Yes, you can connect Square to QuickBooks. The main QuickBooks integration with Square is the Square Connector by QuickBooks, Intuit's own app, which brings your Square sales, fees and payouts into QuickBooks Online within a few hours. You can also build Zapier zaps for one job at a time. Where they stop: each sale waits in a review list until someone confirms it, items that don't match land on one catch-all line, only one Square account can connect, and each payout still has to be matched to the bank. AI agents do that check each week and send your bookkeeper what doesn't match.
Why a QuickBooks and Square integration matters
You sell through Square. Your books live in QuickBooks Online. With no link between them, someone types each day's sales into QuickBooks, and the totals rarely match the bank. A Square payout is not the same number as your sales: fees come off, refunds come back, tips and tax are mixed in, and one payout can hold more than one day.
So a good connection does two things. It records your sales, tax, tips and fees in QuickBooks the way your bookkeeper wants them. And it checks each payout against the sales inside it and the deposit in your bank, so month end is a review, not a hunt.
Two ways to connect Square to QuickBooks Online
One is Intuit's own app. One is a zap you build yourself.
Square Connector by QuickBooks
- How it works
- Intuit's app, which you add from My integrations in QuickBooks Online. Once you link your Square account, it brings in Square sales, refunds, fees and payouts, can match your Square customers and products to the ones in QuickBooks, and can import up to 2 years of past sales.
- Good for
- Most Square sellers on QuickBooks Online who want sales and fees in the books without typing.
- Where it breaks
- Intuit's guide says it connects one Square account at a time, can't be made to sync on demand, and puts items it can't match on a default Square Sales line. Sales it isn't sure about wait under For review. Several 2025 and 2026 threads on Intuit's forum report duplicates and imports that stopped after the app changed.
A Zapier zap
- How it works
- QuickBooks Online is a Premium app on Zapier. Its templates make a QuickBooks sales receipt or invoice for each new Square payment or order, add new Square customers to QuickBooks, and make a sales receipt for each new Square invoice.
- Good for
- One simple job, like a sales receipt for each Square invoice.
- Where it breaks
- Each zap is one trigger and one action. Refunds, fees, tips and tax are each more steps you build. A receipt for each payment can fill QuickBooks with entries your bookkeeper then has to match to payouts by hand.
Arkeo agents
- How it works
- Agents read each week's Square sales, refunds and payouts, check them against what's in QuickBooks, and send your bookkeeper a short list of what doesn't match, with the sale or payout it came from.
- Good for
- Shops and service businesses where the books have to match the bank, and nobody has the hours to check.
- Where it breaks
- Anything your rules keep for a person, like a large refund or a payout it can't match, goes to your bookkeeper in one message.
How to connect Square to QuickBooks: the five steps
These follow Intuit's own guide for the Square Connector. Open it for the screens.
- 1
Plan your accounts firstAsk your bookkeeper where sales, tax, tips, discounts, refunds and Square fees should go, so nothing lands in one big bucket.
- 2
Get the appIn QuickBooks Online, select My integrations, then Find integrations, and search for Square Connector by QuickBooks. Select Get app now, log in to Square, and select Agree and Connect.
- 3
Set the bank, locations and start dateSet the Square Deposit Account, the bank your payouts land in, and the Square locations to track. Set the start date, then select Sync Now. Check the Square fees account and the customer and product tracking under App Settings.
- 4
Confirm sales, then payoutsOpen Integration transactions, the Square tile, then For review. Confirm Payment received items before Payout items, then match the bank deposit to each payout.
- 5
Check one week by hand
Compare one week of Square payouts to the deposits in QuickBooks, line by line, before you trust it. Then do it again each month.
What still has to be done by hand
The connector brings Square into QuickBooks. It doesn't finish the books. Intuit's guide says sales usually show up under For review within about 2 hours, and there is no way to sync on demand. Each one has to be confirmed or reviewed, and you can't bulk confirm items that need review. A sale whose item name doesn't match QuickBooks goes on a default Square Sales line until someone matches it. Fees don't show up on their own until the sale they belong to is added.
The connector also works sale by sale. A QuickBooks team member said so in May 2026, to an accountant who only wanted daily totals: it is a transaction-based sync. And it takes one Square account at a time; Intuit says more than one is still being built.
Then there is what happens after setup. In one thread on Intuit's forum, four owners and bookkeepers wrote in 2026 that an update to the connector pulled in up to two years of old sales, many of them already in the books. In another, from late 2025, people said sales stopped coming in for weeks after they were moved to the new app. Each time, someone had to find the problem and clean it up by hand.
The agents that do it
Each agent does one job from start to finish in your own Square, and passes what the books need to QuickBooks.
Questions
Is my customers' information safe?
Yes. Agents work in your own Square and QuickBooks and see only what their job needs. Customer details never go into public AI. Agents connect to AI through business-grade connections audited under SOC 2.
Can I connect Square to QuickBooks?
Yes. The Square Connector by QuickBooks links the two and brings your Square sales, fees and payouts into QuickBooks Online. You can also use Zapier for single jobs.
Does the Square QuickBooks Online integration bring in fees?
Yes. Intuit's guide says fees come in as an expense tied to each sale and go to a Square Fees account. They only show up once the sale they belong to is added, so check one payout before you trust it.
Will this replace my bookkeeper?
No. Your bookkeeper sets the rules and reviews the books. Agents do the checking, so your bookkeeper's hours go to the work that needs them.
What does it cost?
You get the price on the call, along with the hours it saves your team.
