QuickBooks invoices, payments and reports in Google Sheets

QuickBooksGoogle Sheets
The short answer

There are two common ways to set up a QuickBooks Google Sheets integration. Intuit's own Spreadsheet Sync add-on brings QuickBooks Online Advanced data and reports into Google Sheets. A Zapier zap adds a row to a sheet each time QuickBooks has a new invoice, payment or expense. Where it stops: Spreadsheet Sync is only for the Advanced plan and its reviews report refreshes that fail, a zap only adds what you set up and misses deleted invoices, and the QuickBooks sign-in can expire and stop the zap. Nobody checks the sheet against the books. AI agents do that work.

Why a QuickBooks Google Sheets integration matters

QuickBooks Online holds the books. Google Sheets is where many owners plan cash, track jobs and build the report they actually read. In between, someone runs a report in QuickBooks, downloads it and pastes it into the sheet, then does it again next week.

So connected has to mean the sheet shows what QuickBooks shows today. New invoices and payments land in the right rows. A voided invoice or a refund doesn't stay in the totals. And when the link stops, someone knows before the numbers go into a meeting.

Two ways to connect QuickBooks Online and Google Sheets

Spreadsheet Sync is Intuit's own add-on. A zap works on any QuickBooks Online plan.

Intuit's Spreadsheet Sync add-on

How it works
A Google Sheets add-on made by Intuit, in the Google Workspace Marketplace. You install it in Sheets and sign in to QuickBooks. Its listing says it brings QuickBooks data into Sheets for reports, can combine more than one company, and can send bulk changes back to QuickBooks.
Good for
Finance teams on QuickBooks Online Advanced who build reports in Sheets, or combine several companies in one sheet.
Where it breaks
The listing says it is for QuickBooks Online Advanced, and it is paid. It has 2.3 stars from 22 reviews. Reviewers say reports won't refresh, signing in to QuickBooks each time, and a connection that stopped for months. One says that unlike the Excel version, it only runs reports in Sheets and can't post or edit transactions.

A Zapier zap

How it works
Zapier can start from QuickBooks when there is a new invoice, payment, paid invoice, expense, refund receipt or customer, or when an invoice is updated. The Sheets step adds a row, or finds a row and updates it.
Good for
Teams on any QuickBooks Online plan who want a running log of invoices or payments in a sheet.
Where it breaks
Zapier says it checks QuickBooks every 15 minutes on its Free plan. There is no trigger for a deleted invoice, so its row stays. Zapier's help says the QuickBooks sign-in can expire and must be reconnected. Until then, nothing new reaches the sheet.

Arkeo agents

How it works
Agents read invoices, payments and reports in QuickBooks, fill in your sheet on the day you set, and check the sheet against the books. They find rows that don't match, invoices that were voided or changed, and payments that never came across.
Good for
Owners and bookkeepers who plan in Google Sheets and need the numbers to match QuickBooks every Monday.
Where it breaks
Anything your rules keep for a person, like changing an entry in QuickBooks, goes to the owner or bookkeeper in one message.

How to connect QuickBooks Online to Google Sheets

These follow Intuit's listing, Google's add-on guide and Zapier's pages. Open them for the screens.

  1. 1

    Check your QuickBooks plan

Intuit's listing says Spreadsheet Sync is for QuickBooks Online Advanced. On another plan, skip to the zap steps below.

  2. 2

Install Spreadsheet Sync in Google Sheets

Open a sheet and click Extensions, then Add-ons, then Get add-ons. Search for Spreadsheet Sync by Intuit, install it, read the access request and click Allow.

  3. 3

Sign in and run a report

Open Spreadsheet Sync from the Extensions menu and sign in to QuickBooks. Run one report you use each week, then refresh it the next day to check it updates.

  4. 4

Or start a zap from QuickBooks

In Zapier, start a zap with QuickBooks Online and set the trigger, like New Invoice or New Payment. Add a Google Sheets step with Create Spreadsheet Row and map the invoice number, customer, amount and date.

Zapier's QuickBooks and Google Sheets page →

  5. 5

Update rows when an invoice changes

Make a second zap from Updated Invoice. Add Lookup Spreadsheet Row to find the row by invoice number, then Update Spreadsheet Row, so a change doesn't add a second row.

  6. 6

Know what to do when the sign-in expires

Zapier's help says QuickBooks can reset the connection, for example after a password change. If zaps stop, reconnect QuickBooks in Zapier and check which invoices were missed.

Where the QuickBooks Google Sheets integration stops

Both ways copy numbers into a sheet. Making sure the sheet still matches the books is a person's job.

Intuit's add-on is for one plan, and its reviews are rough. The listing says Spreadsheet Sync is for QuickBooks Online Advanced. It has 2.3 stars from 22 reviews. Several reviewers say reports won't refresh reliably or the connection stopped. One had to sign in to QuickBooks each time and said downloading the report and pasting it took the same time.

Sheets may be for reports only. Intuit's listing says you can edit transactions in bulk and send them back. A reviewer in May 2026 wrote that unlike the Excel version, the Sheets add-on only runs reports. Check this on a test sheet before you plan around it.

Zaps miss what has no trigger. Zapier's QuickBooks triggers cover new invoices, payments, paid invoices, expenses, refund receipts and updated invoices. There is no trigger for a deleted invoice, so the sheet keeps counting it unless you build a check of your own.

The sign-in can stop. Zapier's help says QuickBooks sometimes resets the connection, and changing your QuickBooks password does too. The zap stops until someone reconnects it, and someone has to check what was missed while it was off.

And a sheet doesn't check itself. When the cash plan says one thing and QuickBooks says another, someone opens both and goes line by line.
