Your WhatsApp chats, on the deals they belong to

PipedriveWhatsApp
The short answer

The main Pipedrive WhatsApp integration is Pipedrive's own, a beta feature on the Growth plan and above. A global admin goes to Tools and apps, then WhatsApp, and connects a WhatsApp Business Account through Meta. Chats then show in the Sales Inbox and on the deal or person they're linked to, and your team can reply from Pipedrive. Where it stops: only messages from after you connect come in, unless you connect the WhatsApp Business app and import up to 180 days of text. After 24 hours with no word from the customer, you can only send a template Meta has approved. A chat links itself to a deal only when Pipedrive finds one clear match. And nobody is told when a chat goes quiet. AI agents do that follow-up.

What a Pipedrive WhatsApp integration has to do

Many buyers would rather send a WhatsApp message than an email. When those chats live on a salesperson's phone, the deal in Pipedrive shows nothing. The manager can't see what was promised, and when that person is out, nobody answers the buyer.

So connected has to mean each chat sits on the right deal, anyone on the team can answer it, and a quiet chat gets a follow-up before the buyer moves on. Pipedrive's integration does the first two well. The third is still work for your team.

Two ways to connect Pipedrive with WhatsApp

Most teams start with Pipedrive's own WhatsApp inbox. Zapier helps when a message should go out by itself when a deal changes.

Pipedrive's WhatsApp integration

How it works
A global admin connects your WhatsApp Business Account through Meta from Tools and apps, then WhatsApp. Chats show in the Sales Inbox, with All, Unread and Unlinked tabs, and on a WhatsApp tab on each deal, person, lead or project. Your team replies with free text, sends approved templates, shares files and schedules messages. New messages link to the matching person by phone number, and automations can send WhatsApp messages too.
Good for
Sales teams who already work in Pipedrive and talk to buyers on WhatsApp.
Where it breaks
It is a beta feature on the Growth plan and above, and Pipedrive says it isn't available to all customers yet. Templates can only have a text body and a text header, with no images or buttons. It is built for one-to-one chats, not bulk campaigns. Each user can be assigned to only one WhatsApp number at a time.

A Zapier zap

How it works
Zapier connects Pipedrive with WhatsApp Business. A deal that matches a filter, or a deal update, can send a WhatsApp template, free text or media message. A New Message Received in WhatsApp Business can create a lead, an activity or a note in Pipedrive.
Good for
Sending a set WhatsApp message when a deal reaches a stage, or logging new WhatsApp leads in Pipedrive.
Where it breaks
You need a Zapier account and you build each step. Some Pipedrive triggers, like a deal matching a filter, check for new data every 15 minutes on Zapier's Free plan. A chat reaches Pipedrive only as the note or activity a step creates, so you don't get a shared inbox.

Arkeo agents

How it works
Agents read the WhatsApp chats and the deals in Pipedrive. They answer common questions at any hour, link each chat to the right deal, log what was said, and each morning find the chats where a buyer is waiting or has gone quiet, then draft the follow-up for the deal owner.
Good for
Teams where WhatsApp leads come in faster than the sales team can answer and log them.
Where it breaks
Anything your rules keep for a person, like a price, a discount or an unhappy customer, goes to the deal owner in one message.

How to set up the Pipedrive WhatsApp integration

These follow Pipedrive's own guides. Open them for the screens.

  1. 1

Check your plan and what Meta needs

You need the Growth plan or above and global admin rights. If WhatsApp isn't under Tools and apps, turn it on from the Beta program page. On the Meta side you need a Facebook account, a Meta Business Portfolio, a WhatsApp Business Account and a phone number for business use.

  2. 2

    Run the setup assistant

Go to Tools and apps, then WhatsApp, and click Open setup assistant. It is a checklist: it changes nothing in your account, but it tells you what is missing before you connect.

  3. 3

    Connect your WhatsApp Business Account

Click Connect to start Meta's flow, select your business portfolio, and if you already use the WhatsApp Business app, select Connect a WhatsApp Business app. If an older integration like Twilio made a WhatsApp account in your portfolio, reusing it can cause an error; Pipedrive says a new WhatsApp account solves it. Confirm the data you share, then click Finish.

  4. 4

    Give your team their numbers

Go to Tools and apps, then WhatsApp, then Numbers. Click the pencil icon next to a number, check the users who can send from it, and click Save.

  5. 5

    Create your templates

Go to Tools and apps, then WhatsApp, then Templates, and click + Template. Set the category, name, language and message. Meta has to approve each one, which can take up to 48 hours, so make your follow-up templates before you need them.

Where the Pipedrive WhatsApp integration stops

The integration puts chats in Pipedrive. Keeping each one on the right deal, and making sure each buyer gets an answer, is still up to your team.

Old chats may not come across. Pipedrive's history starts when you connect. A WhatsApp Business app number can import up to 180 days of text and 14 days of files, once per number. Older files show as Attachment unavailable. Pipedrive's FAQ says the import can fail once Meta's one-time history window closes.

The 24-hour rule. You can only reply with free text for 24 hours after the customer's last message. After that, you must send a template Meta has approved, and Pipedrive asks you to type the template's blanks by hand each time. A buyer who went quiet on Friday needs a template on Monday.

Links can miss. Pipedrive links a new chat to the person with that phone number, then looks for their deal, lead or project. If the person has more than one kind, like an open deal and a lead, no deal gets linked. If two contacts share a number, the chat stays unlinked. Someone has to open the Unlinked tab and link it by hand.

Number changes don't come across by themselves. Changes made in Meta's WhatsApp Manager don't reach Pipedrive until an admin clicks refresh. A low quality rating can lead Meta to restrict or turn off a number. Pipedrive's FAQ lists an integration that keeps disconnecting, and says some WhatsApp errors on Meta's side aren't visible to Pipedrive.

And no screen shows which buyers have waited a day for an answer, or which chats ended with no next step on the deal.

The agents that do it

Each agent does one job from start to finish, in your own Pipedrive and WhatsApp. Your team talks to them in Slack or Teams.

Questions

Is my customers' information safe?

Yes. Agents work in your own Pipedrive and WhatsApp accounts and see only the chats and deals their job needs. Customer details never go into public AI. Agents connect to AI through business-grade connections audited under SOC 2.

Does Pipedrive integrate with WhatsApp?

Yes. Pipedrive has its own WhatsApp integration, a beta feature on the Growth plan and above, set up under Tools and apps, then WhatsApp. You can also connect them with a Zapier zap.

Will my old WhatsApp messages show up in Pipedrive?

Only messages from after you connect, in most cases. If you connect a number that uses the WhatsApp Business app, Pipedrive imports up to 180 days of text messages and 14 days of files, once per number.

Why can't I send a free text WhatsApp message from Pipedrive?

WhatsApp only allows free text for 24 hours after the customer's last message. After that, send a template Meta has approved. The message box shows how much time is left.

Can I send bulk WhatsApp messages from Pipedrive?

No. Pipedrive says its WhatsApp integration is built for one-to-one chats, not bulk campaigns, and Meta's limits on templates still apply when an automation sends them.

What does it cost?

You get the price on the call, along with the hours it saves your team.
