Know what sold without building the report

QuickBooks
The short answer

To run a QuickBooks sales report in QuickBooks Online, go to Reports, then Standard reports, and open the Sales and customers group. Sales by Customer Summary and Sales by Product/Service Summary give totals; the Detail versions list each sale. Sales by Customer Detail needs Essentials, Plus or Advanced. You can customize a report, save it as a custom report, and have QuickBooks email it on a schedule. Where it stops: it shows only what's in QuickBooks, money with no customer lands under Not specified, schedules have fixed send times, and nobody reads it and asks why a number moved. AI agents build the report from all your sales, compare it to last week and send it with the reasons.

Which QuickBooks sales report to run

QuickBooks Online keeps its sales reports in the Sales and customers group of Standard reports. Four of them answer most questions an owner asks.

Sales by Customer Summary shows total sales for each customer. Sales by Customer Detail lists each invoice line, grouped by customer; Intuit says it's in Essentials, Plus and Advanced, and suggests the Summary on EasyStart. Sales by Product/Service Summary shows total sales for each product and service. Sales by Product/Service Detail lists each sale under the product or service it was for.

Which one you want depends on the question. Who are my best customers this quarter? Summary by customer. What sold last month, and how much of it? Summary by product or service. What exactly did one customer buy? Detail by customer, filtered to that customer.

How to run a sales report in QuickBooks Online

Five steps, in our words. Each one links to Intuit's own page for the full screens.

  1. 1

    Open the report

Go to Reports, then Standard reports. Search for the report name, like Sales by Product/Service Summary, or find it in the Sales and customers group.

    Set the dates

Use the Report period dropdown to set the date range, like last month or this quarter, then run the report.

  3. 3

    Customize the columns and filters

Select Customize to add columns or filter by customer or product. Intuit says these options are only in the classic report view. To add a Memo column, go to Columns, then More Columns.

  4. 4

Save it as a custom report

Save the customized report so you don't rebuild it next time. It then shows under Custom reports.

  5. 5

    Email it on a schedule

In Custom reports, find the report, select Edit in the Action column and turn on Set email schedule. Set how often, add the people to send it to, and check Attach the report as an Excel file if you want a spreadsheet.

Sales reports by customer, by product, and by month

To see what one customer bought, run Sales by Customer Detail, select Customize, and filter the Customer list to that name.

For a monthly report, Intuit's tips are practical. For more on what agents do inside QuickBooks, see AI agents for QuickBooks Online. You can't schedule a monthly email on the 29th, 30th or 31st, since not every month has those days. Set the next send date to the 1st of the following month, so the report holds the whole month. For a quarterly report, set Monthly and repeat every 3 months.

Where the QuickBooks sales report stops: what is still done by hand

The report counts what's in QuickBooks. The work in the middle is everything around it. If your store, your card payments or your wholesale orders come in as one deposit a day, the report shows that deposit, not what sold. Someone still exports the sales from the other program and lines them up in a spreadsheet. Stores on Shopify can read why Shopify and QuickBooks numbers don't match.

Money without a sale behind it can muddy the numbers. In a QuickBooks community thread, an owner found grants showing in Sales by Customer Summary, and money with no named payer, like a loan, landing under Not specified. The replies we could read asked for screenshots and gave no fix. Someone has to know which lines to ignore. Teams that pull these numbers into a sheet can use the guide to connecting QuickBooks to Google Sheets.

Scheduling has fine print. In a long thread on scheduled reports, users say the email goes out at a fixed early hour they can't change, an Excel file once arrived as a web page, and a business that moved to a smaller plan kept getting old scheduled emails it couldn't turn off. A moderator said the basic plan, Simple Start, doesn't have the feature.

And nobody reads it. The report gives totals. It doesn't say that sales fell because one large customer ordered less, or because a product sold out. Finding that out is a person's job, done each week by opening the detail report and scrolling. That weekly read is what a sales report agent takes over.

The agents that build the report

Each agent does one job from start to finish: it pulls sales from QuickBooks and your other programs, compares them to last week, and sends the report to your team.

Questions

Is my customers' information safe?

Yes. Agents work in your own QuickBooks and see only what their job needs. They never see your bank logins. Customer details never go into public AI. Agents connect to AI through business-grade connections audited under SOC 2.

How do I run a sales report in QuickBooks Online?
