BigCommerce sales in QuickBooks, checked each day

BigCommerceQuickBooks
The short answer

For a QuickBooks BigCommerce integration, most stores start with BigCommerce Connector by QuickBooks, Intuit's own app in the BigCommerce App Marketplace. It turns each order into an invoice or sales receipt in QuickBooks Online and brings over payments, customers and products. You can also use another marketplace app, such as Webgility, or a Zapier zap. Where they stop: the connector syncs about once an hour, products need unique SKUs to match, payments land in holding accounts that someone still has to match to each deposit, and a sync that stops doesn't always say so. AI agents check each day's orders and refunds against QuickBooks and tell you what doesn't match.

What a QuickBooks BigCommerce integration has to do

Getting BigCommerce orders into QuickBooks is the part all these apps do. The harder part is that your money doesn't come from BigCommerce. It comes from PayPal, Stripe, Square or another payment company, in one deposit that holds many orders, minus fees and refunds.

So connected has to mean two things. Each order and refund is recorded in QuickBooks the way your bookkeeper wants it. And each deposit in the bank is matched to the orders inside it. The connectors do the first part. The second part is mostly still a person's job.

Ways to connect BigCommerce and QuickBooks

Most stores on QuickBooks Online start with Intuit's app.

BigCommerce Connector by QuickBooks

How it works
Intuit's own app, listed in the BigCommerce App Marketplace and last updated October 19, 2026. When an order comes in, it makes an invoice or sales receipt in QuickBooks Online. It also sends payments, refunds, taxes, discounts and shipping, and creates or matches products to your QuickBooks items.
Good for
Stores on QuickBooks Online with one storefront that want orders in the books without typing.
Where it breaks
Intuit's guide says auto-sync runs about once an hour, items must have unique SKUs to match, and it won't sync your product cost. Payments go to a holding account for each payment method, so deposits still have to be matched. The listing is rated 3.99 out of 5 from 191 reviews.

Another BigCommerce App Marketplace app

How it works
Other makers sell QuickBooks apps in the BigCommerce App Marketplace. Webgility's listing says it posts orders, fees, refunds, payouts and stock to QuickBooks Online or Xero. PayTraQer's listing says it brings in sales and fees from PayPal, Stripe, Square and other payment companies.
Good for
Stores with several sales channels, or a bookkeeper who wants fees and payouts recorded line by line.
Where it breaks
Each app has its own settings to learn and keep up. Webgility's own help says that if you reconnect to a different QuickBooks company file, you lose your settings and mappings.

A Zapier zap

How it works
Zapier has BigCommerce triggers like Order Created, Order Updated and Order Status Updated, and QuickBooks Online actions like Create Sales Receipt, Create Invoice and Create Refund Receipt. You build each zap yourself.
Good for
Small stores with one product line, one tax rate and one way to get paid.
Where it breaks
Each case is a step you build: refunds, discounts, shipping, tax and fees. Miss one and the books drift. A zap that fails doesn't tell your bookkeeper.

Arkeo agents

How it works
Agents read each day's orders, refunds and payments in BigCommerce, check what reached QuickBooks, and send your bookkeeper a short list of orders that are missing, doubled or off by an amount.
Good for
Stores where the books have to match the store, and nobody has the hours to check each week.
Where it breaks
Anything your rules keep for a person, like a large refund or an order it can't explain, goes to your team in one message.

How to connect QuickBooks to BigCommerce with Intuit's connector

Six steps, in our words. They follow Intuit's own integration guide, written for its global connector, so a few screen names may differ in your version. Open it for the screens.

  1. 1

Plan your accounts and SKUs first

Ask your bookkeeper where sales, shipping, tax, discounts and refunds should go. Give each BigCommerce product its own SKU. Intuit says matching needs it.

  2. 2

    Add the connector

Find BigCommerce Connector by QuickBooks in the BigCommerce App Marketplace, install it, and connect your QuickBooks Online company. Then select Configure.

  3. 3

    Set the sync options

Under the sync options, set your timezone, the date to start from, and who gets the email sync reports. You have to do this before the other settings.

  4. 4

    Set how orders come across

Set the order statuses to send, and whether each order becomes a sales invoice or a sales receipt. Set product matching to Name or SKU, map each BigCommerce tax to a QuickBooks sales tax, and use Map individual payment methods to set an account for each way you get paid. Select Save.

  5. 5

Turn on stock sync only if QuickBooks has stock

The stock workflow sends counts from QuickBooks to BigCommerce. Intuit warns that if QuickBooks doesn't have your stock set up first, you can wipe out your BigCommerce stock levels.

Turn on auto-sync, then check a week

Accept the terms to turn on hourly auto-sync, or use Sync Now on the Manage tab. Then compare one week of BigCommerce orders and refunds to QuickBooks, and each payment account to the deposits in your bank.

Where the BigCommerce QuickBooks integration stops

The connector moves orders. The checking in between is still done by hand. Intuit's guide says auto-sync runs about once an hour, so QuickBooks is always a little behind the store. Products match only by Name or SKU, and each BigCommerce item needs its own SKU. A product with a repeated or missing SKU won't match the right item. Intuit also says the connector won't sync your product cost, and sets the cost account only when it first creates an item.

Deposits are the next job. Your money comes from your payment company, not from BigCommerce. The connector records each payment in a holding account for that payment method. Someone still has to match each bank deposit to the orders inside it, and record the fees the payment company took out.

Stock can go wrong in a big way. Intuit warns that turning on stock sync before your stock is set up in QuickBooks can wipe out your BigCommerce stock levels.

And syncs can stop quietly. In one QuickBooks Community thread, a store said shipping had stopped coming across with nothing changed on their side; the reply was to try again in a private window or call BigCommerce. Webgility's help says reconnecting to the wrong company file loses all your settings. Intuit's own app is rated 3.99 out of 5 from 191 reviews in the marketplace.

Questions

Is my customers' information safe?

Yes. Agents work in your own BigCommerce and QuickBooks and see only what their job needs. Customer details never go into public AI. Agents connect to AI through business-grade connections audited under SOC 2.

Does BigCommerce have a QuickBooks integration?

Yes. Intuit makes BigCommerce Connector by QuickBooks, listed in the BigCommerce App Marketplace. It works with QuickBooks Online. Other makers, like Webgility, also list QuickBooks apps there.

How often does the BigCommerce QuickBooks connector sync?

Intuit's guide says that with auto-sync on, your account should sync every hour. You can also start a sync at any time with Sync Now on the Manage tab.

Should orders come in as invoices or sales receipts?

Either works. The connector lets you set which one. Ask your bookkeeper: many stores that are paid at checkout use sales receipts, and stores that bill later use invoices.

What does it cost?

You get the price on the call, along with the hours it saves your team.
