Each WhatsApp chat answered and logged in Salesforce

The short answer

To connect Salesforce and WhatsApp, you have three options: Salesforce's own enhanced WhatsApp channel, a Zapier zap that sends WhatsApp messages when a Salesforce record changes, or a build on Meta's WhatsApp Cloud API. The first is the full Salesforce integration with WhatsApp. It puts chats in front of your reps. Where it stops: a person still answers each chat, WhatsApp allows a normal reply only within 24 hours of the customer's last message, and some messages never come through. AI agents answer, log the chat in Salesforce, and pass the rest to your team.

Why a Salesforce integration with WhatsApp matters

Many customers would rather send a WhatsApp message than call or fill in a form. If those chats live on one person's phone, Salesforce never hears about them. The lead looks cold, the rep doesn't know what was said, and the next person to call starts from zero.

So "connected" has to mean two things. Each chat reaches someone who can answer it, fast. And what was said ends up on the right lead or contact in Salesforce, so the next person can see it.

Three ways to connect Salesforce and WhatsApp

One comes from Salesforce, one from Zapier, and one from Meta, the company behind WhatsApp.

Salesforce's enhanced WhatsApp channel

How it works
An admin turns on Messaging in Salesforce Setup and adds a WhatsApp channel. You log in with Facebook, link your WhatsApp Business account and verify your number. Chats then come into the Service Console, where reps answer them.
Good for
Teams with a service desk in Salesforce that want reps to answer WhatsApp chats next to the customer's record. Reps can send files and hand a chat to someone else.
Where it breaks
You need Messaging in your Salesforce plan, and a person still answers each chat. After 24 hours without a customer message, reps can send only pre-approved templates. Salesforce says group chats, locations, contacts and polls don't come through.

A Zapier zap

How it works
Zapier's WhatsApp Notifications app has one action, Send Message. Its templates send a WhatsApp message when a Salesforce lead, contact or other record is new or changes.
Good for
Quick alerts, like a WhatsApp message to the owner when a big lead comes in.
Where it breaks
It only sends, and each message needs an approved WhatsApp template. Customer replies don't come back into Salesforce. Salesforce is a Premium app on Zapier, and its triggers check for changes every 15 minutes on the Free plan.

A build on Meta's Cloud API

How it works
A developer uses Meta's WhatsApp Cloud API to send text, photos and buttons, and to get each customer message at your own server. Then they write the code that puts it in Salesforce.
Good for
Companies with a developer who want full control over how chats and records line up.
Where it breaks
You own the code. Meta sends each new message to a server you run. If it's down, Meta keeps trying for up to 7 days, then stops.

Arkeo agents

How it works
Agents read each WhatsApp message as it comes in, find the person in Salesforce, answer the questions your rules allow, and log the chat as a note on the lead or contact. They send approved reminder messages and give new leads to the right rep.
Good for
Teams that get more WhatsApp chats than they can answer, and want each chat on the record.
Where it breaks
Anything your rules keep for a person, like a complaint, a refund or a price question, goes to your team in one message, with the chat attached.

How to set up Salesforce's WhatsApp channel

Salesforce's Trailhead course shows the screens. These are the parts, in order.

  1. 1

Turn on Messaging and start a WhatsApp channel

In Setup, open Messaging Settings, turn on Messaging, click New Channel and select WhatsApp.

  2. 2

    Link your WhatsApp Business account

Click Connect to WhatsApp, log in with Facebook, and make or select your WhatsApp Business account. Then verify your number by text or call.

  3. 3

Check your number and limits first

Salesforce's notes cover which numbers you can use, moving a number from another provider, and the 24-hour reply window.

  4. 4

    Decide who gets each chat

Send chats to a queue, or build an Omni-Channel flow from the template called Messages Routed to Agents and Queues.

  5. 5

Test one chat from start to finish

Send a message from a test phone. Check that it reaches the right rep and shows on the right contact before you share the number.

Where the Salesforce WhatsApp integration stops

The channel brings each chat to a rep. The rest is still done by hand.

Someone has to answer. Chats wait in the Service Console until a rep opens them. Nights and weekends, the customer waits too.

The 24-hour clock. Salesforce's WhatsApp notes say that once 24 hours pass after a customer's message, a rep can reply only with a pre-approved template. A question left over the weekend can't get a normal answer on Monday.

Some messages never arrive. Salesforce says messages in a group chat aren't delivered and don't show up for reps. Locations, contacts and polls aren't supported. Messages sent in quick succession can arrive out of order, and Meta doesn't always say why a message wasn't delivered.

Admins report gaps. In Salesforce's Trailblazer Community, admins setting up WhatsApp in Salesforce describe chats that sometimes don't arrive, sessions that sit in Waiting after they're assigned, and outbound messages marked as sent that never reach the phone.

So most weeks, someone watches the queue, answers before the 24 hours run out, chases chats that didn't come through and types what was promised onto the lead.

The agents that do it

Each agent does one job from start to finish: some on WhatsApp, some in your Salesforce, passing the work between them. Your team talks to them in Slack or Teams.

Questions

Is my customers' information safe?

Yes. Agents work in your own Salesforce and WhatsApp Business account and see only what their job needs. Customer details never go into public AI. Agents connect to AI through business-grade connections audited under SOC 2.

Does Salesforce have its own WhatsApp integration?

Yes. Salesforce has an enhanced WhatsApp channel that you set up in Messaging Settings. You need Messaging in your Salesforce plan, and you link your WhatsApp Business account during that setup.

Can I use the WhatsApp number I already have?

Usually. Salesforce's WhatsApp notes say most numbers can be used, and setup walks you through moving a number from another provider. Its Trailhead course adds that a WhatsApp Business account made in Meta Business Manager outside Salesforce's setup can't be used. Check both before you switch.

Can Salesforce send WhatsApp messages on its own?

Yes. Admins can use flows to send automatic messages built on approved WhatsApp templates, like reminders. WhatsApp requires the customer's consent first, collected outside WhatsApp.

What does it cost?

You get the price on the call, along with the hours it saves your team.
