To connect a Square Terminal to Wi-Fi, turn it on and tap your network from the list it shows, then enter the password. If it's already set up, tap More, Settings, Hardware, Network; if it's signed out, tap Change Settings, then Network. It can't join a network that makes you accept terms first, like at a coffee shop or airport, and Square lists WPA2 Personal, not WPA3, for Terminal. With the Hub for Square Terminal you can plug in Ethernet instead, and the Terminal uses Ethernet first. Where it stops: sellers have reported Terminals dropping Wi-Fi after updates for years, offline payments have a 72-hour limit, and once it's online, each sale still has to land right in your books and stock. AI agents check that each day.
How to connect Square Terminal to Wi-Fi, and what comes after
Square Terminal is a hand-held card machine with its own screen, printer and battery. Square's setup guide says you need Wi-Fi or Ethernet to finish setting it up, and the first software update, which takes about 20 minutes, comes right after it joins a network. If you plan to use it with an iPad at the counter, our guide on how to connect a Square Terminal to an iPad covers that pairing.
Getting online is the short part. The Terminal then sends each sale, tip and refund to Square. From there, payouts, fees, tax and stock counts have to reach your books and your shelves. A Terminal that drops off Wi-Fi in the middle of a busy day makes that harder, so set up the network right the first time.
Three ways to get a Square Terminal online
The first two come from Square. The third is what happens once the sales start.
Wi-Fi
- How it works
- On first start, the Terminal asks you to join a network. Later, you change it under More, Settings, Hardware, Network. Square says it works on a private network or an open one, but not a captive portal network that asks you to accept terms.
- Good for
- Most shops, cafes and pop-ups with their own router and a strong signal at the counter.
- Where it breaks
- Square's network page lists WPA2 Personal and WPA2 Enterprise with a username and password for Terminal, and says it doesn't support certificate-based WPA2 Enterprise or WPA3 Enterprise. A busy guest network, a strict firewall or a weak signal can make it drop.
Ethernet through the Hub
- How it works
- Plug the Hub for Square Terminal into the side of the Terminal and into power, then plug in an Ethernet cable. The Terminal joins on its own, and Square says it uses Ethernet over Wi-Fi when both are there.
- Good for
- Counters where the Terminal stays put, and anywhere Wi-Fi has let you down.
- Where it breaks
- You need the Hub and a cable run to the router, and the Terminal is no longer free to carry to a table.
Arkeo agents, after it's online
- How it works
- Agents read each day's Square sales, refunds, offline payments and payouts, check them against your books and stock counts, and send your team a short list of what doesn't match, with the sale it came from.
- Good for
- Shops and cafes where the owner closes the day, and nobody has the hours to check the books and the shelves.
- Where it breaks
- Anything your rules keep for a person, like a declined offline payment or a large refund, goes to them in one message.
How to connect a Square Terminal to Wi-Fi: the steps
These follow Square's own help pages. Open them for the screens.
- 1
Check your network firstHave your Wi-Fi name and password ready. Make sure the network is WPA2 Personal, not a sign-in page. If your business uses a firewall, Square says it must allow HTTPS on port 443 and time checks (NTP), and lists the web addresses to allow.
- 2
Turn it on and join Wi-FiHold the power button on the left side for three seconds. When it asks for a network, tap yours from the list and enter the password. Then take the software update; Square says you can't take card payments while it runs.
- 3
Change or check the network laterTap More, Settings, Hardware, Network, or Change Settings, then Network if you're signed out. Look for a checkmark next to your network. If it's missing, turn Wi-Fi off and back on and wait a minute or two.
- 4
If it keeps dropping, test and restartHold a phone next to the Terminal. If the phone has 3 or 4 bars and the Terminal doesn't, restart the Terminal, then send a diagnostic report under More, Support, Troubleshooting. Hold the power button only until you see Restart, or it will factory reset.
- 5
Set up offline payments before you need themIn Square Dashboard, check your offline payments settings. Square says payments taken offline upload when you reconnect within 24 hours, and no later than 72 hours. Never sign out or reset while payments are waiting, or they are lost.
What still has to be done by hand once it's on Wi-Fi
Wi-Fi itself is the first gap. In a Square Community thread that ran from 2019 to 2023, about eight sellers said their Terminal stopped joining their router after a software update, while it still worked on a phone hotspot. Square's moderators sent each one to support, and no cause was posted. In a 2021 thread, a seller was restarting the Terminal several times a day; the only workaround Square's team gave was to use Ethernet whenever possible.
When the Wi-Fi goes, offline payments take over, with rules someone has to watch. Square says you get no notice of a declined card while offline, and you are responsible for payments that expire, decline or are disputed. Offline payments don't work when the Terminal is paired with an iPad as the customer's screen. Loyalty points earned offline have to be linked by hand, and Square says its close of day report is not supported for them.
Then each sale has to reach the books. A payout is the day's sales less fees and refunds, with tips and tax mixed in. Intuit says its Square Connector for QuickBooks Online can't sync on demand, takes about 2 hours, holds sales in a review list, and puts items it can't match on a Square Sales line. So someone checks each payout, each offline sale and each stock count, and finds the gaps at month end if nobody did.

Questions
Is my customers' information safe?
Yes. Agents work in your own Square account and books and see only what their job needs. Customer details never go into public AI. Agents connect to AI through business-grade connections audited under SOC 2.
Why won't my Square Terminal connect to Wi-Fi?
Check three things Square lists. The network can't be a captive portal that asks you to accept terms. Terminal supports WPA2 Personal and WPA2 Enterprise with a username and password, not certificate-based WPA2 Enterprise or WPA3 Enterprise. And a firewall has to allow HTTPS on port 443 and NTP. If those are fine, restart it and send a diagnostic report to Square.
Can Square Terminal use a phone hotspot?
Sellers in the Square Community say their Terminal joins a phone hotspot when their router fails. A hotspot is a normal Wi-Fi network to the Terminal, so join it the same way under More, Settings, Hardware, Network.
What happens to sales if my Square Terminal loses Wi-Fi?
If offline payments are on, the Terminal keeps taking cards from most major brands and stores them. Square says they upload when you reconnect, within 24 hours and no later than 72 hours. Don't sign out or reset while payments are waiting.
What does it cost?
You get the price on the call, along with the hours it saves your team.
