How to connect Mailchimp to Salesforce

Salesforce leads on your Mailchimp list, clicks back to sales

MailchimpSalesforce
The short answer

To connect Mailchimp and Salesforce, you have three options. The Salesforce and Mailchimp integration that Mailchimp lists today is Mailchimp for Salesforce, a paid app made by Beaufort 12. You can also use a Zapier zap, or export your contacts to a file and import it into Mailchimp. Where it stops: each one gets people onto your list, but syncs run on a schedule, an unsubscribe in one program doesn't always reach the other, and none of them tells a sales rep which lead just clicked. AI agents do that part.

What the Salesforce and Mailchimp integration has to do

Sales keeps leads and contacts in Salesforce. Marketing sends email from Mailchimp. When the two don't talk, someone exports a list each month, new leads miss the next campaign, and sales never hears that a lead opened three emails and clicked the price page.

So "connected" has to mean two things. The right people from Salesforce land in the right Mailchimp audience, and nobody who asked to stop gets mail. And what they do with your email comes back to Salesforce, where the rep who owns the lead can act on it.

Three ways to connect Mailchimp and Salesforce

One is a Salesforce app, one uses Zapier, and one is a file you upload.

Mailchimp for Salesforce by Beaufort 12

How it works
You install the app in Salesforce from AppExchange, connect your Mailchimp account, and map your fields. Its data wizard sends the Salesforce records you set to Mailchimp on a schedule, and email activity like opens and clicks comes back to your leads and contacts for reports.
Good for
Salesforce teams who send a lot of Mailchimp email and want the activity next to each lead and contact. Its AppExchange listing is rated highly by the people who reviewed it.
Where it breaks
It is a paid app, and it moves what you map, when the schedule runs. Mailchimp says setups made since May 1, 2024 get support from Beaufort 12, not Mailchimp. Test how unsubscribes move both ways before you trust it.

A Zapier zap

How it works
Zapier has templates like Add new Salesforce leads to Mailchimp lists, Add new Salesforce contacts to Mailchimp, and Create Salesforce leads from new Mailchimp subscribers.
Good for
Simple, one-way steps, like each new lead going onto one list.
Where it breaks
Zapier marks Salesforce as a Premium app. Each zap is one trigger and one action. Tags, several audiences and email activity coming back are each more zaps to build and watch.

A file import

How it works
You put the Salesforce people you want in a spreadsheet with an Email Address column, save it as a CSV file, and use Import contacts in Mailchimp to upload it.
Good for
A one-time move, or a small list you send to a few times a year.
Where it breaks
It is out of date the day after. Mailchimp imports one status at a time, like subscribed or unsubscribed, and nothing about opens or clicks goes back to Salesforce.

Arkeo agents

How it works
Agents read new leads and contacts in Salesforce, add the ones who said yes to the right Mailchimp audience with tags, read each campaign's report for opens, clicks and unsubscribes, and log what each lead did as a task for the rep who owns it.
Good for
Teams where sales should call the leads who engage, and nobody has the hours to go through each report.
Where it breaks
Anything your rules keep for a person, like a lead with no owner or a contact who asked to stop all mail, goes to your team in one message.

Set up Mailchimp for Salesforce: four steps

Beaufort 12's and Mailchimp's pages have the full screens. These are the parts, in order.

  1. 1

    Decide who goes where

Write down which Salesforce leads and contacts belong in which Mailchimp audience, and the fields you need. Send only people who belong on a list: Mailchimp says going over your plan's contact limit costs extra.

  2. 2

Install the app and connect Mailchimp

Install Mailchimp for Salesforce from its AppExchange listing, then connect your Mailchimp account from inside Salesforce.

    The app's AppExchange listing →

  3. 3

Map fields and set the schedule

Map your Salesforce fields to Mailchimp fields, then use the data wizard to set which records go to Mailchimp and how often.

  4. 4

Test it with a few people

Run one sync with a handful of test leads. Then unsubscribe one in Mailchimp and one in Salesforce, and check what each program shows after the next sync.

Where the Mailchimp Salesforce integration stops

Each option gets Salesforce people onto a Mailchimp list. The work left is keeping the two in step, and telling sales who engaged.

Changes don't always go both ways. In a 2024 Salesforce community thread on the earlier Mailchimp for Salesforce app, an admin shared Mailchimp support's answer: edits made in Mailchimp don't overwrite Salesforce, Salesforce edits overwrite Mailchimp on the next sync, and an empty Salesforce field won't clear a Mailchimp one. So a person who resubscribes in Mailchimp has to be fixed in Salesforce. A Salesforce consultant's guide to that app lists the same gap for unsubscribes: it can't check Email Opt Out in Salesforce when someone unsubscribes in Mailchimp.

Syncs can stop quietly. In a long Salesforce community thread with dozens of answers, admins describe floods of "Mailchimp API is unavailable" emails, and some say the app showed success while no new email activity reached Salesforce.

Timing and scope have limits. Mailchimp's help for the earlier app says new contacts go to Salesforce every hour, and opens and clicks once a day at midnight, with one Mailchimp account per Salesforce org. Zapier zaps and file imports move only what you set up.

And nobody calls the lead. The clicks may land in Salesforce, but someone still reads them and decides which rep calls whom.

The agents that do it

Each agent does one job from start to finish, in your own Salesforce. Your team talks to them in Slack or Teams.

Questions

Is my customers' information safe?

Yes. Agents work in your own Salesforce and Mailchimp and see only what their job needs. Customer details never go into public AI. Agents connect to AI through business-grade connections audited under SOC 2.

Does Mailchimp have an integration app for Salesforce?

Yes. Mailchimp's integrations page lists Mailchimp for Salesforce, made by Beaufort 12. It is a paid app you install in Salesforce. Mailchimp's help says setups made since May 1, 2024 get support from Beaufort 12.

Can the Mailchimp integration with Salesforce create leads?

Yes. Zapier has a template that makes a Salesforce lead from each new Mailchimp subscriber. Mailchimp's help for the earlier app also has a setting that creates leads from Mailchimp contacts.

Will someone who unsubscribes in Mailchimp be marked in Salesforce?

Don't count on it. A Salesforce consultant's guide to the earlier app says it can't check Email Opt Out in Salesforce when someone unsubscribes in Mailchimp. Test it with one contact in your own setup before you rely on it.

What does it cost?

You get the price on the call, along with the hours it saves your team.
