Square Terminal and iPad, set up and checked

Square
The short answer

To connect a Square Terminal to an iPad, sign the Terminal out, then in the Square POS app on the iPad tap More, Settings, Hardware, Square Terminal and name it to get a device code. On the Terminal, tap Sign in, then Use a device code, and enter it. The Terminal then works as the screen your customer taps and pays on. Where it stops: one Terminal per iPad, no Square Appointments or Square Invoice app, and the pairing does nothing about the books. Sales, fees and payouts still have to be checked against QuickBooks or Xero, and items and stock kept right. AI agents do those checks each day and send your team what needs a person.

How to connect a Square Terminal to an iPad, and why

Square Terminal is a hand-held card machine with its own screen, receipt printer and battery. It can work on its own, signed in to your Square account. But many shops and cafes ring up on an iPad at the counter and want the customer to tap their card on something they can hold. Square's help center says you can connect Square Terminal to your point of sale app to use it as a buyer-facing display and payment point.

Pairing takes a few minutes. The part that lasts is after: each sale on that iPad and Terminal turns into a payout, fees, tax and a change in stock, and those have to land right in the other programs your business runs.

Three ways to use a Square Terminal with an iPad

The first two come from Square. The third is what happens after the sale.

Pair the Terminal with Square POS on the iPad

How it works
You ring up the sale on the iPad, and the Terminal shows it to the customer and takes the payment. You pair them with a device code made in the iPad app.
Good for
Counters where staff want the bigger iPad screen and customers want to pay on a device in their hand.
Where it breaks
Square says the app connects to one Terminal at a time, and you can't connect a Terminal to iPads using Square Appointments or the Square Invoice app.

Run the Terminal on its own

How it works
Sign the Terminal in to your Square account with your email or a device code from the Square Dashboard. It takes payments with its own screen and prints the receipt.
Good for
Tables, pop-ups and deliveries, where staff carry the Terminal to the customer.
Where it breaks
Each device is its own checkout. It doesn't share one open sale with the iPad, so plan which device does what.

Arkeo agents, after the sale

How it works
Agents read the day's Square sales, refunds and payouts from each device, check them against your books and your stock, and send your team a short list of what doesn't match, with the sale or payout it came from.
Good for
Shops and cafes where the owner closes the day, and nobody has the hours to check the books and the shelves.
Where it breaks
Anything your rules keep for a person, like a large refund or a payout it can't match, goes to them in one message.

How to connect Square Terminal to an iPad: the steps

These follow Square's own help pages. Open them for the screens.

  1. 1

    Set up the Terminal

Hold the power button on the left side for three seconds, then join Wi-Fi or plug in Ethernet through the Hub for Square Terminal. Take the software update when it asks; Square says the first one takes about 20 minutes. Captive portal Wi-Fi, like at some coffee shops, won't work.

  2. 2

    Sign the Terminal out

If the Terminal is signed in to your account, swipe from the top left to open the menu, then tap Settings, Account, Sign out. It has to be signed out to pair.

  3. 3

Get a device code on the iPad

In the Square POS app on the iPad, tap More, Settings, Hardware, Square Terminal. Give the Terminal a name, and the app shows a device code.

  4. 4

Enter the code on the Terminal

On the Terminal, tap Sign in, then Use a device code, and enter the code. Square says an unused device code expires after 48 hours. The Terminal then shows Powered by Square and waits for the iPad.

  5. 5

Run a test sale, then connect the books

Ring up a small sale on the iPad, pay on the Terminal, and refund it. Then check how sales reach your books. For QuickBooks Online, that's Intuit's Square Connector by QuickBooks.

What still has to be done by hand after it's connected

The pairing itself can fail. In a Square Community thread from February 2025, a seller's iPad app didn't list Square Terminal under Hardware, so there was no way to make a device code. The seller said a Square engineer called it a known problem with a fix due in the next update, and another seller posted the same problem in February 2026. In an older thread, Square's own moderators gave opposite answers two years apart on whether the two could work together at all.

Then the sales have to reach the books. A Square payout is not the same number as the day's sales: fees come off, refunds come back, and tips and tax are mixed in. Intuit's guide says each Square sale usually reaches QuickBooks Online within about 2 hours, waits under For review until someone confirms it, can't be synced on demand, and lands on a catch-all Square Sales line if the item name doesn't match. It connects one Square account at a time. In an Intuit community thread from 2026, one owner wrote that a connector update pulled in two years of old sales and thousands of duplicates, and others in the thread reported slow syncs and cash sales left under For review. On Xero, Square says its integration sends a daily sales summary, so each deposit still has to be matched to it.

And items have to stay right. A new item, a price change or a count fixed on one device has to match the books and the shelf. When they drift apart, someone finds out at month end, or when a customer asks for something that isn't there.

The agents that do it

Each agent does one job from start to finish in your own Square account, and passes what the books need to the right person.

Questions

Is my customers' information safe?

Yes. Agents work in your own Square account and books and see only what their job needs. Customer details never go into public AI. Agents connect to AI through business-grade connections audited under SOC 2.

Why doesn't Square Terminal show up in my iPad's Hardware settings?

First check that the Terminal is signed out of your account. Sellers in the Square Community have reported the option missing from the list even then; one was told it was a known problem an app update would fix, so update the Square POS app and contact Square support if it's still missing.

Can I connect more than one Square Terminal to one iPad?

No. Square says your point of sale app can only connect to one Square Terminal at a time.

Can I use Square Terminal with Square Appointments on an iPad?

No. Square says you can't connect Square Terminal to devices using Square Appointments or the Square Invoice app.

What does it cost?

You get the price on the call, along with the hours it saves your team.
