Each register close in QuickBooks, checked the next morning

LightspeedQuickBooks
The short answer

The Lightspeed POS QuickBooks integration for Lightspeed Retail (X-Series) is built in. You add QuickBooks Online from Setup, then Apps, and each time you close a register, that day's sales totals and payment counts post to QuickBooks as one invoice. It can also send gift cards, store credit, on account sales, cost of goods sold and purchase orders. It needs QuickBooks Online Plus or Advanced. Where it stops: layaway sales don't post, refunds on card payments need a fix in QuickBooks by hand, payments taken in QuickBooks don't come back to Lightspeed, and a close that fails waits for someone to notice. AI agents check each close and flag what's off.

What the Lightspeed POS QuickBooks integration has to do

A store wants its books to show what was sold, how it was paid, and what came in from suppliers, without typing the till report into QuickBooks each night. Lightspeed's integration does that with daily totals. It doesn't send each sale; it sends what the register close says.

So connected has to mean more than a daily invoice. The cash counted has to match the cash expected, refunds and layaways have to land somewhere, and the card money that hits the bank has to match the payments in that invoice. The integration moves the totals. Checking them is still someone's job.

Three ways to connect Lightspeed and QuickBooks

Which one you use depends on which Lightspeed you have. Most stores on Lightspeed Retail (X-Series) start with the first.

Lightspeed's QuickBooks Online integration (X-Series)

How it works
Built into Lightspeed Retail (X-Series). In Setup, then Apps, you add QuickBooks Online and map your sales, discounts, payment types, taxes, gift cards, store credit and fees. Each register close then posts as one invoice with sales by category. Purchase orders go across when you send them.
Good for
Stores on X-Series with QuickBooks Online Plus or Advanced and one tax rate per outlet.
Where it breaks
Lightspeed says stores in the US should not use it if items in one outlet carry different tax rates, because QuickBooks Online US allows one rate per transaction. Layaway sales don't post. Payments taken in QuickBooks on account sales don't come back to Lightspeed.

Lightspeed Accounting (R-Series)

How it works
For Lightspeed Retail (R-Series). Your account manager sets it up, then you go to Settings, then Accounting, and connect QuickBooks Online. It posts one journal entry a day, one summary sales receipt a day, or a sales receipt with each item.
Good for
Stores on R-Series that want daily summaries or item detail in QuickBooks.
Where it breaks
It works only with average cost, not first in, first out. With the summary methods, single sales don't show in QuickBooks. Archiving the Lightspeed user who connected it cuts the connection.

A Zapier zap

How it works
Zapier's Lightspeed Retail POS (X-Series) triggers include New Sale, New Register Closure and New Voided Sale. Its QuickBooks Online actions include Create Sales Receipt, Create Invoice and Create Refund Receipt.
Good for
Stores that want one QuickBooks entry per sale, or something the built-in integration doesn't send.
Where it breaks
Each case is a zap you build: sales, voids, refunds, tax and fees. A zap that fails doesn't tell your bookkeeper, and a busy day uses many tasks.

Arkeo agents

How it works
Agents read each register close in Lightspeed, check that it reached QuickBooks, compare the cash counted with the cash expected, and list the refunds, layaways and on account payments that need a hand fix.
Good for
Stores with more than one register or outlet, where nobody has time to check each close.
Where it breaks
Anything your rules keep for a person, like a large till shortage, goes to your team in one message.

Where the Lightspeed QuickBooks integration stops

QuickBooks gets one invoice per register close. That keeps the books short, but it means a question about one sale goes back to Lightspeed. And Lightspeed's own pages list what doesn't make it into that invoice.

Layaway sales don't sync, so those payments show in the close but not in QuickBooks. Refunds on card payments taken through Lightspeed need a manual adjustment in QuickBooks. If a day's refunds are more than its payments, the close fails and Lightspeed says to contact support. Payments taken in QuickBooks on an on account sale don't sync back, so someone enters them again in Lightspeed.

Then there is the upkeep. A close that is late or failed shows only as a red logo in Register Closures, and someone has to open the report and select it. Purchase orders go across one at a time, when someone selects Send to QuickBooks Online. New payment types, tax rates and product categories have to be added to the settings by hand. And for US stores with mixed tax rates in one outlet, Lightspeed says not to use the integration at all.

Stores with more than one location find another gap. In an Intuit Community thread, a business moving stock from a central warehouse to its stores was told transfers between locations aren't available in QuickBooks Online, and that customers and suppliers had to be brought in by spreadsheet.

Questions

Is my customers' information safe?

Yes. Agents work in your own Lightspeed and QuickBooks and see only what their job needs. Customer details never go into public AI. Agents connect to AI through business-grade connections audited under SOC 2.

Does the Lightspeed integration with QuickBooks send each sale?

On X-Series, no. It sends each register close as one invoice, with sales split by product category if you set that up. On R-Series, Lightspeed Accounting can send a sales receipt with each item.

Which QuickBooks plan do I need for Lightspeed?

Lightspeed says its X-Series integration needs QuickBooks Online Plus or Advanced. It works only with QuickBooks Online, not QuickBooks Desktop.

Why doesn't my QuickBooks invoice match my register close?

Lightspeed lists two common reasons: layaway sales don't sync, and QuickBooks gets the counted cash, so a short count shows as a difference. Small rounding gaps go to the rounding line you set.

What does it cost?

You get the price on the call, along with the hours it saves your team.
