An AI automation agency looks at how your business works, builds automations and AI agents in a tool like Zapier, Make or n8n, and hands them over. That is where most agency work stops. After the hand-over, someone in your business has to notice when a step turns off, reconnect apps when a sign-in expires, and change the steps when your process changes. You can build it yourself, hire an agency to build it, or use a done-for-you service that also keeps the work going after launch.
What an AI automation agency does
An AI automation agency takes the jobs your team does by hand and turns them into automations. It maps how a job is done today, then builds the steps in an automation tool. Most work in Zapier, Make or n8n, and many add AI steps that read an email or sort a lead.
All three tools keep a directory of outside experts you can hire. Zapier says its directory helps whether you'd like help deciding what to automate or need a hand building it. Make calls the people in its directory certified Make experts. n8n says its network connects businesses with experienced teams that can help bring their automation projects to life. These are what most people mean by an AI automation agency.
Three ways to get the work done
Each one ends with the same jobs handled. They differ in who builds it, and who looks after it once it works.
Build it yourself in Zapier or n8n
- How it works
- You or someone on your team learns the tool and builds each workflow. n8n's docs say hosting it yourself needs technical skill.
- Good for
- A business with a person who enjoys building and has the hours.
- Where it breaks
- The work lands on one person. When they are busy or leave, nobody knows how the workflows are put together, and Zapier keeps run history for up to 60 days.
Hire an AI automation agency
- How it works
- The agency maps your process, builds the automations in its tool of choice, tests them and hands them over.
- Good for
- A clear project with an end, which your team can look after afterwards.
- Where it breaks
- The tools turn steps off after errors, and sign-ins expire when someone changes a password. After the project ends, each of those is your team's job, or a new request to the agency.
Arkeo agents, done for you
- How it works
- We set up agents that each do one whole job inside your own software, like keeping your CRM right or getting the week's numbers out. We keep them working after launch.
- Good for
- A 10 to 50 person business with nobody on staff to build or look after it.
- Where it breaks
- Anything your rules keep for a person, like a large refund or a lead it can't place, goes to your team in one message.
AI automation agency vs doing it yourself vs done for you
| Build it yourself | AI automation agency | Arkeo agents | |
|---|---|---|---|
| Who builds it | You or your team | The agency | We do, with you |
| What you need on staff | Someone who can build and test workflows | Someone who can look after it after the hand-over | Someone who knows how the job should be done |
| When a step turns off | You find it and turn it back on | You, or a new request to the agency | We see it and mend it |
| When things vary | Each case is a step you build | Each case is a step they build | Reads the case and follows your rules |
What an AI automation agency leaves with you after the hand-over
The agency's work ends when the steps are built and tested. The automation tools' own help pages show what comes after, and it lands on your team.
Steps turn off. Zapier turns a Zap off when it keeps erroring, when a plan downgrade removes a feature it uses, and when someone edits it. It stays off until someone turns it back on. Its community forum has many threads from owners whose Zaps turned off with no error shown. Make turns a scenario off after a set number of errors in a row, and right away after the first error if it starts with an instant trigger.
Sign-ins expire. Workato's docs say connections become invalid when someone changes a password or loses permissions. The same is true in any tool: someone has to reconnect the app.
Your process changes. A new product, a new price or a new form field means the steps need changing. If you host n8n yourself, n8n says the upkeep is yours too.
Ask the agency who does each of these after launch, and what it costs.
When to hire an AI automation agency
Hire an agency when the job is a project with an end: moving your old contacts into a new CRM, or linking your web form to your inbox.
Build it yourself when the jobs are simple, the same each time, and you have a person who likes the work.
Look at a done-for-you service when the job never ends: following up with leads, keeping the CRM right, getting invoices and reports out each week. A one-time build doesn't cover them.
How to hire an AI automation agency: five questions to ask
Ask these before you sign, whichever way you go.
- 1
Which tool will you build it in?
Ask whose account it lives in. It should be yours, so the work stays with you if the agency goes.
- 2
What happens when a step turns off?
Ask who gets the alert, how fast it is turned back on, and if fixes after launch cost extra.
- 3
Who checks the AI's work?
Ask how mistakes are caught before a customer sees them.
- 4
What will my team need to do?
Ask what your team has to learn, and what you still do by hand after launch.
- 5
How will we know it saves time?
Ask for the hours a week it should save, and how you'll see it.
Jobs an agent does from start to finish
These are the jobs that never end. Each agent does one inside your own software, and your team talks to it in Slack or Teams.

Questions
Is my customers' information safe?
Yes. Agents work in your own accounts and see only what each job needs. Customer details never go into public AI. Agents connect to AI through business-grade connections audited under SOC 2.
What does an AI automation agency do?
It maps a job, builds the automations in a tool like Zapier, Make or n8n, tests them and hands them over. Some also watch them after launch.
Should I hire an AI automation agency or build it myself?
Build it yourself for simple jobs, hire an agency for a project with an end, and look at a done-for-you service for jobs that never end.
Is Arkeo an AI automation agency?
Arkeo sets up agents that do whole jobs in your software, the way an agency would build them. The difference is that we keep them working after launch, so your team doesn't have to.
What does it cost?
You get the price on the call, along with the hours it saves your team.
