Zapier vs Workato comes down to size. Workato calls itself the platform to govern and scale enterprise AI, built for large companies with IT teams. Zapier is a no-code builder with 9,000+ apps, used by everyone from first-time founders to the Fortune 500. Both run the steps you build. Neither looks after them: when a sign-in expires, a Zap turns off or an app changes, someone on your team has to notice and mend it. A 10 to 50 person company usually needs something lighter, or agents that do the work for it.
Zapier vs Workato: what each one is
Workato calls itself the platform to govern and scale enterprise AI: the control and execution platform to govern AI, connect apps and data, and run workflows and agents. It connects to 17,000+ apps, APIs, databases and files, and its workflows are called recipes.
Zapier calls itself no-code automation across 9,000+ apps. You build Zaps: when something happens in one app, steps run in others. Zapier also offers Tables, Forms, chatbots and AI steps inside Zaps. Zapier says it is built for everyone, from the Fortune 500 to first-time founders.

Workato vs Zapier for a small business
Workato's plans are sold by quote, and its pricing page asks you to get a quote or book a demo. Workato does offer a free start, and says its pricing fits companies of all sizes. Still, most of what it sells is control over many teams building many agents.
A business of 10 to 50 people rarely has that problem. It has a few jobs that take too many hours: leads that need logging, orders that need entering, reports that need building. Zapier is closer to that size. Someone on your team can build a Zap without help, and Zapier lists 1:1 consultants you can hire if you need it.
What Zapier and Workato leave for your team to look after
Both products run the steps you build. Neither one watches them for you, and their own help pages show where the work lands.
Zaps can stop without a warning you see. Zapier's help center says that if a Zap stops triggering with no errors in its history, turn it off, wait a minute and turn it back on. Its community forum has many threads from people whose Zaps turned off with no error shown. Zapier says it keeps run history for up to 60 days, so a problem found late can be hard to trace.
Timing depends on your plan. Most Zapier triggers check for new data on a timer, from every 15 minutes down to every minute, so the next app is not always up to date.
Sign-ins expire. Workato's docs say connections become invalid when someone changes a password or loses permissions, and the recipe fails until the app is reconnected.
Public reviews say the same. Zapier's Trustpilot page holds a 1.3 out of 5 from 324 reviews, and a common complaint is Zaps that are hard to set up, break, and take hours to sort out.
Workato alternatives for smaller companies
Each of these fits a smaller team better than an enterprise platform. They differ in who does the building.
Zapier
- How it works
- You build Zaps in a no-code editor: a trigger in one app, then the steps that follow. Paths and webhooks handle more involved jobs.
- Good for
- Jobs that happen the same way each time, and a team member who likes to build.
- Where it breaks
- Each case is a step you build. When a Zap turns off or a sign-in expires, someone has to find it and turn it back on.
n8n
- How it works
- A visual builder for workflows and AI agents, with 500+ connections and the option to write code. You can use its hosted version or host it yourself.
- Good for
- Teams with a technical person who wants control of each step.
- Where it breaks
- n8n's docs say that if you host it yourself, the upkeep is your responsibility. Building and testing each workflow stays with your team either way.
Power Automate
- How it works
- Microsoft's automation builder, with cloud flows, desktop flows and more than 1,400 prebuilt connectors. It works inside Teams, Excel, SharePoint and OneDrive.
- Good for
- Businesses that run on Microsoft 365.
- Where it breaks
- Microsoft's docs say Microsoft 365 licenses include only a limited set of it. Premium connectors need a Power Automate Premium license.
Arkeo agents
- How it works
- Agents each take one whole job, like keeping HubSpot right, entering orders from email, or building the weekly revenue report from QuickBooks. They work inside your own software, follow your rules, and check their own work. We set them up with you and keep them working.
- Good for
- Teams of 10 to 50 who want the work done, not a platform to build on.
- Where it breaks
- Anything your rules keep for a person, like an order that doesn't match or a deal that looks wrong, goes to your team in one message.
When you want the work done, not a builder
Zapier, Workato and n8n are all builders. Most 10 to 50 person companies don't have someone whose job is to build. The owner builds a few Zaps, then the business changes and nobody has time to keep them right.
An agent built around one job works the other way. You tell us how the job is done today. We set up the agent inside your HubSpot, QuickBooks or Gmail, under your rules. It checks its own work, flags what doesn't match, and we keep it working when your process changes.
Jobs an agent does start to finish
Each of these is a whole job, not a workflow you build and look after.

Questions
Is my customers' information safe?
Yes. Agents work in your own accounts and see only what each job needs. Customer details never go into public AI. Agents connect to AI through business-grade connections audited under SOC 2.
Is Workato better than Zapier?
Not better, built for a different size. Workato is built for large companies with IT teams that need central control. Zapier is easier for a small team to start with.
Is Workato good for a small business?
Workato offers a free start, but its plans are sold by quote and built around large IT teams. Most 10 to 50 person companies find Zapier, n8n or Power Automate a closer fit, or have agents do the jobs for them.
Do I have to stop using Zapier to use agents?
No. Keep the Zaps that work. Agents take the jobs that need judgment and checking.
What does it cost?
You get the price on the call, along with the hours it saves your team.
