Square customers and sales, put to work in HubSpot

HubSpotSquare
The short answer

The main HubSpot Square integration is HubSpot's own Square data sync, free from the HubSpot Marketplace. It keeps Square customers and HubSpot contacts matched both ways, and Square items and HubSpot products. Where it stops: HubSpot's listing says it is a customer sync only and does not sync sales. Payments come across only into a custom object, which needs a HubSpot Enterprise plan. Customers with no email address are left out by default. Zapier can turn each Square payment or order into a HubSpot deal, one zap at a time. AI agents read Square sales and act on them in HubSpot.

What a HubSpot Square integration has to do

You take payments in Square. You market and sell from HubSpot. With no link, HubSpot doesn't know who bought what. Someone exports Square customers and imports them into HubSpot, and the emails go out with no idea who just came in, who spent the most or who hasn't been back.

So a good connection does more than copy names and emails. It shows each contact's purchases in HubSpot, so your lists, deals and follow-ups are built on what people actually bought.

Two ways to connect HubSpot and Square

One is HubSpot's own app. One is a set of zaps you build yourself.

HubSpot's Square data sync

How it works
HubSpot built it and lists it on the HubSpot Marketplace. It keeps Square customers and HubSpot contacts matched both ways, and Square items and HubSpot products. It comes with ready field mappings and brings over the customers you already have.
Good for
Square sellers who want their customer list in HubSpot and kept up to date, without imports.
Where it breaks
HubSpot's listing says it is a customer sync only and does not sync sales. Payments go into a custom object, which needs an Enterprise plan. Changing the field mappings needs a paid Data Hub plan. On the listing it has 2.5 stars from 14 ratings.

A Zapier zap

How it works
Zapier's Square triggers include a new payment, a new order, a new customer, a new invoice and a new appointment. On the HubSpot side it can make or update a contact, make a deal, add a contact to a list or add it to a workflow.
Good for
Teams who want a HubSpot deal, or a list, for each Square sale.
Where it breaks
Each zap is one trigger and one job, and someone has to keep it working. Zapier lists no Square trigger for refunds. HubSpot's list steps need Marketing Hub Starter or higher.

Arkeo agents

How it works
Agents read Square sales, refunds and customers, log what each person bought on their HubSpot contact, find customers who haven't come back, and send them a note to bring them back.
Good for
Shops, studios and service businesses that sell in Square and want HubSpot to act on what people buy.
Where it breaks
Anything your rules keep for a person, like a large refund or an unhappy customer, goes to the owner in one message.

How to connect HubSpot to Square

These follow HubSpot's own data sync guide. Open it for the screens.

  1. 1

    Check your access and plans

You need Super Admin or App Marketplace access in HubSpot, and a Square account. Decide now if you need payments in HubSpot, since those need an Enterprise plan.

  2. 2

    Install the app

Select the Marketplace icon in HubSpot, then HubSpot Marketplace, and search for Square. Select Install, log in to Square, and select Allow.

  3. 3

    Set up the customer sync

Go to Settings, then Integrations, then Connected Apps, and select Square. Select Set up your sync, match Square customers to HubSpot contacts, and set the sync direction and which app wins when the two disagree.

  4. 4

    Check the limits, then save

On the Limit page, decide whether to keep the box that syncs only contacts with an email address. Review the field mappings, then select Save and sync. The first sync can take days, and HubSpot emails you when it's done.

  5. 5

    Check what failed

Open the CRM syncs tab and the Object view. Look at the Failing and Excluded counts, and open them to see why each one didn't come across.

  6. 6

Add a zap for sales, if you need them

If you want each Square sale in HubSpot, build a zap with New Payment or New Order in Square as the trigger, and a deal or contact update in HubSpot as the action.

Where the HubSpot Square integration stops

The data sync keeps your customer list matched. It doesn't tell HubSpot what anyone bought, and that is the part most teams wanted.

Customers, not sales. HubSpot's listing says it is a customer sync only and does not sync sales. Payments come across only into a custom object, and only on an Enterprise plan. So a deal doesn't move when someone pays, and a list of your best buyers has to be built from a Square export. A Square community thread asked for invoices, estimates and loyalty to reach HubSpot, and Square passed it to its product team.

No email, no sync. HubSpot matches contacts by email, and by default syncs only contacts that have one. A walk-in customer saved in Square with just a name and phone number doesn't come across. When two records share an email, HubSpot syncs the first one and marks the next as a duplicate.

Two-way means one side wins. HubSpot's guide says you set a default app that overwrites the other when values differ. In the same Square thread, an owner said both Square address lines were run together into one HubSpot field with no space between them.

It needs watching. The first sync can take days, and saving a change to the sync starts it over. Records that fail or are left out sit in the CRM syncs tab until someone looks. On the HubSpot Marketplace, 64 percent of the app's ratings are one or two stars.
