The Salesforce integration with HubSpot most teams use is HubSpot's own Salesforce app, from the HubSpot Marketplace. It keeps contacts, companies, deals and tasks the same in both, on HubSpot's Professional and Enterprise plans. Zapier covers single steps, and HubSpot's Smart Transfer moves your data once. Where it stops: it only sends the records you let through, about every 15 minutes, and a lead whose email is already on a HubSpot contact won't come across. None of these make sure each new lead gets a rep who calls. AI agents do that part.
Why the Salesforce integration with HubSpot matters
Marketing brings leads in through HubSpot. Sales works them in Salesforce. When the two don't match, reps call leads who already bought, and nobody trusts either report.
So "connected" has to mean three things. Each new lead shows up in Salesforce once, with an owner. What the lead does in HubSpot is in front of the rep. And when sales changes a deal in Salesforce, marketing sees it.
Three ways to connect HubSpot and Salesforce
Two are built by HubSpot, one by Zapier.
HubSpot's Salesforce app
- How it works
- You install the Salesforce app from the HubSpot Marketplace and log in to Salesforce. It keeps leads and contacts, accounts and companies, opportunities and deals, tasks, cases and custom objects the same both ways.
- Good for
- Teams on HubSpot Professional or Enterprise who want marketing and sales working from the same people.
- Where it breaks
- Nothing moves on its own after you install it. After that, a record moves only when a change sets it off, and only if your inclusion segment lets it through. A lead whose email is already on a HubSpot contact is blocked. It needs a Salesforce admin, has a daily cap on calls to Salesforce, and doesn't work with Salesforce Group Edition.
A Zapier zap
- How it works
- Zapier has ready templates, like Add Salesforce leads from new HubSpot form submissions, and Create Salesforce opportunities from new HubSpot contacts in lists.
- Good for
- One thing moving, like form fills becoming leads.
- Where it breaks
- Zapier marks Salesforce as a Premium app. Each zap is one trigger and one action, so owners, companies and deals are each more zaps to build and watch.
HubSpot Smart Transfer
- How it works
- HubSpot's help says to use Smart Transfer when you want to move your Salesforce data into HubSpot once, not keep the two connected.
- Good for
- Teams leaving Salesforce for HubSpot.
- Where it breaks
- It is a one-time move. HubSpot says to turn off Smart Transfer before you turn on the Salesforce app, or you get duplicate records in both programs.
Arkeo agents
- How it works
- Agents read each new lead and form fill in HubSpot, check Salesforce so nobody is added twice, make or update the lead in Salesforce with the right owner by your rules, log emails and calls in both, and flag leads nobody has called the same day.
- Good for
- Teams where leads come in fast and each one has to reach a rep the same day.
- Where it breaks
- Anything your rules keep for a person, like a lead that matches two accounts or a big deal changing owner, goes to the sales lead in one message.
Set up HubSpot's Salesforce app: five steps
HubSpot's own pages have the full screens, linked under each step.
- 1
Check your plans and accessYou need HubSpot Professional or Enterprise, and a Salesforce system admin on an edition with API access. If Salesforce enforces IP restrictions on each request, set a network IP range instead.
- 2
Decide which records go acrossSet the HubSpot segment of contacts that may go to Salesforce, and who owns each record. The Salesforce user you connect with sets what HubSpot can change.
- 3
Install the app
In the HubSpot Marketplace, search for Salesforce, click Install and log in to Salesforce. If you ever used Smart Transfer, turn it off first.
- 4
Bring your records over
Nothing moves on its own after install. Import your Salesforce records into HubSpot, a bit at a time, so you don't use up the day's calls to Salesforce.
- 5
Test one lead, then watch Sync Health
Fill one of your own forms and check the lead shows up in Salesforce once, with the right owner. Then check the Sync Health tab each week.
Where the HubSpot Salesforce integration stops
It only moves what it is told to, when something sets it off. Only contacts in your inclusion segment go to Salesforce, and adding a contact to that segment doesn't send it until a change happens. HubSpot checks for changes about every 15 minutes. Some changes never set off a sync: an update to a Salesforce formula field, or taking a lead off a Salesforce campaign.
Duplicates block records instead of merging them. HubSpot's error page says a Salesforce lead can't come into HubSpot if its email is already on a HubSpot contact, and Salesforce's own duplicate rules can stop it too. Someone has to find the pair and fix it by hand. On the HubSpot Marketplace the Salesforce app averages 2.9 out of 5 across 68 reviews. The themes named most are sync errors (16 reviews), fields that don't line up between the two programs (14) and duplicate records (10).
Some limits show up as you grow. Each day has a cap on calls to Salesforce, and one contact can use up to four, so a big import uses it up fast. An email or call logged on two contacts in HubSpot won't sync. And nothing in it decides who owns a new lead or checks that a rep called. That is the work in the middle: someone on the sales team reading Sync Health, fixing doubles and chasing leads nobody touched.
The agents that do it
Each agent does one job from start to finish, in your own Salesforce and HubSpot: the checking, fixing and chasing the app leaves behind. Your team talks to them in Slack or Teams.

Questions
Is my customers' information safe?
Yes. Agents work in your own HubSpot and Salesforce and see only what their job needs. Customer details never go into public AI. Agents connect to AI through business-grade connections audited under SOC 2.
Does HubSpot integrate with Salesforce?
Yes. HubSpot builds its own Salesforce app, in the HubSpot Marketplace. It keeps contacts, companies, deals, tasks and tickets the same in both programs, both ways.
Which plans does the Salesforce to HubSpot integration need?
HubSpot's help says a Professional or Enterprise HubSpot plan, and a Salesforce edition with API access. It doesn't support Salesforce Group Edition.
Why didn't my Salesforce records show up in HubSpot after I connected?
HubSpot's help says records don't move on their own after install, so import them. If a lead still won't come across, its email may already be on another HubSpot contact.
What does it cost?
You get the price on the call, along with the hours it saves your team.
