Client email in Outlook, saved in NetSuite

NetSuiteOutlook
The short answer

To connect NetSuite and Outlook, you have three options. Oracle's NetSuite Connector for Outlook is an add-in that saves the emails and meetings you select to NetSuite records. Zapier has ready-made zaps. And NetSuite's Capture Email Replies saves the replies to email you sent from NetSuite. Where it stops: the add-in saves one email at a time when someone clicks Sync, and none of the three read an order or a question in your inbox and get the work done in NetSuite. That is the work AI agents do.

Why a NetSuite integration with Outlook matters

Your sales and service teams live in Outlook. Your customers, orders and invoices live in NetSuite. When a client emails a question or a new order, it sits in one person's inbox. Nobody else can see what was said, and someone has to retype the order into NetSuite.

So "connected" has to mean two things. The emails and meetings that matter end up on the right customer in NetSuite, where the whole team can read them. And the emails that carry work, like orders and changes, get that work done in NetSuite without a person typing it in.

Three ways to connect NetSuite and Outlook

Two are from Oracle, and one is from Zapier. Oracle's older NetSuite for Outlook can no longer be installed.

NetSuite Connector for Outlook

How it works
Oracle's add-in opens in a side panel in Outlook. It reads the To, From and CC lines of an email or meeting and shows the matching customers, contacts, leads, prospects and opportunities in NetSuite. You check the right ones, mark which attachments to keep, and click Sync Email.
Good for
Sales and service teams on Microsoft 365 who want client email saved on the NetSuite record without leaving Outlook.
Where it breaks
Each email is saved by hand, and records are matched on email address only. It doesn't work with free Outlook.com accounts, and meetings fail to sync if your event form has required fields.

A Zapier zap

How it works
Zapier's ready-made zaps create an Outlook calendar event or send an Outlook email when a new NetSuite record comes in, or create and update NetSuite records when a new contact is added in Outlook.
Good for
Simple rules, like a meeting on your calendar for each new NetSuite opportunity.
Where it breaks
NetSuite is a Premium app on Zapier. Outlook email triggers check every 15 minutes on the Free plan. A zap moves fields; it doesn't read an email and decide which customer it belongs to.

NetSuite's Capture Email Replies

How it works
An admin turns on Capture Email Replies in NetSuite. When you email a customer from NetSuite and they reply, the reply is saved on the record, then sent on to you.
Good for
Teams that send most customer email from inside NetSuite.
Where it breaks
It only saves replies to email sent from NetSuite. Mail a client sends straight to your Outlook inbox isn't saved unless someone syncs or attaches it.

Arkeo agents

How it works
Agents read client email in your Outlook as it lands, save a note on the right customer in NetSuite, and enter orders as sales orders the same day. They reply from your mailbox to confirm, and flag mail no one has answered.
Good for
Teams that get orders and client questions by email and retype them into NetSuite.
Where it breaks
Anything your rules keep for a person, like a new customer, an item they can't match or a large order, goes to your team in one message.

How to set up NetSuite Connector for Outlook

Oracle's help pages show the screens. These are the parts, in order.

  1. 1

Turn on the NetSuite features it needs

Go to Setup > Company > Setup Tasks > Enable Features. On the SuiteCloud subtab, check SOAP Web Services, REST Web Services, Token-based Authentication and OAuth 2.0, then save.

    Oracle's required features page →

  2. 2

    Add the add-in to Outlook

Install NetSuite Connector for Outlook from your Outlook app. It needs Outlook 2016 or later, on Microsoft 365 or your own Exchange server.

    Oracle's setup page →

  3. 3

Log in to NetSuite from the add-in

Pin the add-in so it stays open between emails. Click Login with NetSuite, check the account and role, and click Allow.

    Oracle's login steps →

  4. 4

Sync an email and check it in NetSuite

Open an email, check the matching records and the files to keep, and click Sync Email. It shows on the customer's Communication subtab.

Oracle's page on syncing an email →

Where the NetSuite Outlook integration stops

Each option saves some email. What's left is everything nobody clicked, and the work inside the email.

One email at a time. Oracle's steps have a person open each email, check the records and click Sync Email. The add-in's Microsoft Marketplace listing says automatic sync is "coming soon". That listing has no ratings or reviews yet, so there is little public word on how it holds up in daily use.

Matching runs on email addresses. Oracle says the add-in finds records from the addresses in the email. If a client writes from an address that isn't on their record, nothing matches, and someone has to search for the record and add it.

Meetings can fail. Oracle's known limitations say events fail to sync when your preferred custom event form has required fields, and the add-in can't fill them in.

Replies only, and only to NetSuite email. Capture Email Replies sends each reply through a coded NetSuite address. In a NetSuite Professionals thread, a team found replies stopped saving because customers' email programs cut the coded part off that address.

So most weeks, someone saves the emails that matter, types each order into NetSuite and writes back to say it's done.

The agents that do it

Each agent does one job from start to finish in your Outlook, passing the work into NetSuite. Your team talks to them in Slack or Teams.

Questions

Is my customers' information safe?

Yes. Agents work in your own Outlook and NetSuite and see only what their job needs. Customer details never go into public AI. Agents connect to AI through business-grade connections audited under SOC 2.

Does NetSuite integrate with Outlook?

Yes. Oracle's NetSuite Connector for Outlook is an Outlook add-in that saves the emails and meetings you select to records in NetSuite. Zapier also has ready-made zaps for Outlook and NetSuite.

What happened to NetSuite for Outlook?

Oracle has ended support for it, and it can no longer be installed. If you already have it, you can keep using it, and the data you saved stays in NetSuite. Oracle points new users to NetSuite Connector for Outlook or to SuiteApps from other companies.

Does it work with a free Outlook.com account?

No. Oracle says NetSuite Connector for Outlook works with Microsoft 365 accounts and your own Exchange servers, not free Outlook.com accounts.

What does it cost?

You get the price on the call, along with the hours it saves your team.
