The Mailchimp QuickBooks integration is called Mailchimp for QuickBooks Online, and Mailchimp lists it as free. It copies your QuickBooks customers into one Mailchimp audience, with their invoices and sales, so you can email people by what they bought, how much they spent and when they last bought. You can also use a Zapier zap or import a customer file by hand. Where it stops: data only goes from QuickBooks to Mailchimp, all customers come in with the same email status, and nobody is told when a customer is missing. AI agents check that the two lists match and fix what doesn't.
What a Mailchimp QuickBooks integration has to do
Your best email list is already in QuickBooks: the people who paid you. A Mailchimp QuickBooks integration puts those customers on your email list so you can thank them, invite them back and tell them about new work, based on what they actually bought.
To count as connected, three things have to be true. New customers reach Mailchimp without anyone typing them in. Customers who never agreed to marketing email don't get it. And someone knows when the two lists drift apart. The free integration does the first part. The other two are still a person's job.
Three ways to connect Mailchimp and QuickBooks
Most small businesses on QuickBooks Online start with the first one.
Mailchimp for QuickBooks Online
- How it works
- Mailchimp's own integration, which its integrations page lists as free. You connect it from Integrations in Mailchimp and sign in to QuickBooks. It copies each customer's name, email, business address and phone, plus their invoices and sales, into one audience, tagged as QuickBooks customers.
- Good for
- Businesses on QuickBooks Online that want to email customers by what they bought, what they spent or when they last bought.
- Where it breaks
- It only goes one way, from QuickBooks to Mailchimp. All customers come in with the same email status. One QuickBooks company connects to one Mailchimp account. And when it misses a customer, people in Intuit's community say they get passed between QuickBooks support and Mailchimp support.
A Zapier zap
- How it works
- Zapier has QuickBooks Online triggers like New Customer, New Invoice and New Payment, and Mailchimp actions that add or update a subscriber and add a tag. With those you can add new QuickBooks customers to a Mailchimp tag, or make QuickBooks customers from new Mailchimp subscribers.
- Good for
- Teams that want one rule, like tagging everyone who pays, or that need people to go from Mailchimp into QuickBooks.
- Where it breaks
- You build and look after each rule yourself. A zap only sees what happens after you turn it on, and if it fails, the customer just isn't on the list.
Export and import a file
- How it works
- You export your lists from QuickBooks as Excel files, save the customer list as a CSV file, and import it in Mailchimp under Audience, Add contacts, Import contacts. You can tag everyone in the file as you import.
- Good for
- A first big load, or a business that only emails a few times a year.
- Where it breaks
- It is a copy on one day. Each new customer after that has to be added again, and the file needs an email address column or the import stops.
Arkeo agents
- How it works
- Agents read new customers, invoices and payments in QuickBooks, check them against your Mailchimp audience, add or tag the ones that are missing, and keep people who said no to marketing off the list.
- Good for
- Businesses where the email list has to match the books, and nobody has time to compare them.
- Where it breaks
- Anything your rules keep for a person, like a customer with two different emails, goes to your team in one message.
How to connect QuickBooks to Mailchimp: five steps
These follow Mailchimp's and Intuit's own guides. Open them for the screens.
- 1
Decide the email status firstThe integration gives all customers the same status: Subscribed or Unsubscribed. Intuit suggests Unsubscribed, then marking the people you know said yes as subscribed in Mailchimp.
- 2
Open the integration in MailchimpIn Mailchimp, open Integrations and select Mailchimp for QuickBooks Online. In QuickBooks Online, Customers and leads, then Marketing, takes you to the same place.
- 3
Set the audience and connect
Set the audience your customers go into, then select Connect to QuickBooks, sign in, and select your company if you have more than one. Review the permissions and select Connect.
- 4
Check the first sync
Open your audience and look for the contacts tagged as QuickBooks customers. Compare the count to your customer list in QuickBooks. Customers with no email in QuickBooks have nothing to send to.
- 5
Know what disconnecting doesIf you disconnect later, Mailchimp deletes the order and invoice data it copied, while the contacts stay on your list. Nothing in QuickBooks changes.
Where the Mailchimp QuickBooks integration stops
The integration copies customers. The work in the middle is still yours, and it shows up in a few places.
Consent is one setting for everyone. Intuit's guide says you can only set one status for all your contacts. In Intuit's community, an owner asked how to keep customers who said no to marketing from coming across, and how Mailchimp knows who said yes. The answers pointed them to Mailchimp support. So someone has to sort the list by hand.
It only goes one way. Mailchimp's help says your QuickBooks customers sync to Mailchimp as contacts. Nothing comes back. A person who signs up on your website lands in Mailchimp only, and another owner in that same thread said they spent hours with both companies trying to get Mailchimp contacts into QuickBooks.
Nobody is told when it misses. Neither help page says how often it syncs. In one Intuit community thread, an owner whose app was connected said new customers weren't coming across, and the reply was to ask Mailchimp. Your list can be short for weeks before anyone notices. The same thing happens with a Mailchimp Google Sheets setup: the copy is easy, the checking isn't.
And your list size can change your bill. Mailchimp's help says that if an import takes a paid plan over its contact limit, you are charged extra. Copying all your QuickBooks customers, including old and one-time buyers, can do that.
What agents do with the work in the middle
An agent works in your own QuickBooks and Mailchimp. Each week it reads new customers, invoices and payments, checks each one against your audience, and adds or tags the ones that are missing. It keeps people marked as no on your list from getting campaigns, and it sends your team a short note with anything it couldn't settle. Another agent can pull a weekly sales report from QuickBooks, so the people you email and the numbers you track come from the same place.
If you run more of the business through QuickBooks, what AI agents do in QuickBooks Online covers the other jobs.
For stores that sell online, connecting Mailchimp to Shopify covers the same list from the store side.
The agents that do it
Each agent does one job from start to finish, in your own QuickBooks and Mailchimp. Your team talks to them in Slack or Teams.

Questions
Is my customers' information safe?
Yes. Agents work in your own QuickBooks and Mailchimp and see only what their job needs. Customer details never go into public AI. Agents connect to AI through business-grade connections audited under SOC 2.
Is the Mailchimp QuickBooks integration free?
Mailchimp's integrations page lists it as free. You still need your own QuickBooks Online and Mailchimp accounts, and Mailchimp's help says a bigger list can push you past your plan's contact limit.
Does the QuickBooks Mailchimp integration sync both ways?
No. It copies customers and their sales from QuickBooks into Mailchimp. People who sign up in Mailchimp don't go back into QuickBooks. A Zapier zap can do that direction.
Can I connect more than one QuickBooks company?
Mailchimp's help says one QuickBooks Online account connects to one Mailchimp account. If you have more than one company, you set which one to connect.
What does it cost?
You get the price on the call, along with the hours it saves your team.
