Teams for the talk, SharePoint for the files

Microsoft Teams
The short answer

The Microsoft Teams integration with SharePoint is mostly built in. Each team gets its own SharePoint site, and the Files tab in each channel is a folder in that site. You can also add a SharePoint page, list or shared folder as a tab, and use the Workflows app to act when a SharePoint list changes. Where it stops: private and shared channels each get a separate site, workflows don't run in private channels, and a workflow nobody uses can be turned off after 90 days. None of these put the right file in the right place or fill in the list. AI agents do that part, and post what they did back in the channel.

What the Microsoft Teams integration with SharePoint already does

Many teams don't know they already use SharePoint. Microsoft says a SharePoint site is made each time you make a team. All the standard channels share that site, each with its own folder. A private or shared channel gets a site of its own, which only that channel's members can open.

So the files are connected from day one. What is not connected is the work around them: the client folder nobody made, the document saved in the wrong channel, the list of open jobs nobody updated.

Three ways to connect Teams and SharePoint

All three come from Microsoft. Each one adds a little more.

The site each team gets

How it works
When you make a team, Teams makes a SharePoint site for it. The Files tab in each standard channel opens a folder in that site, and anything you change there is saved in SharePoint.
Good for
Teams that want shared files with no setup at all.
Where it breaks
It keeps files, not order. Private and shared channels each get their own site, so files spread across several sites, and Microsoft says those sites' permissions can't be changed in SharePoint. A new team makes a new site; it doesn't use the folders you already have.

A SharePoint tab in a channel

How it works
In a channel, you click the + on the tab bar, select SharePoint, and add a page, a list or a shared folder (Microsoft calls these Document libraries) as its own tab.
Good for
Putting one list or one shared folder, like open jobs or client files, where the team already talks.
Where it breaks
You must be the site owner to add one, and each is added one at a time. People without access to that SharePoint content see a page asking them to request it.

The Workflows app in Teams

How it works
In Teams, you select Apps, then Workflows, and add a ready workflow. One of Microsoft's examples starts an approval when a SharePoint list changes.
Good for
Simple steps that repeat, like an approval when a list item changes.
Where it breaks
Microsoft says workflows don't work in private channels yet. They are Power Automate flows, and Power Automate turns off a flow that keeps failing, and may turn off one that isn't used for 90 days unless the owner has a premium license.

Arkeo agents

How it works
Agents read the requests your team posts in a Teams channel, build the document from your template, save it in the right SharePoint folder with the client name and status filled in, update the list item, and post the link back in the channel.
Good for
Teams that make the same documents and folders for each client, and lose hours to building and filing them.
Where it breaks
Anything your rules keep for a person, like wording that has to be signed off, goes to the owner in Teams before anything is saved as final.

Add SharePoint to Teams by hand: five steps

Microsoft's pages have the full screens, linked under each step.

  1. 1

    Know where your files are

Files in standard channels live in the team's main site, one folder per channel. Files in a private or shared channel live in that channel's own site. Put shared work in a standard channel.

  2. 2

    Open the tab bar

In Teams, select the channel. To the right of the channel name, select the + on the tab bar, then SharePoint.

  3. 3

Add a page, list or folder

Select Pages, Lists or Document libraries and select the one you want. For content on another site, use Any SharePoint site and paste the link.

  4. 4

    Tell the team and save

Tick Post to the channel about this tab, then select Save. Repeat for each tab you want.

  5. 5

Add a workflow if you need one

Select Apps, then Workflows, and add one like Start an approval when a SharePoint list is modified. Follow the setup screen.

Where the Microsoft Teams and SharePoint integration stops

Files spread out. Each private or shared channel gets its own SharePoint site, apart from the team's main site, and Microsoft says its permissions come from the channel and can't be managed in SharePoint. When someone says a file is missing, it may be in a private channel's site they can't open. On Microsoft's Q&A forum, people ask why a new team made a new site instead of using their company's folders; the answer is that this is by design.

Workflows can stop. Microsoft says workflows don't work in private channels yet. The Workflows app used to be called Power Automate. Power Automate's limits page says a flow that keeps failing is turned off. A flow that isn't used for 90 days might be turned off too, unless the owner has a premium license. The owner gets an email; the channel doesn't.

Public complaints are thin, mostly single questions on Microsoft's forum, so the limits that matter are in Microsoft's own pages. And the daily work stays with a person: making each client folder, saving each file in the right place, and keeping the list current.

See agents keep your Teams requests and SharePoint files in orderBring your channels and your folders. In 15 minutes you'll know what agents would take off your team, and what it costs.

The agents that do it

Each agent does one job from start to finish, in your own SharePoint and Teams. Your team talks to them in Teams.

Questions

Is my customers' information safe?

Yes. Agents work in your own Teams and SharePoint and see only what their job needs. Customer details never go into public AI. Agents connect to AI through business-grade connections audited under SOC 2.

Does Microsoft Teams use SharePoint?

Yes. Microsoft says each team is connected to one or more SharePoint sites, and that is where the team's files are kept. The Files tab in a channel opens that site.

How do I add a SharePoint list to Teams?

In the channel, select the + on the tab bar, select SharePoint, then Lists, and select the list. Then select Save. You must be the site owner.

Why can't I find a private channel's files in the team's SharePoint site?

Each private or shared channel has its own SharePoint site, apart from the team's main site. Only members of that channel can open it.

What does it cost?

You get the price on the call, along with the hours it saves your team.
