How to connect Microsoft Teams to WhatsApp

A Microsoft Teams integration with WhatsApp, three ways: a WhatsApp app from the Teams store, Zapier, or forwarding by hand, where each one stops, and how AI agents answer customers and make sure each chat has an owner.

Customer WhatsApp chats your team answers from Teams

Microsoft TeamsWhatsApp
The short answer

A Microsoft Teams integration with WhatsApp comes from an app made by another company, added from the Apps screen in Teams, or from a Zapier zap. The app links your WhatsApp Business number to a Teams channel, so each customer chat shows up as a thread and your team replies from Teams. Where it stops: Meta lets you send a normal reply only within 24 hours of the customer's last message, and after that only an approved template. Only people in the channel see the chats. If the WhatsApp sign-in runs out, replies stop going out. Nobody makes sure each chat gets an answer. AI agents do that work.

What a Microsoft Teams integration with WhatsApp has to do

Your customers write to you on WhatsApp. Your team works in Teams. When the two are apart, customer chats sit on one person's phone. If that person is off sick or on leave, the customer waits and nobody else knows.

So connected has to mean three things. Each WhatsApp message lands where the whole team can see it, anyone can reply from Teams, and each chat ends up with someone who owns it. The apps below do the first two. The third is the part people still do by hand.

Three ways to connect WhatsApp to Microsoft Teams

For two-way chats with customers, you need the first one. Zapier suits alerts. Forwarding by hand is the fallback.

A WhatsApp app from the Teams store

How it works
Apps like Social Intents, Mercuri SMS & WhatsApp, HelloSend and ChatArchitect.com for WhatsApp link your WhatsApp Business number to Teams. In Social Intents' guide, each new WhatsApp chat starts a thread in the Teams channel you set, and a reply in that thread goes back to the customer on WhatsApp.
Good for
Sales and support teams that want customer chats in a shared inbox inside Teams, with history and @mentions.
Where it breaks
Each app needs its own account with the company that makes it. Microsoft's store notes that the rights to use these apps come from their makers, not from Microsoft. Social Intents needs a WhatsApp Business account with a verified number, and says only members of the linked channel can see and reply to chats.

A Zapier zap

How it works
Zapier can start from a new chat in WhatsApp Notifications and post it to a Teams chat or channel. It can also start from a new chat message in Teams and send a WhatsApp message.
Good for
A team that wants an alert in Teams when a customer writes in, and answers on the phone.
Where it breaks
On the free plan, Zapier checks Teams for new messages every 15 minutes. A zap moves the messages you set it up for. Who replies, and whether the customer got an answer, is still up to your team.

Forward chats by hand

How it works
Whoever has the WhatsApp phone reads each message and copies or forwards it into a Teams chat for the person who can answer.
Good for
A team getting a few WhatsApp messages a week.
Where it breaks
It works only while that one person is on shift and keeps up. The answer goes back the same way, so the customer waits twice.

Arkeo agents

How it works
Agents answer common WhatsApp questions at any hour, look up the order or booking, and post anything they can't settle to the right Teams channel with the chat attached. They follow up when a chat has no reply and send the approved template when the 24-hour window has closed.
Good for
Businesses where customers write in on WhatsApp all day and a missed chat means a lost sale or an angry customer.
Where it breaks
Complaints, refunds and anything your rules keep for a person go to the owner in Teams, with the chat attached.

How to set up the Microsoft Teams WhatsApp integration

These steps follow Microsoft's guide to adding apps and Social Intents' setup guide. Other apps work much the same way.

  1. 1

Get a WhatsApp Business account ready

You need a WhatsApp Business account from Meta with a verified phone number. Social Intents lists this as the first thing you need. HelloSend says it can also connect personal WhatsApp numbers.

  2. 2

    Add the app in Teams

In Teams, select Apps and search for the WhatsApp app you want. Read the overview, then select Add. Team owners can limit who adds apps, so you may need to ask your Teams admin first.

  3. 3

    Connect your WhatsApp number

In the app, sign in to your Meta business account, give the app access and set the WhatsApp Business number to use.

  4. 4

Set the team and channel, and who is in it

Set the Teams team and channel where chats should land. Add everyone who answers customers to that channel, because only members see the chats.

  5. 5

    Get your templates approved

Write the template messages you will need after 24 hours, like an order update or a follow-up, and send them to Meta for review. Only templates with the status APPROVED can be sent.

  6. 6

    Test both ways

Send a WhatsApp message to your number and check it shows up in the channel. Reply from Teams and check the reply reaches the phone.

Where the WhatsApp Teams integration stops

The app gets each chat into Teams and each reply back out. Who answers, how fast, and what happens when a reply can't be sent are still left to people.

Replies have a 24-hour limit. Meta's guide says a customer service window opens when a customer messages you and lasts 24 hours from their last message. Inside it, your team can type any reply. After it, you can send only a template message. A chat nobody answered by the next day can't just get a typed reply from Teams.

Templates can stop working. Meta reviews each template, and only APPROVED ones can be sent. Meta also says a template's status can change later, based on how it is used and on quality feedback. When it does, that follow-up no longer goes out.

Meta lists a known issue too: in rare cases you get a customer's message but can't reply, even inside the window.

Chats can sit unseen. Social Intents says only members of the linked channel see and reply to chats. If a new hire was never added, they never see one. And if the WhatsApp sign-in runs out, the guide says replies stop sending until someone reconnects it.

None of it makes sure each chat has an owner, chases the one with no reply, or writes the answer back into your CRM or order system. That is still somebody's job.

See agents answer your WhatsApp chats and loop in your team in TeamsBring a week of customer chats. In 15 minutes you'll know which of this work agents would do, and the hours it would save.

The agents that do it

Each agent does one job from start to finish, in your own WhatsApp and Teams.

Questions

Is my customers' information safe?

Yes. Agents work in your own WhatsApp Business account and Teams and see only what their job needs. Customer details never go into public AI. Agents connect to AI through business-grade connections audited under SOC 2.

Can I use WhatsApp in Microsoft Teams?

Yes, through an app from the Teams store, like Social Intents, Mercuri SMS & WhatsApp or HelloSend. Each one links a WhatsApp Business number to Teams so your team can read and reply to customer chats there. Each needs its own account with the company that makes it.

Do I need the WhatsApp Business API?

It depends on the app. Social Intents' guide says its link uses Meta's official WhatsApp Business API and needs a verified WhatsApp Business account. HelloSend says it works with the Business API or with personal WhatsApp numbers.

Why can't my team reply to an old WhatsApp chat from Teams?

Meta allows a normal reply only within 24 hours of the customer's last message. After that, you have to send an approved template message, or wait for the customer to write again.

What does it cost?

You get the price on the call, along with the hours it saves your team.
