A QuickBooks revenue report is one of three standard reports in QuickBooks Online: Profit and Loss for total income, Sales by Customer Summary for sales per customer, and Income by Customer Summary for income per customer. You set the dates and the accounting method, compare to last year, save it, and set an email schedule. Where it stops: the three reports count different things, so their totals often don't agree. A payment with no invoice isn't revenue. And the email goes out on schedule whether the numbers are right or not. AI agents check the numbers before the report goes out, and list what doesn't match.
Which QuickBooks revenue report to run
Revenue in QuickBooks Online shows up in more than one place, and each report answers a different question.
The Profit and Loss report shows total income for a period, by income account, above your expenses. It is the one your accountant reads. Sales by Customer Summary shows total sales for each customer. Intuit's community explains that it counts only sales forms, like invoices and sales receipts. Income by Customer Summary shows income for each customer too, but it counts anything posted to an income account with that customer's name on it, deposits included, and takes off the cost of what you sold.
So the first question is what you want to know. How much came in this month: Profit and Loss. Which customers it came from: Sales by Customer Summary. Which customers made you money: Income by Customer Summary.
How to run a revenue report in QuickBooks Online
Six steps, in our words. Each one links to Intuit's own help page for the screens.
- 1
Open the reportGo to Reports, then Standard reports. Type Profit and Loss, or Sales by Customer Summary, in Find report by name.
- 2
Set the dates and the methodSet the Report period, like last month. Set the Accounting method to Accrual or Cash. Accrual counts a sale when you invoice it. Cash counts it when the money comes in.
- 3
Compare to last year
Open Profit and Loss Comparison. Under Compare, check Previous year (PY) or Previous Period (PP). Under Calculations, show the change in money or in percent.
- 4
Break it downSelect Customize to set filters, rows and columns, the number format, and the header and footer. Essentials, Plus and Advanced can also run the Detail version of a report, which lists each sale.
- 5
Save it
Select Save customization or Save as, and name it, like Monthly revenue. You can share it with other users and add it to a group. It then sits under Custom reports.
- 6
Set an email scheduleUnder Reports, Custom reports, find the report's group. In the Action column, select Edit and turn on Set email schedule. Set how often, add the emails, and check Attach the report as an Excel file if you want one.
Tips for a monthly revenue report
Intuit says a monthly schedule can't use the 29th, 30th or 31st, because those days aren't in every month. It suggests setting the first send to the 1st of the next month, so the report holds the full month. For a quarterly report, set Monthly and an interval of every 3 months.
Run Profit and Loss and the by-customer report with the same dates and the same accounting method. When an owner in Intuit's community asked why their income account total and Income by Customer Summary didn't match, the first fix offered was exactly that.
If you take card payments through another program, its numbers and QuickBooks will differ by fees, refunds and timing. Connecting Stripe to QuickBooks explains where those gaps come from.
Where the QuickBooks revenue report stops: what is still done by hand
The reports don't agree with each other, and that's by design. Sales by Customer Summary counts invoices and sales receipts. Income by Customer Summary counts anything posted to income with a customer name. Profit and Loss counts everything in your income accounts, named or not. So three people can pull three revenue numbers for the same month, and each is right for its own report.
The summary reports can't be narrowed much. In a 2025 thread, an owner asked how to take deposits out of Sales by Customer Summary. One Intuit moderator said to filter by transaction type. A second said the summary report doesn't allow filtering by transaction type, and since it adds up all sales, it can't leave out deposits or payments. The answer was to use the Sales by Customer Detail report instead.
The report is only as right as how each sale was entered. Intuit says a customer payment on its own only changes Accounts Receivable and the bank, so it isn't revenue until there is an invoice. A deposit counts only if it hits an income account. Sales with no class or location, when you filter by one, land under Not Specified, and the fix offered in Intuit's community is to open each one, fill in what's missing and save it.
And the email doesn't check anything. A scheduled report goes out on its day with whatever is in the books. None of these reports says which customers are new, which paid more this month, or which left. Someone still checks the payments against your billing program and works that out in a sheet.
The agents that build the report
Each agent does one job from start to finish: it reads your QuickBooks, checks the numbers, and sends the report and what needs a person to the right one.

Questions
Is my customers' information safe?
Yes. Agents work only in your own QuickBooks and the programs you connect, and see only what their job needs. Customer details never go into public AI. Agents connect to AI through business-grade connections audited under SOC 2.
Is there a revenue report in QuickBooks Online?
Revenue shows up in the standard reports. Profit and Loss shows total income for a period. Sales by Customer Summary and Income by Customer Summary show it per customer. Most owners save one of these with their own dates and filters and call it their revenue report.
Why don't my QuickBooks revenue totals match?
The reports count different things. Sales by Customer Summary counts sales forms only, while Income by Customer Summary and Profit and Loss count deposits too. Check that both reports use the same dates and the same accounting method first.
Can QuickBooks email the revenue report each month?
Yes. Save the report, then turn on Set email schedule under Custom reports. Intuit says monthly sends can't fall on the 29th to the 31st, and suggests the 1st of the next month. What agents add in QuickBooks is the check before it goes out.
What does it cost?
You get the price on the call, along with the hours it saves your team.
