To connect Gmail to Google Sheets, you have three options. A Zapier zap can add a row to a sheet for each new email or each email you label. An add-on from the Google Workspace Marketplace, like Export Emails to Sheets by cloudHQ, can copy all the email in a label and keep adding new ones. Or someone on your team can write a short Apps Script that runs on a timer. Where it stops: each one copies what you tell it to, misses quietly when a trigger or script fails, and leaves someone to check the sheet against the inbox. AI agents read the email, fill in the row and flag what doesn't fit.
What it takes to connect Gmail to Google Sheets
A lot of work still arrives by email. Orders from wholesale buyers, web form leads, booking requests, supplier invoices. Someone reads each one in Gmail and types the details into a sheet, so the team can sort, count and follow up.
Connecting the two takes that typing away. A good setup does three things: it catches each email you care about, it puts the right details in the right columns of your Google Sheets file, and it tells someone when it misses one. The first two are easy to set up. The third is where most setups fall short.
Three ways to connect Gmail and Google Sheets
The first two need no code. The third needs someone who can write a script.
A Zapier zap
- How it works
- Zapier's Gmail triggers include New Email, New Labeled Email, New Attachment and New Email Matching Search. Its Google Sheets actions include Create Spreadsheet Row. You map the sender, subject and body to columns.
- Good for
- Small teams that want a row for each email with a set label, with no code.
- Where it breaks
- Zapier's own Gmail guide says New Email, New Email Matching Search and New Attachment can only see email from the past hour, and Gmail allows up to 15 email clients at a time per account. In Zapier's community, owners report zaps that caught some emails and skipped others.
An add-on from the Google Workspace Marketplace
- How it works
- Add-ons like Export Emails to Sheets by cloudHQ copy all the email in a Gmail label to a sheet and keep adding new email as it arrives. Its listing says it can pull set details, like amounts or order numbers, out of the email body.
- Good for
- Teams that want the history of a label in a sheet, with the details pulled out of each email.
- Where it breaks
- The add-on asks to view your email messages and connect to an outside service, so your admin may need to approve it. Someone still sets up what to pull from each kind of email.
An Apps Script
- How it works
- A short script in Google Apps Script reads your Gmail and writes rows to a sheet. You set a time-driven trigger so it runs on a schedule.
- Good for
- Teams with someone who writes code and wants full control at no extra cost.
- Where it breaks
- Google's quotas cap each run at 6 minutes and limit how much Gmail a script can read each day. The trigger runs under the account of the person who made it, and Google reports a failure by email, not on screen.
Arkeo agents
- How it works
- Agents read new email in the inbox or label you set, pull out the details your team needs, add or update the row in your sheet, and check the sheet against the inbox each day.
- Good for
- Teams where the sheet runs the work, so a missing row is a missed order or lead.
- Where it breaks
- An email the agent can't read with confidence, like a new layout or a missing amount, goes to your team in one message.
How to connect Gmail to Google Sheets with a label
Most setups work best from a Gmail label. These follow Zapier's and Google's own guides.
- 1
Make one label for the email you want
Put the orders, leads or requests you want in the sheet under one Gmail label. A label gives any setup a clear list to read from.
- 2
Set up the sheet
Make a sheet with a heading for each detail you want: date, sender, subject, and the fields from the body, like order number or amount. Leave the first row as headings.
- 3
Use the New Labeled Email trigger in ZapierIn Zapier, start with Gmail and New Labeled Email, then add Google Sheets and Create Spreadsheet Row, and map each column. Zapier's guide says this trigger has no time limit on what it can see, unlike New Email.
- 4
Or set a timer for your scriptIf you use Apps Script, open the project, select Triggers, then Add Trigger, and set a time-driven trigger. Google says the time can be slightly random within the hour you set.
- 5
Check the sheet against the label each week
Count the email in the label and the rows in the sheet for the same week. If they don't match, find the missing ones before they cost you an order.
Where the Gmail Google Sheets connection stops
Each option copies email into rows. The work in the middle is checking that it caught them all, and that the rows say the right thing.
Triggers miss email quietly. Zapier's guide says several of its Gmail triggers can only see the past hour. In one Zapier community thread, a zap using New Email Matching Search fired for some emails and not others, and Zapier's team said support had found a bug that made the trigger miss email it should have caught. In another, New Labeled Email never fired on one label until the owner made a new label. Nobody gets an alert for an email that never started a zap.
Scripts run as one person. Google's quotas allow 6 minutes per run and 90 minutes of trigger time a day on a free account, or 6 hours on Google Workspace. The trigger runs under its maker's account, and a failure shows up as an email to that account, not on screen. When that person leaves or is away, the sheet stops growing and nobody knows why.
Email doesn't come in neat columns. The sender, date and subject are easy. The order number, amount or job address sits in the body, and each sender writes it a little differently. Each setup copies the fields your rules describe, and someone fixes the rows that came in wrong. If the files matter more than the text, connecting Gmail to Google Drive covers saving attachments.
What agents do with the work in the middle
An agent works in your own Gmail and Google Sheets. It reads new email in the label or inbox you set, pulls out the details, adds the row, and updates it when a reply changes the order. Each day it checks the sheet against the inbox and lists anything missing or doubled.
The same agent can read and answer your email and keep your calendar, so the request and the follow-up happen in one place.

The agents that do it
Each agent does one job from start to finish, in your own Gmail and Google Sheets. Your team talks to them in Slack or Teams.
Your inbox, calendar and documents, kept up for you.
- Reads and answers your emailall day
- Books and moves your meetingsas they come
- Writes your docs and deckson request
Customer email gets an owner and a reply.
- Reads new mail in your shared inboxas it lands
- Labels it and sends it to the right personright away
- Flags mail no one has answeredevery day
Bad entries fixed before the report goes out.
- Checks sheets for blanks, repeats and odd numbersevery day
- Marks the rows that need a lookper row
- Tells the person who owns the sheetsame day
Questions
Is my customers' information safe?
Yes. Agents work in your own Gmail and Google Sheets and see only the email and sheets their job needs. Customer details never go into public AI. Agents connect to AI through business-grade connections audited under SOC 2.
Can Gmail send emails to Google Sheets automatically?
Not on its own. You need Zapier, an add-on from the Google Workspace Marketplace, an Apps Script on a timer, or agents.
Why did my Gmail zap miss some emails?
Zapier's Gmail guide says New Email, New Email Matching Search and New Attachment only see email from the past hour. Zapier's community suggests New Labeled Email, which has no time limit.
Can I copy old emails into a sheet, not just new ones?
Yes. An add-on like Export Emails to Sheets by cloudHQ copies all the email in a label, and Zapier's New Labeled Email trigger catches older email once you add the label.
What does it cost?
You get the price on the call, along with the hours it saves your team.
