Store sales in your books, and checked

WooCommerceQuickBooks
The short answer

To connect WooCommerce and QuickBooks, you have three main options. Intuit's own QuickBooks integration with WooCommerce is the WooCommerce Connector, which you add from inside QuickBooks Online. On the WooCommerce Marketplace, QuickBooks Sync by MyWorks works with QuickBooks Online, Desktop and POS, and QuickBooks Integration by WP Swings works with QuickBooks Online. Each one sends your store's orders into QuickBooks. Where it stops: two apps connected at once make double orders, an order number already used in QuickBooks stops the sync, and payment fees mean the bank deposit doesn't equal the sales. AI agents pull the numbers from both each week and tell your team what looks wrong.

Why a QuickBooks integration with WooCommerce matters

Each sale in your store has to land in your books: the order, the tax, the shipping, and later the refund. Typed in by hand, that is hours a week, and in a busy month the books fall behind the store.

So connected has to mean more than orders showing up in QuickBooks. Each order should land once, as the right kind of sale, with the right products and tax. Refunds should come through too. And someone should know, before month end, when the store and the books don't agree.

Three ways to connect WooCommerce and QuickBooks

One comes from Intuit. Two are extensions on the WooCommerce Marketplace.

WooCommerce Connector by Intuit

How it works
Intuit's own connector for QuickBooks Online, found under All apps, then Accounting, then Integration transactions. It sends the orders you select by status into QuickBooks as sales invoices or sales receipts, and refunded orders as credit memos. It matches products by SKU.
Good for
Stores on QuickBooks Online that want a free connection from Intuit, with simple settings.
Where it breaks
Intuit's help says auto-sync runs about once an hour, each product needs its own SKU, and product costs don't sync. Its stock option can wipe out your WooCommerce stock levels if your counts weren't set up in QuickBooks first.

QuickBooks Sync for WooCommerce by MyWorks

How it works
An extension you install in WooCommerce, then connect to a free or paid MyWorks account. It works with QuickBooks Online, Desktop and POS, sends orders and payments into QuickBooks, and keeps products, stock and prices matched both ways, as often as every 5 minutes.
Good for
Stores with many orders or products, or on QuickBooks Desktop, that want to set each detail their way.
Where it breaks
It has dozens of settings for taxes, discounts, shipping, fees and deposits, so setup takes care. Its own help lists the two problems below: double orders from a second app, and order numbers that clash.

QuickBooks Integration for WooCommerce by WP Swings

How it works
A paid extension on the WooCommerce Marketplace. It sends your orders, customers and products into QuickBooks Online as customers, items and invoices, and keeps a log of each sync so you can see what failed.
Good for
Stores on QuickBooks Online that want orders sent as invoices, with a clear error log.
Where it breaks
Its listing says it works only with QuickBooks Online and syncs one way, from WooCommerce to QuickBooks. It is a yearly subscription.

Arkeo agents

How it works
Every Monday, agents pull sales, refunds and orders from WooCommerce and QuickBooks, compare them to last week, and send your team the report with what looks wrong and what to fix next.
Good for
Stores where the books and the store drift apart, and nobody has time to find out why.
Where it breaks
Agents don't reconcile your bank or close your books. That stays with your bookkeeper, who gets a clear list to start from.

How to set up Intuit's WooCommerce Connector

Intuit's help pages have the full screens. These are the parts, in order.

  1. 1

    Check your store first

Intuit asks for WooCommerce 3.5 or above, WordPress 4.4 or above, and pretty permalinks: in WordPress, go to Settings, then Permalinks, and use any option but Plain.

  2. 2

    Connect your store from QuickBooks

In QuickBooks Online, go to All apps, then Accounting, then Integration transactions. Select WooCommerce Connector by Intuit, then Connect free integration. Enter your store's web address without /wp-admin and approve.

  3. 3

    Set your order rules

Set the timezone and starting date. Select the order statuses to bring in, adding Refunded and Partially Refunded for credit memos, and set orders to land as sales invoices or sales receipts.

    Intuit's sync settings page →

  4. 4

Set your product and payment rules

Match products by SKU, and give each product its own. Ask your accountant which clearing account payments go to. Leave the stock option off unless your counts live in QuickBooks.

  5. 5

    Turn on auto-sync and test

Turn on auto-sync, or select Sync Now on the Manage tab. Then check one order in QuickBooks: the total, the tax and the products should match.

Where WooCommerce and QuickBooks stop matching

Each app sends orders across. None tells you when the store and the books disagree, and the vendors' own help pages show where that starts.

Two apps, double orders. MyWorks' help says duplicate orders almost always mean a second app is also sending orders into QuickBooks, often Intuit's free connector, which is easy to connect without noticing. The Integration transactions page only shows what Intuit's apps sent, so it won't show the other copies.

Order numbers that clash. MyWorks' help says QuickBooks Online won't hold two orders with the same number, so a store order whose number is already used for another customer stops syncing until someone renumbers it.

Fees and deposits. Intuit's help says to record store payments against a clearing account set up with your accountant. Your payment provider pays you less than the order total, so the deposit doesn't equal the sales, and someone matches the two.

Fixes that need the vendor. On the WooCommerce Marketplace, several reviews, five-star ones included, describe syncs that failed until the vendor's support team stepped in.

The trouble is seeing it before month end, not when your bookkeeper sits down to close.
