Workflow automation software for small business: build it, buy it, or have it run for you

Four ways to build it, and one way to have it run for you

QuickBooksMicrosoft TeamsGoogle Sheets
The short answer

The workflow automation software most small businesses look at is Zapier, Make, n8n and Microsoft Power Automate. Zapier connects the most apps. Make lays each workflow out on one visual screen. n8n gives technical teams code and the choice to host it themselves. Power Automate fits a business on Microsoft 365. Each one runs the steps you build. When a step keeps failing, the workflow stops until someone on your team notices and fixes it. If you'd rather not build at all, agents can run whole jobs for you.

What workflow automation software does

Workflow automation software moves work from one app to the next without someone typing it. A new form fill becomes a contact in your CRM. A paid invoice posts a message in Teams. You set up the steps once, and the software runs them each time. Most now add AI steps and agents you build yourself. Someone in your business still builds, tests and looks after each workflow.

The four workflow automation platforms small businesses use most

Each one described the way its own site describes it.

Zapier

How it works
Zapier calls itself no-code automation across 9,000+ apps. You build Zaps: when something happens in one app, do something in another.
Good for
Simple hand-offs between popular apps, built by someone who doesn't write code. It has a free plan.
Where it breaks
Zapier turns a Zap off if it fails 95% of the time over more than 20 runs in a week. On the free plan, it checks your apps for new data every 15 minutes.

Make

How it works
Make lets you build and manage AI agents and automations in one visual landscape, by drag and drop, by prompt, or from an AI chat. It connects to 3,500+ apps.
Good for
Workflows with many branches that you want to see in one place. It has a free plan.
Where it breaks
By default, Make turns a scenario off after 3 errors in a row. Someone then has to find the cause and start it again.

n8n

How it works
n8n calls itself the platform for agents and workflows you can follow. It has 500+ built-in integrations, reaches any app with an API, and takes code steps. Use n8n Cloud, or host it yourself.
Good for
A business with a technical person who wants control and custom code.
Where it breaks
n8n's docs say hosting it yourself takes technical skill and that upkeep is your job, including an update at least once a month.

Power Automate

How it works
Microsoft calls Power Automate an end-to-end automation solution built for enterprise. It has more than 1,000 connectors, works inside Microsoft 365 and Teams, and takes plain-word requests through Copilot.
Good for
A business that already runs on Microsoft 365, Outlook and Teams.
Where it breaks
Microsoft turns off a flow that keeps failing for 14 days. A flow slows down when the person who owns it leaves the company.

Arkeo agents

How it works
No workflows for you to build. We set up agents that each do one whole job inside your own software, like getting invoices out or following up on tasks, and we keep them working when apps change.
Good for
Owners of a 10 to 50 person business with nobody on staff to build workflows.
Where it breaks
Anything your rules keep for a person, like an invoice that doesn't match, goes to your team in one message.

Where workflow automation software stops

The vendors' guides end when your workflow is switched on. Their own fine print shows what your team handles after that.

It turns off, and you find out later. Zapier, Make and Power Automate each turn a workflow off after enough failures; only Zapier's Team and Enterprise plans warn you first. n8n alerts you only if you built an error workflow.

It waits. On Zapier's free plan, a Zap checks for new data every 15 minutes. When an account reaches its Zapier task limit, all its Zaps hold their actions until the billing month resets.

It belongs to one person. Power Automate says a flow slows to its lowest speed when its owner leaves the company.

Reviews agree. Trustpilot's summary of Zapier reviews says many people lost hours on basic errors, and several Make reviews say a scenario worked for months, then stopped.

How to tell which workflow automation software fits

Start with what you already run. If you live in Outlook, Teams and SharePoint, look at Power Automate. For a mix of popular apps, look at Zapier. For workflows with many branches, look at Make. If you have a developer and want to host it, look at n8n. Then ask who will look after it. In a 10 to 50 person business, that is often the owner.

Buy it, build it, or have it run for you

You can build the workflows yourself, hire someone to build them, or have the work run for you. Having it run for you means agents. An agent does a whole job, like getting the month's invoices out in QuickBooks. It follows your rules, checks its own work, and tells a person when a case needs one.

Agents that run whole jobs for small businesses

Each agent does one job from start to finish inside your own software, and your team talks to them in Slack or Teams.

Questions

Is my customers' information safe?

Yes. Agents work in your own accounts and see only what each job needs. Customer details never go into public AI. Agents connect to AI through business-grade connections audited under SOC 2.

What is the best workflow automation software for a small business?

It depends on what you already run and who will look after it. Zapier connects the most apps, Make shows the whole workflow on one screen, n8n suits technical teams, and Power Automate fits Microsoft 365. If nobody has time to build, agents can run the work for you.

Is there free workflow automation software?

Zapier and Make both have free plans. n8n has a free Community Edition you host yourself, which needs technical skill to set up and keep updated.

Do I have to stop using my workflow software to use agents?

No. Keep the workflows that work. Agents take the jobs that vary from case to case and need checking.

What does it cost?

You get the price on the call, along with the hours it saves your team.
