last step turns it off so sales don't come in twice.
- 4
Check one week against the bankCompare one week of Square payouts to the deposits in your Xero bank feed, line by line, and fix any account that's off now, not at month end.
What still has to be done by hand
The app gets a summary of each day's sales into Xero. The checking still sits with your bookkeeper, and the reviews on the Xero App Store show where.
Sales can come in twice. Several one-star reviews say each Square sale showed up twice in Xero, with no simple way to fix it, and one says it threw off a tax statement already filed. If you used the old version of the app, make sure the last setup step turned it off.
Tax doesn't always land right. More than one reviewer says the sales tax from Square came into Xero in a way that made their tax report hard to use. Someone has to check the tax lines before each return.
The feed can stop without a word. Reviewers say it just stopped working, or kept sending fees but stopped sending the daily sales. Amaka's own guide says the daily sync may fail if someone edits or deletes the Square Balance account in Xero.
Stock isn't part of it. The app moves sales and payments, not items or counts, and it doesn't work with Xero Cashbook. So most weeks, someone still matches each Square payout to the bank, checks the tax, and looks for days that came in twice or not at all.

Questions
Is my customers' information safe?
Yes. Agents work in your own Square and Xero and see only what their job needs. Customer details never go into public AI. Agents connect to AI through business-grade connections audited under SOC 2.
What is the Square Xero integration from Amaka?
Square's app on the Xero App Store is set up and supported by Amaka, an accounting software company Square works with. You can follow Amaka's setup guide or book a session with one of their people.
Does the Square integration with Xero bring in Square fees?
Yes. Square's Xero listing says Xero makes bank rules when you connect, so Square processing fees go to a fees account.
Will this replace my bookkeeper?
No. Your bookkeeper sets the rules and reviews the books. Agents do the checking, so your bookkeeper's hours go to the work that needs them.
What does it cost?
You get the price on the call, along with the hours it saves your team.
