Sales in the books, stock ordered, hours checked

Lightspeed
The short answer

For a canteen, cafe or restaurant on Lightspeed, automation covers three jobs: sales into the books, stock and ordering, and staff hours. In Lightspeed Restaurant (K-Series), Lightspeed Accounting sends a daily or weekly sales summary to QuickBooks Online, Xero and other programs. The Inventory module tracks stock and emails purchase orders to suppliers. Staff clock in on the POS, hours show in the Back Office, and 7shifts can take those punches for scheduling and payroll. Where it stops: Lightspeed Accounting is a paid add-on only in some regions, it posts totals and only emails you when a sync fails, a person still builds each order, and 7shifts doesn't take roles or wages from Lightspeed. AI agents check the sales, plan the orders and chase the gaps.

What is canteen Lightspeed automation, and what to automate

Canteen Lightspeed automation means letting Lightspeed, or a program it connects to, do the office work that repeats each day in a cafe, canteen or restaurant. The cooking and the serving stay with your team. The work around them is what eats the hours.

Most food service businesses on Lightspeed lose that time in three places. Someone types the day's sales into QuickBooks or Xero, or checks that what came across matches the till. Someone counts stock and writes the supplier order. And someone checks the hours staff clocked before payroll goes out.

This guide is about Lightspeed Restaurant (K-Series), the Lightspeed point of sale built for food service, and each fact below comes from its own help pages. Lightspeed Retail (X-Series), which some counter-service cafes use, has its own help center and its own accounting setup.

How to automate Lightspeed Restaurant: six settings to turn on

Six steps, in our words. Each one links to Lightspeed's or 7shifts' own help page for the full screens.

  1. 1

Set up accounting groups and payment methods

In the Back Office, go to Menu, then Accounting groups, and put each item in one. Then go to Payment, then Payment methods, and check that each way you take money is listed. The accounting link uses both.

  2. 2

    Turn on Lightspeed Accounting

In the Back Office, select Integration Hub, then Accounting, then the Lightspeed accounting tile. On the Onboarding tab, click Connect, sign in as an admin and click Authorize. Then click Connect next to QuickBooks Online, Xero or your program.

  3. 3

Set the sync schedule and an alert email

Set the Sync schedule to daily or weekly, and set how sales post: invoices by item, invoices by accounting group, or a journal entry. Add a Notification email so someone hears when a sync fails.

  4. 4

    Add your suppliers in Inventory

In the Inventory module, go to Purchase, then Suppliers, and click Create supplier. Enter the email orders go to, and set whether the supplier gets purchase orders or is only used to update stock.

  5. 5

    Send purchase orders from Inventory

Go to Purchase, then Purchase order, and click New purchase order. Your stock and par levels show under each item, so you can see what to reorder. Click Review order, then Place order, then Send email.

  6. 6

Clock staff in on the POS, and link 7shifts

Staff tap Clock in/out on the POS Home screen, and hours show in the Hours section of the Back Office. To send punches to 7shifts, connect Lightspeed K POS there, map roles and employees, then turn on Actual Labor.

Lightspeed Restaurant with QuickBooks, Xero, Omniboost and 7shifts

Lightspeed Accounting is the built-in way to send sales to your books in Lightspeed Restaurant (K-Series). Lightspeed says the programs you can connect depend on where your business is, and can include QuickBooks Online, QuickBooks Desktop, Sage One, Xero and Exact. A daily sync covers one business day, by default 5:30 AM to 5:29 AM the next day. Lightspeed says it is a paid add-on to your subscription, only in select regions.

Where Lightspeed Accounting isn't offered, Lightspeed points to Omniboost, a separate company that connects Lightspeed Restaurant to programs like Xero and MYOB Business. You request it on Omniboost's site, then map each accounting group, payment method and tax rate to an account, with your bookkeeper's help.

For staff hours and scheduling, Lightspeed lists 7shifts as working with Restaurant (K-Series). 7shifts says sales from Lightspeed K-Series sync every 5 minutes for its forecasts, and with Actual Labor on, clock punches come across for labor reports and payroll.

Where Lightspeed automation stops: what is still done by hand

Each connection moves one kind of number. The work in the middle is checking those numbers and acting on them.

The books get totals, and a failed sync is an email. Lightspeed Accounting sends a summary of each business day, not each sale. When a sync fails, Lightspeed sends an email to the address you set, and someone has to read it, fix the error and click Resync. If you change your account mappings, the change only applies to future days. To fix past days, Lightspeed says you must first delete them in your accounting program and then repost, or the sales post twice. Disconnecting your accounting program erases all mappings, settings and sync history.

Orders don't place themselves. The Inventory module shows stock and par levels on each item, but a person builds each purchase order, adds the quantities and sends it. Only draft orders can be changed, and orders placed by phone or on a supplier's website still have to be entered so stock is right.

Hours come across without the pay details. 7shifts says only first name, last name and email sync from Lightspeed for new employees. Roles and wages don't, so someone sets them in 7shifts. No past hours sync, punches only get a role if the person was scheduled, and unmatched employees add no hours to labor reports. 7shifts also says that if you turn on editing punches in 7shifts, later changes in Lightspeed stop coming across.

The agents that do whole Lightspeed jobs

Each agent does one job from start to finish: it reads your Lightspeed sales, stock and till closes, does the checking, and sends what needs a person to your manager.
