Mailchimp contacts and email results in HubSpot, kept right

MailchimpHubSpot
The short answer

The Mailchimp HubSpot integration is an app HubSpot builds. It syncs contacts both ways between HubSpot and your Mailchimp audience, and puts Mailchimp sends, opens, clicks and bounces on each HubSpot contact. You can also send people from non-HubSpot forms to Mailchimp, or build Zaps. Where it stops: only matching fields sync unless you pay for custom mappings, some campaigns never show in HubSpot, and nobody acts on the clicks. AI agents keep both lists right and turn email results into follow-ups.

What the Mailchimp HubSpot integration has to do

Many teams send newsletters from Mailchimp and run sales in HubSpot. When the two don't talk, someone exports a list from one and imports it into the other, a new lead never gets the welcome email, and a rep can't see that the buyer clicked the pricing email this morning.

A good Mailchimp and HubSpot integration keeps one list of people in both programs, with the same names, tags and email choices. It shows each person's email activity where sales works. And someone acts on it: the click that should be a call, the bounce that needs a new address.

Three ways to connect Mailchimp and HubSpot

HubSpot builds the first two. Zapier is the most common way to add what they leave out.

HubSpot's Mailchimp app (data sync)

How it works
You install the Mailchimp app from the HubSpot Marketplace and set up a sync. Contacts sync both ways, matched by email address, and HubSpot checks for changes every 5 minutes. Mailchimp sends, opens, clicks and bounces show on each HubSpot contact.
Good for
Teams who want one contact list in both programs and email results on the HubSpot record.
Where it breaks
HubSpot's guide says custom field mappings need a paid Data Hub plan, and contacts with no email address are left out. On the Marketplace the app averages 2.9 stars from 131 ratings, and reviewers say email activity doesn't always show and extra fields take workarounds.

Non-HubSpot forms to a Mailchimp list

How it works
In Marketing, then Forms, you link a non-HubSpot form to a Mailchimp list. Each person who fills it in is added to that list.
Good for
Teams who only need sign-ups from their own site forms to reach Mailchimp.
Where it breaks
HubSpot's guide says it is one way, HubSpot to Mailchimp, and sends only first name, last name and email. A list with required merge tags won't take the contacts, and people who filled the form before you connected aren't added.

Zapier

How it works
You build Zaps that start on a Mailchimp event, like New Subscriber or New Unsubscriber, and then create or update a HubSpot contact, change its email choices, or add it to a list.
Good for
Filling one gap, like carrying an unsubscribe from Mailchimp into HubSpot.
Where it breaks
Each Zap does one job you build and keep working. It doesn't line up the two lists or tell you when they drift apart.

Arkeo agents

How it works
Agents check every day that the HubSpot contacts and the Mailchimp audience agree, fix what your rules allow, and bring the rest to a person. After each send they read the results and set a HubSpot task for the hot clicks and the bounced addresses.
Good for
Teams where marketing sends from Mailchimp and sales works in HubSpot, and both need the same list.
Where it breaks
Anything your rules keep for a person, like merging two contacts or removing someone from a list, goes to them in one message.

Set up the HubSpot Mailchimp integration: five steps

HubSpot's own guides have the full screens. These are the parts, in order.

  1. 1

Install the Mailchimp app in HubSpot

Click the Marketplace icon, then HubSpot Marketplace. Search for Mailchimp, click Install App, log in to Mailchimp, and click Allow. You need App Marketplace access in HubSpot.

  2. 2

    Set up the contact sync

Go to Settings, then Integrations, then Connected Apps, open Mailchimp, and click Set up your sync. Set the direction, and say which program wins when the two disagree on a value.

    HubSpot's data sync guide →

  3. 3

Map the fields and set the limits

Check the suggested field mappings, then use the Limit page to keep out the contacts Mailchimp shouldn't get. Know that a big first sync can take days, and saving changes starts it again.

  4. 4

    Turn on Mailchimp email activity

In Settings, go to Integrations, then Connected Apps, then Mailchimp, then Email service provider. Turn on Show Mailchimp email activities on HubSpot contact records.

  5. 5

Check what failed after the first week

Open the sync and look at the Failing and Excluded columns. Contacts there are not in both programs until someone fixes them.

Where the Mailchimp and HubSpot integration stops

The app gets contacts and email results moving. The work left is the contacts that don't move, the results that never arrive, and what to do with the ones that do.

Only the matching fields come across. HubSpot's data sync guide says custom mappings need a paid Data Hub plan. Without it, a field your team made that has no match in the other program stays behind, and someone copies it by hand.

Some contacts are held back with little warning. Contacts with no email address are left out by default. For forms sent to Mailchimp, a list with a required merge tag won't take the contact, and HubSpot shows only the most recent error from Mailchimp. Someone has to look.

Some campaigns never show in HubSpot. HubSpot's guide says A/B test campaigns, Customer Journey emails and campaigns sent more than 30 days before you connected don't sync their activity. Activity also lands only on contacts already in HubSpot. Reviewers on the Marketplace, where the app averages 2.9 stars, say email results don't always show up.

And a click doesn't make a call. The integration puts the open and the click on the timeline. Nobody is told which buyer clicked three emails this week, and nobody fixes the bounced address on the deal.

The agents that do it

Each agent does one job from start to finish in your own Mailchimp and HubSpot. Your team talks to them in Slack or Teams.

Questions

Is my customers' information safe?

Yes. Agents work in your own Mailchimp and HubSpot and see only what their job needs. Customer details never go into public AI. Agents connect to AI through business-grade connections audited under SOC 2.

Is the Mailchimp integration with HubSpot two-way?

The Mailchimp app's contact sync can be. HubSpot's data sync lets you sync both ways, only to HubSpot, or only to Mailchimp. Email activity comes one way, from Mailchimp into HubSpot. Sending non-HubSpot form sign-ups to Mailchimp is one way only.

How often does the HubSpot Mailchimp integration sync?

HubSpot says data sync checks for changes every 5 minutes, and records sync within 10 minutes of a change. Mailchimp email activity comes over every 15 minutes.

Why are my Mailchimp campaigns missing in HubSpot?

HubSpot doesn't sync activity from A/B test campaigns, Customer Journey emails, campaigns with no subject line or title, or campaigns sent more than 30 days before you connected. Activity also shows only on contacts that are already in HubSpot.

What does it cost?

You get the price on the call, along with the hours it saves your team.
